Proton says a small business with a few employees may be able to switch from Microsoft 365 to Proton in a few hours; larger, more complex companies may take a few days. Those are Proton’s estimates, not a guarantee or an independently measured comparison with migrations that take months. The Microsoft 365 Easy Switch guide covers email, contacts and calendar events—not a complete Microsoft 365 environment.
What Proton Easy Switch moves from Microsoft 365
Proton’s business migration guide describes a guided process for bringing an organization’s emails, contacts and calendar events into Proton for Business. The administrator selects which of those data types to migrate.

Easy Switch for this workflow is not documented as a way to transfer the entire Microsoft 365 environment. It does not cover files, applications or every Microsoft service in the described process. Proton discusses separate ways to migrate other data, including file export and import, in its general Easy Switch documentation.

Proton’s business FAQ says a small company with a few employees can switch “in a few hours,” while a larger company with more employees and applications “might take a few days.” Proton says timing depends on business size and complexity. These are conditional estimates from Proton, not a published average, independently verified benchmark or service-level commitment.

- The Microsoft Office 365 Bible: The Most Updated and Complete Guide to Excel, Word, PowerPoint, Outlook, OneNote, OneDrive, Teams, Access, and Publisher from Beginners to Advanced
- ABIS BOOK
The Microsoft-specific guide lays out the migration stages but does not give a fixed end-to-end duration or quantify downtime. Domain setup and DNS propagation, the number of users, data volume, user onboarding and any unsupported mailboxes can all affect the schedule. Proton’s general Easy Switch guidance says imports from long-used email accounts may take days; that broad guidance is not a Microsoft 365 business migration benchmark.
What the administrator needs before starting
- Two administrator roles: The person running the migration needs to be both a Proton administrator and a Microsoft 365 administrator. A standard Microsoft user account lacks the required permissions.
- A cloud-hosted Microsoft 365 account: The business guide does not support on-premises accounts.
- Control of domain DNS: The administrator must be able to edit DNS records at the domain provider.
- A plan for user access: Microsoft 365 shared mailboxes are not currently supported by this process and will not appear in the user list.
Proton’s guide also notes that Microsoft may hide mailbox-usage data in reports. If size estimates are needed, it provides an administrative setting to change so those estimates can be shown.

The five stages of the Microsoft 365 migration
- Configure the migration. Start the Easy Switch workflow and choose whether to migrate emails, contacts and calendar events.
- Authenticate with Microsoft. Sign in using a Microsoft 365 administrator account and grant the requested permissions.
- Configure the domain. Verify domain ownership by adding a TXT record, then configure the email-authentication records Proton requests. Proton says DNS changes for verification may take up to 24 hours to sync.
- Configure users. Select the users to migrate and decide whether to move the whole organization at once or start with a smaller batch. The guide describes SPF as allowing Proton and Microsoft to send email simultaneously during the migration period; DKIM signs outgoing messages, and DMARC builds on SPF and DKIM.
- Complete the final step. Users activate their accounts from invitation links: they enter their email address, receive a verification code in their existing inbox and set a Proton password. The administrator then changes the domain’s MX records to Proton’s two specified records and removes the other MX records. Proton says confirmation that incoming mail routes to Proton can take up to 24 hours; its guide treats direct routing as the final migration point.
Cutover, continuity and account activation
The process allows for Proton and Microsoft to send email simultaneously during migration, according to Proton’s SPF guidance. That supports a staged transition, but the guide does not promise a specific downtime window. Plan the MX change deliberately: it changes where new incoming email is routed, and the time Proton takes to confirm the change can be up to 24 hours.

If a user has not activated before then, the administrator must reset that user’s password. Include time to reach users and resolve access issues in the rollout plan rather than treating the data transfer as the only task.

How to judge whether “a few days” is realistic
- Scope: List what needs to move—email, contacts and calendars, plus any files, shared mailboxes or other Microsoft services that require a separate plan.
- Scale and complexity: Account for employee count, data volume, applications and the number of domains.
- Readiness: Confirm both administrator roles, domain-provider access and control of DNS before scheduling cutover.
- Rollout: Decide whether to migrate all users together or use batches, and set expectations for invitations, activation and the MX change.
- Continuity: Identify how users will get help and how the administrator will handle accounts that remain unactivated at final cutover.
For a business with few employees, a ready domain and a limited migration scope, Proton’s hours estimate may be plausible. A more involved environment, DNS delays or additional services to move can extend the work. The available documentation supports Proton’s conditional estimate, but it does not establish that every business can complete the transition in days—or that comparable migrations typically take months.
