Managed IT services can help a small business grow by providing technology operations, support and expertise without requiring the business to build every capability in-house. That can add capacity and support more reliable operations—but it does not guarantee revenue growth, lower costs or fewer disruptions. The outcome depends on the provider, the services in the contract and how well the business manages its responsibilities.
How can managed IT services help my small business grow?
A managed service provider (MSP) delivers, operates or manages technology services under an agreement. Depending on the contract, that work may cover infrastructure, software, user support, cybersecurity or other IT functions. The scope is not standard across providers, so the contract—not the label “managed IT”—determines what you receive. CISA’s joint advisory on MSPs describes how these providers can help organizations scale technology environments without expanding internal staff or developing every capability themselves.

Add capacity without building every role internally
A small company may need help with systems administration, user support or security but not have enough work to justify a full internal team. An MSP can provide contracted support and expertise. Whether this actually frees employees’ time or improves service depends on what the provider does and how it performs; the available official guidance does not quantify those effects.
Support technology-enabled operations
The U.S. Small Business Administration says technology can help small businesses compete, improve efficiency and free owners’ time. That is general technology guidance, not evidence that hiring an MSP causes growth. An MSP may help operate the technology a business chooses, but the business still needs to decide which tools and processes support its goals. See the SBA’s Manage your business guidance.

Improve continuity when the work is included and done well
Monitoring, maintenance and backup management may support more resilient operations if they are part of the agreement and performed effectively. But an MSP relationship also introduces a third-party dependency: providers often need trusted access to customer systems, and an incident affecting a provider can affect its customers. CISA discusses these benefits and customer responsibilities in Risk Considerations for Managed Service Provider Customers.
Is managed IT cheaper than hiring an in-house IT person?
There is no universal answer. The sources available do not establish a general MSP price benchmark or show that outsourcing is always cheaper. Compare the full cost and capability of the options for your business: an MSP, internal staff, or a hybrid arrangement.
Rank #2
| Option | What to compare |
|---|---|
| Managed IT provider | Contract fees, included users and systems, support hours, security and backup coverage, exclusions, and additional charges. |
| In-house IT | Staffing cost and availability, the range of skills your business needs, and any additional tools or outside support required. |
| Hybrid arrangement | Which duties remain internal, which are contracted, how responsibilities are divided, and the combined cost. |
Ask providers to price the actual scope you need, then compare that proposal with realistic internal and hybrid alternatives. A low headline fee is not a meaningful comparison if critical services are excluded or billed separately.

What does a managed IT service provider actually do?
Services vary by provider and contract. An MSP may operate or support technology such as infrastructure, software and networks, assist users, or provide cybersecurity services. Before comparing proposals, make a written inventory of what your business needs and confirm which items each agreement covers.
Rank #3
- Technology in scope: List devices, users, networks, cloud accounts, applications and business locations.
- Support: Confirm covered hours and contact channels, how urgent problems are escalated, and what response commitments the contract makes.
- Security: Establish whether monitoring, access management, maintenance and incident support are included.
- Backup and recovery: Identify what is copied, who checks backup results, how long copies are retained, and how restoration is handled.
- Exclusions: Record systems or tasks not covered and services that cost extra.
What should I ask an IT company before signing a contract?
Use the proposal and contract to pin down service boundaries, security controls and accountability. CISA advises customers to understand supply-chain risks and coordinate security expectations with providers. Its Mitigations and Hardening Guidance for MSPs and Small- and Mid-sized Businesses also outlines security practices relevant to these arrangements.
- What exactly is included? Ask for a written inventory of covered systems, users, locations and tasks, plus exclusions and separately billed work.
- How does support work? Confirm hours, channels, urgent-incident escalation and the commitments stated in the agreement.
- How do you secure access? Ask how provider access is limited to what staff need, how multifactor authentication is handled, and what activity is logged and reviewed.
- How do you monitor and maintain systems? Ask what network and host monitoring is performed, how infrastructure is maintained, and how security issues are communicated.
- Who owns each security task? Document which duties belong to the provider and which remain with your business. Outsourcing does not remove the customer’s responsibility to manage its risks.
- How are backups and recovery managed? Establish what is backed up, retention periods, who reviews failure alerts, and how restoration is tested.
- What is the full cost? Request the recurring contract cost and a clear explanation of exclusions, additional charges and any work outside the agreed scope.
Will an MSP take care of cybersecurity and backups?
Only if those services and responsibilities are explicitly covered. MSPs may have privileged access to customer systems, which enables administration but also makes provider security important to the customer. CISA warns that attackers can exploit MSP relationships to reach multiple customer networks. Its 2022 joint advisory recommends measures including least privilege, monitoring and logging, infrastructure maintenance, managed backups and tested recovery plans.

Put the security responsibility split in writing. Clarify who limits and reviews access, monitors systems, maintains infrastructure, manages backup jobs, checks backup logs and leads recovery after an incident. Your business should understand the provider’s supply-chain risks and use risk assessment to prioritize its own protections.
Make backups a process, not just a storage purchase
The SBA recommends keeping copies of business data, including in cloud services, and notes that physical copies can be kept somewhere accessible off-site. An external hard drive can be one possible offline copy, alongside cloud backup, but buying a drive alone does not establish a complete backup or recovery process. The business and provider should agree on what is copied, who verifies the copies and how a restore is tested. The SBA covers these points in In Today’s Economy, Cyber Safety Is Critical to Small Business Success.

Why provider security matters to a small business
MSPs can hold trusted connections and administrative access across customer environments. That access can make operations easier, but it also creates a supply-chain exposure: a threat actor who compromises a provider may be able to affect its customers. CISA’s 2021 customer guidance emphasizes that organizations remain responsible for understanding and managing risks introduced by service providers.
The scale of the risk is not a prediction about any one company. In a 2023 Hiscox survey cited by the SBA in 2024, 41% of small businesses surveyed reported being victims of a cyberattack, and the median cost was $8,300. Those are survey findings, not a current-year rate, a forecast for an individual business or proof that using an MSP prevents attacks.
How to decide whether managed IT fits your business
- List the technology work your business needs and the capabilities it already has.
- Decide which tasks should remain internal and which could be contracted.
- Compare provider proposals with internal and hybrid options using full costs and the same scope.
- Review the contract for clear support terms, service boundaries, security duties and exclusions.
- Agree on backup ownership and a recovery process, including how restoration will be tested.
- Assess the provider’s access and security practices as part of your own risk management.
Managed IT can supply operational capacity and expertise without requiring a small business to build the same capabilities internally. Whether that supports growth depends on fit and delivery; the agreement should make the services, risks, costs and responsibilities clear.
