How anti-money-laundering checks work at banks and crypto exchanges

Anti-money-laundering (AML) checks are a continuing, risk-based process—not a one-time “approved” stamp. A bank or crypto exchange identifies you, verifies who you are and who owns or controls an account, learns why you need the service, compares your activity with that expected profile, and investigates anomalies. Higher-risk customers, transactions, jurisdictions or products can lead to enhanced due diligence, temporary restrictions or a suspicious-activity report.

There is no universal document list or guaranteed completion time. Requirements depend on the country, institution, product, account type and risk signals. Crypto platforms perform the same core customer-due-diligence (CDD) work as other financial institutions, then add wallet, blockchain and Travel Rule checks.

What AML and KYC checks are designed to establish

Know your customer (KYC) is the identity and customer-information part of AML compliance. AML is broader: it covers identification, risk assessment, sanctions and politically exposed person (PEP) screening, ongoing monitoring, record keeping, investigation and reporting of suspected financial crime.

The objective is not to prove that every customer is innocent. It is to give the institution enough reliable information to understand the relationship, detect activity that does not fit, and meet legal reporting duties. The Financial Action Task Force says virtual-asset service providers should apply the same preventive measures as financial institutions, including CDD, record keeping and suspicious-transaction reporting.

How a bank or exchange conducts an AML check

1. Collecting and verifying identity information

At onboarding, the firm normally asks for your legal name, date of birth, residential address, nationality or tax residence, contact details and the intended use of the account. It verifies those details with identity documents or reliable electronic methods. Depending on the country and product, acceptable evidence can include a passport, national identity card, driving licence, residence permit, government database match or a secure electronic identity service.

Electronic identification is not automatically sufficient. FCA guidance says an electronic method should be independent, protected against fraud and misuse, and capable of giving appropriate assurance that the person claiming an identity is the person identified.

2. Identifying beneficial owners and controllers

For a company, trust or other legal entity, the firm must understand the people who own, control or benefit from it. That can mean an ownership chart, company-registry extract, partnership agreement, trust deed, director information and identification for relevant natural persons. In the United States, FinCEN’s customer-due-diligence rule requires covered institutions to identify and verify natural persons who own or control a legal-entity customer, within the rule’s scope and subsequent regulatory relief.

3. Understanding purpose and expected activity

The institution asks why you want the account and what normal activity will look like. Questions may cover occupation or business model, expected monthly turnover, countries you will pay or receive money from, typical transaction sizes, use of cash, and whether an exchange account will be used for personal investing, trading, mining, payments or business operations.

This information creates a baseline. A transaction is not suspicious merely because it is large; it may become noteworthy when it is inconsistent with the customer’s stated purpose, resources or previous behavior.

4. Assigning a risk level

Firms use a risk-based approach rather than identical checks for everyone. Relevant factors can include:

  • customer type, ownership structure and occupation;
  • countries connected with the customer or transactions;
  • the product, service and delivery channel;
  • expected activity, transaction size and speed of movement;
  • sanctions exposure, PEP status or credible adverse information; and
  • for crypto activity, wallet exposure, counterparties and transaction paths.

Lower-risk relationships may qualify for simplified measures where local law permits. Higher-risk relationships receive enhanced due diligence (EDD), which can mean more documents, senior approval, closer monitoring or shorter review cycles.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

5. Screening sanctions, PEP and adverse information

The firm compares customer and beneficial-owner details with applicable sanctions lists, PEP data and relevant adverse information. A possible name match is an investigation prompt, not proof of wrongdoing: common names, transliteration differences and inaccurate data can create false positives. The firm may request a date of birth, nationality, address or ownership evidence to resolve the match.

What banks monitor after you open an account

Onboarding ends only the first phase. Banks compare deposits, withdrawals, card payments, cash activity and domestic or international transfers with the customer profile. They also keep CDD information current and apply enhanced monitoring when risk changes.

Examples of activity that can prompt an alert include an abrupt change in turnover, rapid movement through several accounts, incoming funds that do not fit a stated occupation, unexplained high-value cash deposits, payments involving high-risk jurisdictions, or transfers that appear structured to avoid controls. An alert is not a finding of criminal conduct. It is a signal for an analyst to examine context.

What crypto exchanges add to the process

Crypto exchanges apply the same core CDD, record-keeping and suspicious-transaction-reporting obligations as other financial institutions, while adding information that exists on public or private blockchains.

Wallet and blockchain analysis

Monitoring can include the wallet addresses you deposit from or withdraw to, counterparties, transaction graphs, rapid asset movement, repeated hops between addresses, exposure to sanctioned services, and links to services classified as high risk under the exchange’s policy. The exchange can assess both the immediate address and the wider path of funds.

Source-of-crypto questions

An exchange may ask how you acquired an asset—for example, through employment income, a regulated platform, mining, staking, a sale of property, a gift, an investment or a decentralized service. It may request transaction hashes, statements from another platform, mining or staking records, sale agreements, tax records or bank evidence. The exact evidence depends on the amount, asset, chain, jurisdiction and risk signals.

A completed identity check does not guarantee that every later deposit or withdrawal will clear. New wallet exposure, a changed pattern or updated sanctions information can trigger a fresh review.

Why an account or transfer is placed under review

A review can begin during onboarding, after a monitoring alert, when ownership information changes, or when a transfer lacks required data. Common operational reasons include:

  • an identity document is expired, cropped, unreadable or inconsistent with the application;
  • the name or address differs across documents or between an individual and a business;
  • the firm cannot establish who ultimately owns or controls a company;
  • the expected activity does not match observed volume, geography or transaction speed;
  • a sanctions, PEP or adverse-information match needs resolution;
  • funds come from a wallet or counterparty associated with elevated risk; or
  • required originator or beneficiary information is missing from a crypto transfer.

During an investigation, the firm may ask for context, request documents, impose a temporary restriction, escalate the case to its money-laundering reporting officer (MLRO) or equivalent, and decide whether a report is required. In the United Kingdom, FCA guidance identifies the MLRO as responsible for overseeing AML activity and reporting to the National Crime Agency. Reporting and customer-notification rules differ by jurisdiction, so a provider may be unable to explain the precise reason for a restriction.

Documents you may be asked to provide

The following examples are possibilities, not a universal checklist. A firm should request only what is relevant to its legal duties and risk assessment, but higher-risk cases can require several categories at once.

Purpose Possible evidence When it is more likely
Identity and address Passport or identity card; driving licence; residence permit; recent utility, bank or government letter; secure electronic verification Account opening, failed electronic verification or conflicting details
Business identity and ownership Company-registry record, constitutional documents, ownership chart, director list, trust or partnership documents, identification of owners and controllers Business accounts, complex structures or changes in control
Purpose and expected activity Business description, invoices, contracts, payroll information, projected turnover or explanation of a particular payment Unusual volume, new business activity or a mismatch with the original profile
Source of funds Bank statements, payslips, tax records, sale agreement, inheritance or gift documents, investment statements Large deposits, wealth inconsistent with the profile or EDD
Source of crypto Blockchain transaction hashes, statements from another platform, mining or staking records, sale records or tax evidence Large or unusual deposits, high-risk wallet exposure or unclear acquisition history
Travel Rule information Originator and beneficiary name or account details, and other fields required by the applicable provider or jurisdiction Qualifying crypto transfers where required fields are incomplete

How long AML checks take

There is no cross-industry processing time. A straightforward automated identity match can finish quickly, while manual EDD, a business ownership review, a sanctions false-positive investigation, a cross-border transfer or source-of-funds verification can take substantially longer. An exchange may also need a response from another provider before releasing a transfer.

Time is affected by the quality and consistency of your submission, the complexity of ownership, the number of jurisdictions involved, the product’s risk level, the transaction’s size and the firm’s workload. Do not send altered screenshots or incomplete files to speed up a review; that can create another integrity concern.

The Travel Rule for crypto transfers

The Travel Rule requires virtual-asset service providers, in applicable circumstances, to obtain, hold and securely transmit information about the transfer’s originator and beneficiary. The information accompanies the transfer between regulated providers; it is not a request for the blockchain protocol itself to reveal a person’s identity.

Requirements vary by jurisdiction and by whether the counterparty is a regulated provider, an unhosted wallet or another type of service. The European Banking Authority’s guidelines explain how payment and crypto-asset service providers should detect missing or incomplete information; their stated application date was 30 December 2024.

If required fields are absent, an exchange may ask you to supply beneficiary details, pause or reject the transfer, or perform additional review. The decision depends on local law, the counterparty and the provider’s documented risk policy. A transfer hold therefore does not by itself establish that the assets are illicit.

Bank checks versus crypto-exchange checks

Area Bank Crypto exchange
Onboarding Identity, relevant beneficial ownership, purpose, expected activity and risk rating The same CDD elements, plus information about intended crypto use and sometimes wallet activity
Monitoring data Fiat deposits, withdrawals, cards, cash and payment transfers Fiat activity plus wallet addresses, blockchain transactions, counterparties and transaction-graph signals
Transfer information Originator and beneficiary data under applicable payment rules Travel Rule data may accompany qualifying crypto transfers; missing fields can trigger review
Escalation EDD, account review, possible restriction and suspicious-activity reporting The same measures, with possible wallet screening, source-of-crypto questions and transfer holds
Timing and documents Institution- and risk-dependent; no universal list Exchange-, asset-, jurisdiction- and risk-dependent; no universal list

How to prepare and respond to a request

  1. Use one consistent legal identity. Enter your name, date of birth and address exactly as they appear on your evidence. Explain legitimate differences, such as a recent move or transliteration.
  2. Keep current evidence available. Have valid identity and address documents, ownership records for a business, and appropriate source-of-funds or source-of-crypto records.
  3. Describe the activity plainly. State who sent or will receive the money, why, the expected amount and how the funds were acquired. Include transaction hashes or payment references where relevant.
  4. Answer the specific request. Upload complete, readable files through the institution’s official channel. Do not send passwords, seed phrases or private keys; AML verification should not require control of your wallet secrets.
  5. Check business ownership information. Make sure registries, account forms and ownership charts agree, including indirect owners and controllers.
  6. Allow for ongoing review. Update your address, ownership, tax residence, occupation and expected activity when they change. A prior KYC approval does not bind future monitoring decisions.

Important limits and jurisdictional differences

AML obligations are set by national and regional law, supervisory guidance and the provider’s licence. Definitions of a covered crypto service, reporting thresholds, treatment of self-hosted wallets, PEP rules, data-retention periods and customer-notification restrictions can differ. The same transaction may receive different handling at two institutions because their risk appetites, products and available data differ.

Official guidance from the FCA, FinCEN, FATF and the EBA describes the framework, but it does not create one global form or approval timetable. Before moving funds, check the provider’s current terms, licensing status, local Travel Rule implementation and document requirements for your jurisdiction.

The practical takeaway

Expect AML checks to continue throughout the relationship. Give the firm a coherent explanation of who you are, who owns the account, why you need the service and where the money or crypto came from. A review is a risk-control step, not automatically an accusation; clear, consistent evidence is the most reliable way to resolve legitimate questions.
