For long or interactive documents, preserve navigation such as headings, bookmarks, and hyperlinks, and check the exported PDF instead of assuming a setting fixed every issue.
“Word options” can mean Microsoft Word or word-processing software generally. The steps below are specific to Word where noted; InDesign’s controls are different and are labeled separately.

Choose settings for the PDF’s destination
There is no single best PDF export configuration. The right choices depend on whether the file is meant for screen reading, web sharing, assistive technology, interactive use, or commercial printing. Before exporting, decide what the recipient needs to do with the file.

- Screen reading or accessibility: retain semantic structure and tags, and make sure the source document is accessible.
- Long-document navigation: preserve useful headings, bookmarks, hyperlinks, and table-of-contents links where the application supports them.
- Web or electronic distribution: consider options that optimize delivery and accessibility, while checking how the conversion is handled.
- Print production: use the printer’s specifications. A print-exchange PDF is not interchangeable with a general-purpose interactive PDF.
- Interactive delivery: preserve only the links and interactive elements the recipient is expected to use.
Export controls can affect structure and navigation as well as appearance. They may also determine whether metadata, layers, or interactive features are included. Microsoft and Adobe document different controls for their respective applications, so menu names and availability can vary by version, platform, locale, and export mode.

Microsoft Word: make the source document accessible first
Word can add accessibility tags when saving or converting to PDF in supported versions, but tags do not repair a poorly structured document. Microsoft recommends preparing the source document for accessibility before creating the PDF. Use meaningful heading styles and document structure, and provide appropriate alternative text for images. Then inspect the PDF to confirm that its reading and navigation work as intended.
Microsoft’s guidance describes an option named Best for electronic distribution and accessibility. In supported Office workflows, this conversion uses a Microsoft online service, so consider whether sending the document for online conversion is acceptable for your document-handling requirements. Microsoft’s accessible PDF guidance describes adding tags so people using screen readers and other assistive technologies can read and navigate content such as tables of contents, hyperlinks, bookmarks, and alt text.

Microsoft’s technical documentation says Word PDF output can include semantic PDF/UA tags for document elements. Depending on the selected option, bookmarks can be based on document headings or Word bookmarks. That makes the source structure and export choice relevant to navigation; it does not guarantee that every exported file meets a reader’s needs. Adobe InDesign: preserve the features the reader needs
InDesign has its own PDF export dialog; its options are not Word menu instructions. For screen-oriented or interactive delivery, review the General and Advanced options and include only what the output requires.

- Tagged PDF: enable it when semantic structure is needed. InDesign-generated tags are based on a subset of Acrobat’s supported tags, so this setting alone is not proof of full accessibility.
- Bookmarks and hyperlinks: include them when readers need navigation. InDesign can also preserve table-of-contents entries and related interactive features when configured for export.
- Plain-text metadata: consider enabling it when metadata should be discoverable in the PDF.
- Fast Web View: consider it for web delivery.
- Hidden spreads, layers, nonprinting objects, thumbnails, editing data, and interactive elements: include these only when the job calls for them; extra content or editing capability may not belong in a reader-facing deliverable.
Adobe describes these controls in its InDesign PDF export options documentation. InDesign retains export settings until they are changed, so check the selected preset and options whenever the purpose of a deliverable changes. A prior screen or interactive export configuration may not suit a later print job.
For print, follow the printer’s PDF/X requirements
PDF/X is a print-exchange format designed to reduce certain variables—such as color, font, and trapping issues—that can cause production problems. It is not a universal choice for PDFs that need screen-reader structure, web optimization, or interactive behavior. Ask the printer which PDF/X standard and settings are required rather than choosing a preset without production specifications.

Adobe’s InDesign PDF export guidance explains the distinction between export purposes and notes that settings persist until changed. The printer’s requirements and the recipient’s use should determine the preset.

Export settings are only one part of the result. Open the finished PDF and verify that it behaves as intended: check the visible layout, follow important links, inspect bookmarks or table-of-contents navigation, and confirm that accessibility structure has carried through. If a feature is missing, revisit both the source document and the export options rather than assuming a different preset alone will correct it.

Adobe’s InDesign PDF options for accessibility describes generated tags and their relationship to supported Acrobat tags; Microsoft’s documentation similarly makes source-document accessibility part of the workflow. A tagged file is a useful step, not a substitute for checking the actual document.
