Google Meet is the better default when your organization already runs on Google Workspace, wants browser-first meetings and needs calls embedded in Gmail, Calendar, Drive and Docs. Zoom is the stronger choice for meeting-heavy teams that need more meeting controls, larger standard business capacities, long sessions or a broader communications suite with chat, phone, scheduler, whiteboard, clips and AI assistance.
The practical decision comes down to four questions: how many people must join, whether meetings may exceed 40 minutes on the free plan, which recording and AI features your plan includes, and whether you want an integrated productivity bundle or a standalone communications platform. The prices and entitlements below are 2026 US list references; billing term, country, taxes, promotions, account type and administrator settings can change the result.

Google Meet vs Zoom at a glance
| Decision area | Google Meet | Zoom |
|---|---|---|
| Best starting point | Organizations already paying for Google Workspace and working in Gmail, Calendar, Drive and Docs | Teams that treat video meetings as a dedicated communications system |
| Browser experience | Strong browser-first workflow with no desktop installation required for ordinary meetings | Works in a browser, with a mature desktop and mobile application experience |
| Free entry | Basic Meet supports up to 100 participants; duration and feature availability depend on whether the account is consumer or Workspace and on administrator settings | Basic supports 100 participants but limits meetings to 40 minutes |
| Paid growth path | Workspace tiers move from 100 to 150, 500 and Enterprise live-streaming capabilities | Pro remains at 100 participants, Business moves to 300, Enterprise to 500, with optional capacity up to 1,000 |
| Distinctive advantage | Deep Workspace integration and centralized Google administration | Meeting controls plus chat, phone, scheduler, whiteboard, clips and AI features in one suite |
| Who should be cautious | Buyers needing a standalone phone-and-meetings platform or a capacity plan outside Workspace | Teams that only need occasional short calls and do not want a separate subscription |
Neither product should be judged by its free participant number alone. A 100-person ceiling does not tell you how long a call can run, whether it can be recorded, who receives transcripts, or whether attendance and AI notes are included.

Free plans: the 100-person headline hides the important difference
Zoom Basic
Zoom Basic lists 100 participants, but group meetings on that plan have a documented 40-minute maximum. That limit applies even when the meeting has fewer than 100 people, so it matters for classes, workshops and client calls that routinely run beyond a single lesson or appointment slot. A host can end and restart a meeting, but that creates a new join event and is not a substitute for an uninterrupted session.

Google Meet basic access
Google’s basic Meet information lists a maximum of 100 participants. The available features and meeting duration depend on whether you are using a consumer Google account or a Google Workspace edition, and administrators can affect availability. Google does not present one universal free duration rule that applies to every account type, so confirm the limit shown in the account you will actually use.
How to choose when you are staying free
- Choose Zoom Basic if your meetings fit inside 40 minutes and you value Zoom’s familiar meeting controls or application ecosystem.
- Choose Meet if participants already use Google accounts and you want invitations and joining to flow through Google Calendar without adding a separate paid communications product.
- For a recurring class, support desk or consultation, test the exact account type first. Consumer and Workspace behavior is not interchangeable.
- Do not promise recording, transcripts, attendance reports or AI notes to free users without checking the edition; those capabilities are tier-dependent.
2026 pricing and participant capacity
The following are representative US list prices supplied for 2026. They are not quotes: annual billing, regional pricing, taxes, promotions and negotiated contracts can change the amount. Google prices are per Workspace user; Zoom prices are per licensed host or user, so compare how many people must host meetings rather than multiplying the headline by the entire staff.
| Service and plan | List price reference | Participant capacity | Meeting duration or notable inclusion |
|---|---|---|---|
| Google Workspace Business Starter | $7 per user per month | 100 | Google lists a 24-hour maximum meeting length for Business Starter |
| Google Workspace Business Standard | $14 per user per month | 150 | Includes Meet recording; Google lists a 24-hour maximum meeting length |
| Google Workspace Business Plus | $22 per user per month | 500 | Includes attendance tracking; Google lists a 24-hour maximum meeting length |
| Google Workspace Enterprise | Not stated in the supplied pricing facts | Enterprise documentation lists 1,000-person in-domain live-streaming capability | Verify the specific Enterprise agreement and whether you need a meeting, livestream or both |
| Zoom Basic | Free | 100 | 40-minute maximum for meetings on the Basic plan |
| Zoom Pro | $16.99 per user per month, or $14.16 monthly equivalent when billed annually | 100 | Up to 30-hour meetings |
| Zoom Business | $21.99 per user per month, or $18.33 monthly equivalent when billed annually | 300 | Business-level administration and capacity |
| Zoom Enterprise | Not stated in the supplied pricing facts | 500; optional add-ons can raise capacity to 1,000 | The 1,000-person figure is an add-on path, not the default Enterprise limit |
Google’s 1,000 figure is described as Enterprise in-domain live streaming, while Zoom’s 1,000 figure is an optional participant-capacity add-on. Those are different delivery models: a livestream can be appropriate for a broadcast where most viewers do not speak, whereas a 1,000-person interactive meeting has different moderation and network requirements.
Which is cheaper for a small team?
On list price alone, Google Workspace Business Standard is $14 per user per month. Zoom Pro is $16.99 month-to-month or $14.16 per month on its annual equivalent. They are not equivalent bundles: Standard includes Google’s email, calendar, storage and collaboration environment, while Zoom Pro is primarily a meeting license. Count the actual paid users, the number of people who need to host, and whether your company already pays for Workspace before calling one cheaper.
Recording, transcripts, attendance and AI notes
Recording and intelligence features are not universal freebies on either platform. The plan, account role and administrator policy determine what appears in the meeting controls and who can access the resulting files.

Google Meet
Workspace Business Standard is the tier identified with Meet recording in the supplied plan details. Business Plus adds attendance tracking and a 500-participant tier. Google also documents transcript and note-taking controls that can be enabled by the meeting organizer or administrator. Recordings and related artifacts generally sit inside the Google environment, which is useful when teams already manage files and permissions in Drive.
Google’s security documentation states: "Google does not store video or audio records of a meeting unless the recording, transcript, or note-taking feature is activated." That is a control statement, not a promise that every account has every feature. Check who may activate recording, where files are stored, retention rules and whether external participants can receive them.
Zoom
Zoom’s paid plans provide a longer meeting allowance and a broader set of meeting-oriented options, but recording, transcription and AI entitlements still vary by plan and account configuration. Zoom’s product description includes AI meeting summaries, AI queries and note-taking alongside calendar synchronization, chat, phone and whiteboard. Treat those as capabilities to verify in the license you are buying rather than assuming that the free Basic account includes them.
What to verify before purchase
- Open the plan comparison for your country and confirm whether cloud recording, local recording, transcripts, attendance and AI notes are included or sold as add-ons.
- Check whether the host, co-host or every attendee can start each feature.
- Confirm storage location, retention, export format and sharing permissions for recordings and notes.
- Ask whether AI processing is enabled for external guests and whether your administrator can disable it by default.
- Run a short pilot with a real calendar invite and an external participant; feature flags can differ between trial and production accounts.
Integration: choose the ecosystem your staff already uses
Why Google Meet fits Workspace organizations
Meet is built into Google’s productivity flow. A Calendar event can carry the meeting link, Gmail can deliver the invitation, and Drive, Docs and other Workspace tools remain close to the call. For an organization that already provisions Google accounts, the same administrator console, identity policies and sharing model can reduce the number of systems employees must learn.
This is especially valuable for internal meetings, recurring project reviews and classes that already distribute materials through Drive or Docs. The benefit is less about a single video feature and more about avoiding a second directory, scheduler and file workflow.

Why Zoom suits a meeting-first program
Zoom Workplace is described as a broader communications suite: meetings sit alongside chat, phone, scheduler, whiteboard, clips and AI assistance. That breadth helps when external meetings, phone calling, appointment scheduling and asynchronous video are all part of the same operating model. Zoom can therefore remain the communications layer even when a company uses Microsoft, Google or another office suite for documents and email.

Calendar and identity considerations
- If every employee already has a managed Google identity, Meet usually creates fewer invitation and sign-in decisions.
- If you need a separate phone system, dedicated meeting rooms, scheduling workflows or cross-platform communications hub, evaluate Zoom’s additional modules rather than only its meeting price.
- For contractors and customers, test guest joining, lobby behavior and authentication before standardizing on either product.
Scheduling, collaboration and day-to-day meeting controls
Meet’s scheduling advantage is its proximity to Google Calendar: the organizer can create an event, attach a Meet link and share the same event with documents or an agenda. Participants who live in Gmail and Drive can move from invitation to preparation without changing applications.
Zoom’s suite emphasizes meeting operations. Its product page lists chat, phone, scheduler, whiteboard and clips in addition to meetings and AI features. Those tools can support a sales call that becomes a follow-up clip, a phone conversation that becomes a scheduled meeting, or a workshop that continues on a shared whiteboard.
For either service, write a standard operating procedure covering host assignment, waiting-room or lobby rules, screen-sharing permissions, chat moderation, recording consent, note distribution and what happens when the host disconnects. A well-designed policy often matters more than a small difference in button layout.
Administration, security and privacy
Google administration
Workspace administrators can manage Meet availability alongside Google identities, organizational units and sharing policies. That unified administration is a strong reason to choose Meet when the company already governs Gmail and Drive centrally. It also means a Meet policy should be reviewed with existing data-retention and external-sharing rules rather than configured in isolation.

Zoom administration
Zoom’s higher business tiers are aimed at organizations that need dedicated meeting administration and a larger communications deployment. Evaluate roles, host licensing, authentication, waiting rooms, recording permissions, participant removal and reporting in the exact edition. Features shown in a product overview may require a paid tier or an add-on.
Privacy controls common to both
- Decide whether recordings and transcripts are on by default or enabled only by the host.
- Set a retention period and identify who can download or share files.
- Use moderator controls to mute or remove disruptive participants; Google specifically documents those controls for Meet.
- Make recording and AI-note consent clear to employees, customers and students, taking local law and organizational policy into account.
- Audit guest access, screen sharing and chat before opening a meeting to a large external audience.
Which platform fits each meeting type?
Internal team meetings
Meet is usually the cleaner choice for a Workspace-based company because calendars, documents and identity are already in one place. Zoom can be better when the team needs its meeting controls, phone integration or a larger communications suite independent of the office productivity stack.
Classes and training
Check duration first. Zoom Basic’s 40-minute ceiling can interrupt a lesson, while the paid tiers and Google Workspace editions have longer allowances. For attendance, recording and transcripts, confirm the exact plan before publishing a course timetable or promising students access to recordings.
Client calls and sales meetings
Choose the tool your customers can join with the least friction, then test guest authentication, screen sharing and recording consent. Zoom’s meeting-centric controls and add-on communications can suit a sales organization; Meet is convenient when invitations, proposals and follow-up documents already live in Google Workspace.

Pick the symptom - the matching free tool is one click away.
Webinars and all-hands broadcasts
Do not equate a participant cap with a broadcast product. Zoom’s documented path to 1,000 requires an optional add-on, while Google’s 1,000-person figure is described as Enterprise in-domain live streaming. Confirm whether viewers need two-way participation, whether they are inside your domain and which moderation and registration tools are included.
Best Value
- 5-in-1 Connectivity: Equipped with a 4K HDMI port, a 5 Gbps USB-C data port, two 5 Gbps USB-A ports, and a USB C 100W PD-IN port. Note: The USB C 100W PD-IN port supports only charging and does not support data transfer devices such as headphones or speakers.
- Powerful Pass-Through Charging: Supports up to 85W pass-through charging so you can power up your laptop while you use the hub. Note: Pass-through charging requires a charger (not included). Note: To achieve full power for iPad, we recommend using a 45W wall charger.
- Transfer Files in Seconds: Move files to and from your laptop at speeds of up to 5 Gbps via the USB-C and USB-A data ports. Note: The USB C 5Gbps Data port does not support video output.
- HD Display: Connect to the HDMI port to stream or mirror content to an external monitor in resolutions of up to 4K@30Hz. Note: The USB-C ports do not support video output.
- What You Get: Anker 332 USB-C Hub (5-in-1), welcome guide, our worry-free 18-month warranty, and friendly customer service.
Large interactive meetings
Compare the licensed host capacity, not just the vendor’s maximum headline. Zoom Business lists 300 and Enterprise 500 before the optional 1,000 add-on. Google Workspace lists 150 on Standard and 500 on Plus, with Enterprise live-streaming capability at 1,000. Plan for moderators, backup hosts, recording storage and a way to handle questions at scale.
A decision framework you can apply in 10 minutes
- Identify your existing stack. If your staff already uses managed Gmail, Calendar, Drive and Docs, start with Meet. If meetings, phone, chat and whiteboard are the center of your communications plan, start with Zoom.
- Count hosts and attendees separately. Zoom pricing is tied to licensed hosts or users; Google Workspace pricing is per user. A low host count can change the cost comparison.
- Set the longest normal meeting. If any regular free meeting exceeds 40 minutes, Zoom Basic is not sufficient. For paid plans, check the documented maximum and any account-specific policy.
- Set the largest interactive audience. Match the tier to 100, 150, 300, 500 or a larger requirement, and distinguish a live stream from a meeting where everyone can speak.
- List required artifacts. Mark recording, transcript, attendance, AI summary, searchable notes, export and retention as separate requirements; no plan should be assumed to include all of them.
- Test external joining. Invite a personal account and a customer account, then test lobby, authentication, screen sharing, captions, recording and file delivery.
- Approve the operating policy. Document who may record, how consent is announced, how long files remain available and who handles abuse or accidental disclosure.
Common buying mistakes and how to avoid them
- Comparing Zoom Pro with Workspace as if they were identical. Workspace includes a larger productivity bundle; Zoom Pro is primarily a meeting license. Compare total software spend, not only the meeting line item.
- Assuming 100 participants means unlimited meetings. Zoom Basic still has the 40-minute limit, and Google’s basic behavior depends on account type and administration.
- Buying the largest advertised number without checking the delivery mode. Google’s 1,000 figure is in-domain live streaming; Zoom’s 1,000 figure requires an optional add-on.
- Promising AI notes to every user. AI summaries, queries and note-taking are plan- and policy-dependent. Verify entitlement and data handling.
- Ignoring annual versus monthly billing. Zoom’s Pro and Business figures differ materially by billing term, and regional taxes or promotions can change both vendors’ totals.
- Skipping a guest test. An internal pilot can hide authentication, lobby, recording-sharing or browser issues that customers will encounter.
Bottom-line recommendation
Pick Google Meet when Google Workspace is already your company’s operating system, browser access and Calendar-driven scheduling matter most, and the required meeting size fits the Workspace tier you can justify. Business Standard is the key step when recording and 150-person meetings are required; Business Plus is the step for attendance tracking and 500-person meetings.
Pick Zoom when you need a dedicated meeting platform, 30-hour paid sessions, 300-person Business capacity, stronger meeting-program controls or a communications suite that includes chat, phone, scheduler, whiteboard, clips and AI features. For events beyond 500 interactive participants, verify the optional capacity add-on and moderation model rather than relying on a headline maximum.
Before signing, reproduce one real meeting with the exact licenses, hosts, guest accounts and recording or AI workflow you intend to use. That short validation catches more risk than choosing by brand familiarity or the free participant number.
Prices, participant limits, AI entitlements and promotions can change by country, billing term, account type, administrator settings and rollout. Recheck the vendor’s current plan pages and your contract at purchase time; no independent hands-on performance test is represented here.
