Co-founders can give an AI useful company context without sharing personal chat histories: keep private chats and memory in individual accounts, and put only approved company information in an invited-only shared project or workspace. Before sharing a file, conversation, or AI-written summary, inspect what it contains. A summary can carry private details into a shared space even when its source conversation remains private.
Separate private conversations from shared company context
Use individual accounts for personal matters and private conversations. Create a distinct company space for material both founders have agreed to share: approved product facts, current decisions, customer-safe terminology, and reusable instructions. This separation reduces accidental exposure; it is not a guarantee that every provider or workspace keeps all information private from an organization’s owner or administrator.

For example, ChatGPT Business gives each member a separate chat history, and other members do not automatically see it. Its shared Projects use project-only memory, so the project cannot draw on an individual member’s outside memories or context. Claude describes a separate memory space for each project, apart from other projects and non-project chats. Check the selected product’s current plan and settings before relying on those boundaries.

Know what “private” means to members and administrators
Privacy from another member is not necessarily privacy from the organization. OpenAI says ChatGPT Business members’ chats are not automatically visible to one another. By contrast, Anthropic’s Claude for Work documentation says the organization’s Primary Owner manages associated data and may request exports that can contain conversations, uploaded files, and usage patterns. Founders should agree on who owns the workspace, who administers it, and what organizational access means before putting sensitive work there.

Training and retention protections are also specific to products and plans. OpenAI says ChatGPT Business workspace data is excluded from model training by default. Google says qualifying Workspace Gemini content is not used to train models outside the domain without permission. These statements should not be generalized to consumer accounts or other product surfaces. Google’s Privacy Hub lists retention for Gemini in Workspace prompts and responses as 90 days to indefinite, determined by administrators; for the Gemini app, it lists up to 36 months, also determined by administrators. Confirm the Workspace edition and exact Gemini surface before relying on those terms.

Set up a low-risk sharing workflow
- Create a company context area. Start a shared project or workspace for agreed company material rather than sharing personal chats or personal memory.
- Use an allowlist. Add only information both founders intend to expose. Before uploading a document, look for personal data, credentials, confidential customer or investor details, and anything the other founder should not see.
- Review AI-generated material before sharing. Read the full brief, page, or summary. Removing access to a source file does not remove information already copied into a shared summary or conversation.
- Invite people deliberately. Prefer access limited to named collaborators where available. Review project members, roles, shared links, and Drive permissions periodically; remove access when it is no longer needed.
- Agree on ownership and administration. Decide who owns the workspace, who can manage access, and whether the owner can request exports or control account access.
- Recheck settings when plans or features change. Verify the account type, memory behavior, sharing controls, training terms, and retention settings in the provider’s current documentation before adding sensitive context.
Platform-specific details to verify
ChatGPT Business and shared Projects
OpenAI describes Business as collaborative without automatically sharing members’ chat histories. Business data is excluded from training by default and encrypted in transit and at rest. A shared link exposes the specific conversation it points to; users can manage and delete links they created. Business does not have Enterprise’s workspace-wide control for disabling shared links. In shared Projects, members can see and download project files, and material added to the project can inform responses visible to other members. Project owners can control sharing and roles, so check whether the project is restricted to invited people before adding files.

Claude for Work
Anthropic says the Primary Owner manages the organization’s work account and associated data and may request exports. Claude’s project memory is described as separate from other projects and from non-project chats. Team and Enterprise owners control whether memory is available, while members enable it individually. Confirm the organization’s settings and owner-access rules before treating a project as a private compartment.
Google Workspace with Gemini
Workspace administrators control Gemini conversation-sharing options. Public-link sharing is off by default; if enabled, anyone with the link can read the conversation. Drive-based conversation sharing is on by default and follows Drive permissions. Google says qualifying Workspace Gemini interactions stay within the organization, existing Workspace protections apply, and content is not used to train models outside the domain without permission. Which controls and retention rules apply depends on the Workspace edition, administrator settings, and whether the conversation is in Gemini for Workspace or the Gemini app.
