For a household document library, Paperless-ngx can provide a browser-based place to store and conventionally search files, with optional AI retrieval and chat. To keep AI processing on your home server, configure local backends such as Ollama rather than a hosted API. The app can be reached from other devices once you configure server and network access; it is not automatic, and local AI alone does not make the whole system secure.
Decide whether you need AI or just searchable documents
Paperless-ngx is a personal document manager with a web interface and watched-folder intake. It can search document text and metadata such as titles, correspondents, types, and tags without any AI features. That may be enough if you mainly need to find a bill by its contents or filter records by category. Paperless-ngx’s usage documentation describes the ordinary search and intake workflow.

Its optional AI features add suggestions, similar-document retrieval, and document chat. The LLM index uses embeddings to retrieve relevant documents, and chat can answer questions across documents with links to the source records. These features require configuration and are not enabled by default; they supplement conventional search rather than replace it. The advanced usage documentation explains the AI functions.

When AI features are enabled, Paperless-ngx sends document content to the configured AI backend. For a local-only AI path, the documentation identifies Ollama as a local LLM backend and Hugging Face as a fully local embedding backend. The available backend choices and exact settings can change, so check the current AI configuration documentation before deployment.

If you configure a hosted OpenAI-compatible API, document content goes to that provider and usage charges may apply. Paperless-ngx’s configuration documentation states that hosted use sends document data to the configured provider and makes the user responsible for charges. Local inference avoids sending content to a hosted AI endpoint, but it does not by itself protect accounts, backups, the server, or network access.

The documentation establishes these configuration routes, not a benchmark comparing model quality, speed, or cost for a particular household.

Plan for the complete server, not only the model
Paperless-ngx is an application stack. Its documented components include a web server, consumer, task queue, scheduler, and Redis-compatible broker. The bundled Compose files default to Valkey, and the project recommends PostgreSQL for new installations. The setup guide covers the Compose route and prerequisites; the configuration reference covers broker and database options.
For the Compose installation route, Docker and Docker Compose are prerequisites. Paperless-ngx can run on a Raspberry Pi, but its documentation warns that some tasks can be slow on less powerful devices. That does not establish that a particular Pi can run a chosen local AI model acceptably. Model, workload, and hardware all affect resource needs, and the cited documentation gives no universal CPU, memory, or disk minimum for local AI.

Configure the library and AI features
- Prepare a host. Choose a home server and install Docker and Docker Compose if you are using the documented Compose route. Follow the current Paperless-ngx setup guide, including its database and service configuration.
- Choose the intake folder. Configure the consumer’s watched folder, then place supported digital documents there for import. Paperless-ngx processes incoming files and makes them available in its web UI.
- Start with conventional search. Check that imported documents appear and that text and metadata searches meet your needs before adding AI. This gives you useful search even if you decide not to run a model.
- Configure AI only if wanted. Enable the AI features, select an LLM backend, and select an embedding backend for the retrieval index. Use local backends if your goal is to keep AI processing on your own server; confirm model compatibility and performance for your hardware.
- Check the data path. Verify whether each configured backend is local or hosted. The distinction determines whether document content is sent outside your server and whether provider charges may apply.
- Set up household access deliberately. Use the browser interface from another machine after configuring the host and network to permit that access. The installation alone does not configure every router, device, authentication method, or secure remote-access arrangement.
Make search available from household devices
The web UI means household members can use a browser on another device that can reach the host. But “any device at home” is a deployment goal, not a guarantee that every phone, computer, or network will work without configuration. You need to decide how the host is addressed on your home network and how users authenticate. The setup documentation establishes browser access after configuration; it does not validate a particular router, TLS arrangement, remote-access design, or household security setup.
Do not treat internet exposure as a default step. The cited setup guidance does not establish a secure public-internet configuration for your circumstances. Keep access limited to the intended network unless you have separately designed and secured remote access.

Choose how paper records enter the system
A scanner is optional. Existing digital files can be added through the watched folder; scanning matters only for paper records you want to digitize. The usage documentation describes folder-based intake.

Those facts make it an example, not a universal recommendation or a guarantee that every network configuration will work. See the community scanner discussion and the manufacturer’s iX1600 page. Choose based on paper volume, duplex and feeder needs, network destination support, operating-system setup, and budget; if your records are already digital, you do not need a scanner for intake.

Keep the AI index maintained
The LLM index has a configurable scheduled update, daily by default, as well as manual rebuild, update, and compact operations. A change to the model or backend can call for rebuilding the index. Check the administration documentation for the current maintenance controls and behavior.
Before relying on chat to find an important record, verify the linked source document. AI answers are a retrieval aid, not a substitute for checking the underlying bill, policy, or record.
