Capture the notice, classify the proceeding, assign an owner and reviewer, reconcile each allegation to records, file through the relevant portal route, and preserve the submission. If an order follows, treat it as a separate decision point for payment, rectification or appeal.
Start by identifying the notice and proceeding
GST notices do not all call for the same response or portal route. The GSTN form catalogue distinguishes these demand and scrutiny forms:

| Form | Role |
|---|---|
| FORM GST DRC-01 | Summary of a show-cause notice, prepared by the tax official. |
| FORM GST DRC-06 | Taxpayer’s reply to a show-cause notice. |
| FORM GST DRC-03 | Taxpayer’s intimation of voluntary payment or payment against a notice or statement. |
| FORM GST DRC-07 | Summary of an order. |
| FORM GST ASMT-10 | Officer’s notice intimating discrepancies identified after return scrutiny. |
| FORM GST ASMT-11 | Taxpayer’s reply to a notice under section 61 intimating return discrepancies. |
These roles are set out in the GSTN demand and recovery form catalogue and GSTN scrutiny form catalogue. A DRC-01 summary is not the same document as the taxpayer’s DRC-06 reply. For the proceedings covered by GSTN’s portal functionality guide, the DRC-01 summary is served along with the notice. Read the underlying notice, its cited provision and any enclosures; do not rely on a summary alone.

Capture the notice and protect the case record
On receipt, route the notice and all enclosures to a restricted case repository. Keep unchanged copies of the originals and record the service date and method. A shared case register can give finance, tax, legal and compliance teams a common view of ownership and deadlines.
#1 Best Overall
Useful register fields include:
- Notice identifier, GSTIN and legal entity
- Notice family or form, issuing authority and cited provision
- Tax period, amount or action sought, and hearing details
- Service date, deadline stated in the notice and internal draft date
- Accountable owner, evidence owners, reviewer and filing user
- Submission acknowledgement, follow-up date and order or appeal status
These are practical recordkeeping controls, not a universal portal checklist prescribed by GSTN.
Verify the deadline and assign accountable owners
Enter the deadline stated in the actual notice into the register, then have the tax or legal owner check how it is computed and what procedural rules apply to that proceeding. The official portal materials cited here do not establish one reply period common to all GST notices. Do not borrow a deadline from a different notice type, including a refund proceeding.

Set an internal draft and review date earlier than the stated due date. Confirm whether the notice specifies a hearing and whether an adjournment or extension may be available under the applicable procedure. If the basis, service date or calculation of time is unclear, escalate promptly to a GST specialist rather than letting an assumption become the team’s deadline.
Reconcile allegations against records
Turn each allegation into a separate work item. This makes it easier to answer the department’s specific point and to spot gaps before drafting.

| For each allegation, record | What to establish |
|---|---|
| Department’s assertion | The issue raised, relevant period and amount or action in question. |
| Company’s position | What the company accepts, disputes or cannot yet establish. |
| Supporting records | Relevant returns, ledgers, invoices, contracts, reconciliations, calculations and prior correspondence. |
| Open work | Unanswered questions, evidence owner, reviewer and any specialist input needed. |
Keep facts distinct from assumptions. Reconcile figures to their underlying records and document the calculation, not just the conclusion. Where the company accepts part of an amount, disputes another part or needs further review, make those distinctions explicit in the working file and in the response as appropriate.
Draft, review and file through the applicable route
Prepare the reply for the actual form and proceeding. GSTN’s functionality guide documents an Services > User Services location for the Additional Notices & Orders functionality for relevant notices. It also describes audit functionality for viewing notices and reports, replying and uploading documents, addressing liabilities discrepancy-wise, and applying for an adjournment or extension of the audit date. These documented functions do not establish one universal portal path for every notice; follow the notice instructions and check the live portal screen.
- Draft against the notice: identify the notice reference and period, then respond to each allegation with the relevant facts, position and supporting material.
- Complete a second-person review: check the reference, period, factual statements, arithmetic, legal citations, attachments, signing authority and consistency between form fields and the signed submission.
- Submit using the route shown for the proceeding: confirm the portal has accepted the filing and retain the acknowledgement.
- Preserve the exact filing: save the submitted response, every attachment, the timestamp and acknowledgement in the case repository.
GSTN describes the Additional Notices & Orders and audit functions in its February 2021 portal functionality update. Portal interfaces and requirements can change, so rely on the current case-specific instructions when filing.
Keep payment, the reply and a later order distinct
DRC-03 is a payment intimation; DRC-06 is the taxpayer’s show-cause reply. A payment entry should not be treated as a substitute for a required reply unless the applicable law and case facts support that course. If a DRC-07 order summary or other order is received, open a new review: diarise the communication date, examine the order and decide separately whether payment, rectification or appeal is appropriate.

For the demand-order appeal process covered by the GST Portal FAQ on filing an appeal in FORM GST APL-01, the FAQ states a period of three months from communication of the decision or order. It describes possible condonation of up to one further month for sufficient cause, a minimum pre-deposit of 10% of disputed tax for the process it covers, and mandatory DSC for companies and LLPs. These are appeal-related details, not notice-reply deadlines; verify current law and applicability to the specific order before relying on them.
How the workflow changes by notice branch
| Branch | Examples in GSTN materials | Core response work | Deadline and portal approach |
|---|---|---|---|
| Show-cause or demand proceedings | DRC-01 summary; DRC-06 taxpayer reply; DRC-07 order summary | Resolve allegations, preserve evidence and determine the appropriate payment or dispute position. | Use the specific notice and applicable law. Additional Notices & Orders functionality is documented for relevant notices; check the current route. |
| Return scrutiny | ASMT-10 discrepancy notice; ASMT-11 taxpayer reply | Reconcile return discrepancies and answer each item with supporting records. | Use the specific notice and applicable law; check the current portal route. |
| Audit | GSTN documents audit notice and report functions; the actual notice identifies the case | Reply and upload records, address discrepancies and, where applicable, seek an adjournment or audit-date extension. | Use the notice and applicable rules; GSTN documents these audit response functions. |
Form roles are described in the GSTN demand and recovery forms update and GSTN scrutiny forms update; portal functions are described in the GSTN functionality update. None of these materials replaces the governing Act, current rules, notifications or the full notice.
