How AI To-Do Lists Work—and Where They Can Get Tasks Wrong

AI to-do lists can turn a broad goal into suggested steps and reminders, but those suggestions are drafts—not guarantees of a complete or correctly ordered plan. They can miss prerequisites, misunderstand what matters to you, or surface the wrong task at the wrong time, so review the list before relying on it.

How AI to-do lists turn a goal into tasks

A person might enter a goal such as “prepare for a conference.” An AI system can interpret that request and propose smaller actions, such as confirming the venue, arranging travel, preparing presentation materials, checking registration requirements, and sharing the final schedule with colleagues. In a task app, those suggestions may appear as list items and connect to features such as due dates, notifications, or recurring reminders. What the app actually supports depends on the product; not every to-do list uses the same method or offers the same controls.

The useful way to think about this feature is as assistance with planning, not as an independent project manager. The system receives a broad instruction, infers likely sub-tasks, and presents a draft that a person can accept, edit, delete, or reorder. Some products may also use information already in a calendar, shared workspace, or task history, but that behavior is product-specific and should not be assumed from the word “AI” alone.

Task decomposition and dependencies

The TaskLAMA paper presents structured complex task decomposition: breaking a real-world goal into steps and representing which steps depend on others. In the paper, dependencies are represented as a directed acyclic graph: steps are nodes, and edges indicate that one step depends on another. For a conference, “confirm the event dates” could precede “book travel,” while “finish the presentation” could precede “send the slides to the organizer.” The graph captures relationships that a flat checklist can hide.

A user-facing app might display only the steps as a checklist, without showing the underlying graph. It may approximate dependencies with subtasks, labels, or due dates, or it may not represent dependencies explicitly at all. The TaskLAMA approach should not be assumed to describe every commercial app, and a polished interface does not prove that the app has correctly understood the order of work.

What the TaskLAMA results do—and do not—show

The Google Research author team reported that language models improved on the best baseline in its task-decomposition evaluation by 15% to 280%, and that proposed approaches produced relative improvements of 7% to 37% (2024). Those are relative results on the paper’s evaluation against its baselines. They are not a general accuracy score, a productivity increase, or a promise that an app will create a complete plan for your project.

The same work reports that models still struggled to predict pairwise temporal dependencies. That distinction matters: a model can generate many individually sensible tasks and still fail to identify which one must happen first. The figures come from the paper’s evaluation and comparison methods, not the performance of a named to-do product, a particular model version, or every type of personal task.

A conceptual workflow from request to reminder

  1. Interpret the request. The system turns natural language into an intended outcome, such as getting ready for a conference.
  2. Suggest candidate actions. It proposes smaller, more concrete items instead of leaving the goal as one vague entry.
  3. Infer relationships. Where its understanding permits, it may treat some actions as prerequisites for others.
  4. Attach planning details. A product may suggest due dates, priorities, owners, or reminder times.
  5. Surface prompts. The app may show a notification or daily briefing based on its rules and the information available to it.

This is a helpful mental model, not a claim that every product executes all five stages or uses a directed acyclic graph. Users should check which steps are visible and editable rather than assuming that an automatic reminder reflects a complete plan.

How an AI-generated task list can go wrong

It can miss a prerequisite or put steps in the wrong order

A list may contain sensible actions but still fail as a plan if a necessary step is absent or scheduled too late. For example, “book travel” and “confirm the event dates” are both plausible tasks, but booking before confirming the dates could create avoidable trouble. A conference plan might also omit checking passport validity, obtaining approval for expenses, or confirming who is responsible for the presentation. Whether those items are necessary depends on the person’s situation; the point is that the system may not know a constraint that was never stated.

TaskLAMA reports that models still struggled to predict pairwise temporal dependencies. Before accepting a generated list, ask of every important item: what has to be true before this can begin, and what cannot happen until it is finished? A flat list can make two tasks appear equivalent even when one blocks the other. This is a specific weakness reported by the TaskLAMA paper, not an error rate for every task app.

It can sound certain without being reliable

The Australian Government’s National AI Centre warns that “Generative AI systems will typically give an answer even when they don’t have reliable information.” This is general guidance about generative AI, not a measured finding about AI to-do lists. It is a reason to check factual details in generated tasks—such as dates, requirements, names, eligibility rules, or contact information—rather than treating confident wording as proof.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A generated item such as “submit the standard registration form by Friday” contains several factual assumptions. There may be no standard form, Friday may not be the deadline, or the responsible person may be someone else. Verify those details against the event organizer, an official policy, a calendar, or another reliable source before acting. If a mistake could affect money, employment, customers, or a public commitment, do not let the list substitute for that verification.

It can misunderstand what you consider important

Turning a goal into a list is not the same as understanding a person’s priorities. A suggested task may be reasonable in general but irrelevant to your situation, while a critical detail may be missing because it was never included in the prompt. “Prepare for the conference” does not tell the system whether the main risk is travel, accessibility, a speaking deadline, a budget limit, or coordinating a team.

Outputs can also reflect gaps or bias in training data, and the National AI Centre notes that a system may interpret instructions differently from what the user intended. Use plain constraints in the request, then inspect the result for assumptions about people, roles, resources, or customary procedures. If the list assigns work to a colleague or describes a customer-facing step, confirm that the assignment and wording match the real situation.

It can remind you about the wrong thing

A reminder system has to decide what to surface and when. In a Microsoft Research study of AI-powered reminders for collaborative tasks, participants had different work patterns and did not perceive universal value in daily briefings. The authors describe a design tension: a system might prioritize tasks by importance and urgency, or instead highlight tasks a person is likely to forget. Those aims do not always point to the same reminder.

For example, a low-effort task that is easy to forget may be surfaced before a larger task with a nearer deadline. Conversely, a system that always emphasizes urgency may repeatedly show an obvious deadline while failing to remind you about a small dependency that keeps the work moving. The study does not establish that every briefing feature is ineffective; it shows why reminder usefulness depends on the person’s workflow and preferences.

It can encourage over-trust

A long, neatly worded list can look more authoritative than a short one. Accepting every suggestion without checking can turn an assistive feature into an unreviewed decision-maker. The National AI Centre’s guidance recommends checking outputs, verifying facts, and keeping people involved in decisions that affect staff, customers, or the community. Apply that standard when a task list assigns responsibility, changes a service, communicates externally, or triggers a consequential action.

How to review an AI-generated plan

Before acting on a generated list, check it as a draft plan—not just as a collection of plausible-sounding items. A short review can expose a missing dependency or an unsuitable reminder.

  1. Confirm the goal. Restate the intended outcome in one sentence. Make sure the list reflects what you meant, including important constraints, dates, people, locations, budgets, and the definition of “done.”
  2. Check the facts. Verify dates, requirements, names, costs, and contact details against a reliable source. Do not infer that a specific instruction is true merely because the wording is confident.
  3. List the prerequisites. For each high-impact task, ask what must happen first. Add approvals, access, information, materials, or decisions that the system did not include.
  4. Test the order. Read the plan from start to finish and look for a step that depends on a later one. Reorder tasks or make the relationship explicit where the app allows it.
  5. Separate must-do and nice-to-have work. A generated plan can mix essential actions with generic suggestions. Mark what is required for the goal and remove items that add effort without value.
  6. Set your own priorities. Reorder tasks and adjust timing to reflect what is important to you, not just what the system chose to highlight. Add a human owner when responsibility matters.
  7. Decide which reminders fit your workflow. Keep, change, or dismiss reminders that do not suit how you work or when you can act. Choose a time that supports action rather than creating noise.
  8. Review after changes. If a date, owner, or prerequisite changes, scan the downstream tasks again. A corrected item can make another reminder or deadline inappropriate.
  9. Keep people involved in consequential decisions. Do not let an automatically generated list make decisions that affect staff, customers, or the community without appropriate human judgment and, where needed, approval.

For a conference example, first verify the official dates and registration rules. Then arrange the dependency chain—confirm dates, obtain approval, book travel, prepare materials, and share the final plan. Finally, choose reminders that match when you actually make bookings and review slides. These checks align with the National AI Centre’s general guidance to review outputs, verify facts, and keep people involved in consequential decisions; they are practical safeguards, not a guarantee that a generated plan is complete.

What to look for in an AI task-list app

Rather than assuming that an “AI” label means a list is dependable, check how much control the app gives you over its suggestions. The following are useful evaluation questions, not a ranking of specific products:

  • Task capture: Can you see and correct how the system interpreted your goal? Can you edit the wording, split a broad item, or delete an assumption?
  • Dependencies: Can you identify, edit, or reorder prerequisite steps? Does the interface make relationships visible, or does it show only an unconnected list?
  • Priority and timing: Can you override suggested importance, due dates, owners, and schedules? Are changes easy to make when circumstances change?
  • Reminder controls: Can you tune what gets surfaced and when, so prompts fit your working pattern? Can you dismiss a reminder without losing the underlying task?
  • Context and transparency: Does the app show which information informed a suggestion, or at least let you inspect the assumptions? Can you tell whether a date came from your calendar, your text, or an inference?
  • Human approval: Can a person review an assignment or external action before it affects colleagues, customers, or the community?
  • Failure recovery: Can you undo generated changes, restore a deleted item, or compare the draft with your edited version?

These questions follow from the task-decomposition and reminder findings: a useful tool should help you capture the intended task, expose or let you edit dependencies, override priority and timing, and make reminders fit your workflow. They are evaluation criteria, not evidence that a particular product meets them.

The studies cited here examine task decomposition and reminder experiences; they do not establish that every AI task app improves productivity, performs equally well, or has a known commercial-product error rate. No universal adoption, completion, or accuracy statistic should be inferred from the reported relative improvements.

Frequently asked questions

How do AI to-do lists work, and can they get tasks wrong?

They interpret a goal, suggest smaller actions, and may connect those actions to scheduling or reminders. They can get tasks wrong by omitting prerequisites, misordering dependent steps, misunderstanding the user’s intent, or surfacing a reminder that does not match the user’s priorities.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does a longer generated list mean it is better?

No. Length does not show that the list is complete or correctly prioritized. Review whether each item is necessary, factual, and connected to the intended outcome. Remove generic work and add missing prerequisites.

What does a dependency mean in a task list?

A dependency is a relationship in which one step must happen before another. In the TaskLAMA framing, steps are nodes in a directed acyclic graph and dependency edges show the required direction. An app may or may not display that structure directly.

Are the 15% to 280% improvements a productivity guarantee?

No. The Google Research author team reported those relative improvements in a 2024 task-decomposition evaluation against its best baseline. The figures are not general accuracy, productivity, task-completion, or commercial-app effectiveness rates.

Why might an AI reminder feel unhelpful?

People work differently and value different prompts. Microsoft Research’s April 2024 study found mixed perceived value in AI-powered daily briefings and described a tension between surfacing urgent or important tasks and surfacing tasks a person is likely to forget.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Should I verify every AI-generated task?

Check factual details and prerequisites before acting, with extra care when an error could affect money, staff, customers, or the community. The National AI Centre says generative systems may answer without reliable information, so confident phrasing is not verification.

Can I use an AI task list for decisions involving other people?

Use it to propose and organize work, but keep people involved in consequential decisions. Confirm assignments, communications, and policy-sensitive actions with the appropriate human owner before they take effect.

What is the most important app feature to check?

Control. You should be able to inspect and edit the interpreted task, dependencies, priorities, timing, and reminders. A system that makes suggestions easy to accept but difficult to correct deserves more caution.

Frequently Asked Questions

How do AI to-do lists work, and can they get tasks wrong?

They interpret a goal, suggest smaller actions, and may connect those actions to scheduling or reminders. They can omit prerequisites, misorder dependent steps, misunderstand intent, or surface the wrong reminder.

Are AI-generated task lists complete?

Not necessarily. Treat them as drafts, verify facts, and check every important prerequisite and dependency.

Do TaskLAMA’s improvement figures prove an app will improve productivity?

No. The 15% to 280% and 7% to 37% figures are relative results from a 2024 task-decomposition evaluation, not productivity or commercial-app accuracy rates.

Why can reminders feel irrelevant?

Reminder systems must choose between importance, urgency, and the likelihood that a task will be forgotten. Microsoft Research found that people’s workflows and perceived value of daily briefings varied.

What should I verify before following an AI task?

Check dates, requirements, names, owners, costs, and prerequisites against reliable information, especially when an error could have meaningful consequences.

Can AI assign consequential work without review?

No. Keep people involved when tasks affect staff, customers, or the community, and obtain appropriate human approval.

The Bottom Line

AI to-do lists are useful for turning vague goals into candidate actions, but a generated plan is not proof that the tasks are complete, correctly ordered, or aligned with your priorities. Check facts, expose prerequisites, edit priorities and reminders, and keep human judgment in decisions with meaningful consequences.
