How Marketing Automation Can Give Your Team Time Back

Marketing automation can take repeatable follow-ups and campaign tasks off a team’s queue, but actual time saved depends on data, workflow design, and measurement.

When every new lead needs a manual follow-up, the work can crowd out planning, creative development, and direct customer conversations. Marketing automation uses software and rules to handle repeatable tasks—such as recording an action, updating a lead score, or sending a scheduled message—so people can spend more attention where judgment matters. It can return time, but there is no established number of hours every marketer will save.

What marketing automation does

IBM defines marketing automation as “the use of software and technology to manage routine marketing processes and tasks across multiple channels.” In practice, a rule-based workflow responds to an event or condition, carries out an action, and records what happened. IBM’s overview describes examples including email and SMS, lead management, triggered actions, and campaign analytics.

A simple workflow

  1. Trigger: A prospect downloads a guide, registers for a webinar, visits a relevant page, or takes another tracked action.
  2. Action: The platform records the event, updates or assigns a lead score, and sends a relevant follow-up according to the workflow’s rules.
  3. Measurement: The team checks whether the follow-up led to engagement or conversion, and reviews the workflow for accuracy and performance.

The same pattern can support a welcome sequence for a new subscriber or a reminder after a shopper leaves items in a cart. These are examples of platform capabilities, not a promise that every organization has the data or setup needed to use them successfully.

Which recurring tasks can be automated—and which cannot

Automation is most useful for work that happens repeatedly, follows recognizable rules, and uses reliable data. IBM describes triggered communications, customer information added to a database, lead scoring, testing alternative assets, and analysis of campaign activity. Salesforce also describes automated follow-up and lead-management workflows in its marketing automation overview.

  • Follow-up: Send a planned email or SMS after an event, such as a subscription, registration, or cart abandonment.
  • Data capture and updates: Record customer actions and keep relevant information available to marketing and sales teams.
  • Lead prioritization: Apply scoring rules to help teams decide which prospects need attention first.
  • Campaign operations: Schedule sequences, test assets, and gather performance data.

Automation does not decide what the company should say, whether a message is appropriate for a particular person, or how to handle an unusual customer situation. People still need to set goals, write and review content, define rules, check data, interpret results, and maintain relationships. IBM frames automation as a way to reduce repetitive work so people can focus on higher-value tasks, not as a substitute for marketing judgment.

What the published results do—and do not—show

Published figures suggest potential effectiveness and business benefits, but their populations and measures differ. None establishes a guaranteed time saving for an individual team.

Reported result Source and scope How to interpret it
50% effectiveness boost for performance marketing effects; 32% marketing ROI Data & Marketing Association (DMA), 2025. Analysis of 153 campaigns using automation, selected from an Effectiveness Databank of 1,720 award campaigns submitted from 2017 through 2024. Results from the analyzed campaigns, not a forecast for every adopter. The public summary does not report hours saved per team. The report was sponsored by Marigold.
14.5% increase in sales productivity; 12.2% reduction in marketing overhead Nucleus Research figures quoted on Salesforce’s benefits page. The inspected passage does not identify the study year. Secondary attribution; do not treat the figures as outcomes from a current trial or a guarantee.
25% average increase in marketing ROI Salesforce’s Relationship Survey, conducted from 2014 to 2016 with more than 10,500 randomly selected customers; response counts varied by question. A result from Salesforce’s own customer survey, not an independent universal estimate.
451% increase in qualified leads Annuitas Group study as quoted by Salesforce; the inspected passage does not state the study year or methodology. Secondary attribution with limited methodological detail; it should not be read as an expected result.
AI-driven automation expected to rise from 16% of marketing work in 2026 to 36% by 2028 Gartner, May 11, 2026. Forecast based on a survey of 402 CMOs fielded from August through October 2025. CMOs’ expectations, not a measured future outcome or a time-saved estimate.

The cited sources do not establish a universal number of hours saved per marketer. Performance, ROI, productivity, and overhead are different measures; none can be converted into a reliable time-saving figure for your team without local measurement.

What determines whether automation saves time

A workflow can move work rather than remove it if it is built on poor data, confusing rules, or disconnected systems. Adobe’s enterprise B2B report identifies data foundations, buying-group journeys, personalized content, intelligent engagement, and analytics and attribution as important areas for automation programs. Those are implementation considerations, not proof that any particular platform or organization has achieved them. Adobe’s report is dated September 6, 2024.

  • Data quality: Incorrect records or missing consent and preference information can result in mistargeted, duplicated, or inappropriate messages.
  • Workflow design: Rules need clear triggers, sensible timing, exceptions, and a way to stop or update a sequence when circumstances change.
  • Integration: The platform needs usable connections to the CRM, website, and communication tools that hold the relevant customer and campaign information.
  • Measurement: Teams should distinguish activity from outcomes and make attribution limitations visible.
  • Ownership: Someone must build, review, and update workflows and content; automation still has operational costs.
  • Human review: People should check whether a message is accurate, useful, appropriately timed, and consistent with the customer relationship.

How to choose a workflow or platform

Start with the recurring job, not a feature checklist. IBM’s overview names broad platform categories and vendors, but those examples are not a current ranking or feature comparison. Verify capabilities and availability for your region and edition before selecting a product.

Compare the capabilities that matter to the workflow

  • Workflow fit: Can it respond to the actual events and recurring jobs you want to automate?
  • Data and integrations: Can it access accurate customer and campaign data and connect with your current CRM, website, and email stack?
  • Channels and personalization: Does it support the channels and audience segments you use, with controls to avoid excessive messaging?
  • Measurement: Can you relate activity to conversions or revenue while also tracking staff time and acknowledging attribution limits?
  • Operational burden: Who will build, monitor, and revise the workflow, and do they have the time and skills to do so?

Run a low-risk pilot

  1. Choose one repetitive workflow with a clear trigger and a meaningful outcome, such as a new-subscriber welcome sequence.
  2. Before automating it, record how much staff time it takes to handle the workflow over a defined period, along with relevant outcomes such as delivery, engagement, or conversion.
  3. Set the rules, data inputs, message content, review responsibilities, and stop conditions. Test the sequence with internal records or a small, appropriate audience before wider use.
  4. Run the automated workflow for a defined period, then compare staff time and outcomes with the baseline. Account for setup and maintenance time as well as the work removed.
  5. Keep, revise, or stop the workflow based on the results. Expand only when the data and customer experience support doing so.

Where the recovered time should go

Automation creates value when the team deliberately redirects the capacity it frees. That may mean improving campaign strategy, developing stronger creative, analyzing customer needs, or having more useful conversations with prospects and customers. If routine tasks disappear but the team does not protect time for those activities, the practical benefit may be harder to realize.
