That assurance is separate from Gemini Apps Activity, Connected Apps and Google Workspace smart-feature settings, which can save activity or permit broader access.
What Gemini can see in Gmail
Gemini’s access depends on which product you are using and which controls are enabled. Asking Gemini in Gmail to summarize a message is different from allowing the Gemini app to search connected Workspace services. Treat these as separate data paths rather than one universal “Gemini setting.”

Gmail tasks you explicitly request
When Gemini in Gmail summarizes a long thread, drafts a reply or performs another inbox task, it processes the email information needed for that specific request. Google’s April 7, 2026 privacy statement says this processing is isolated to the task, happens before Gemini leaves the inbox, and is not retained afterward. The same statement says Google does not train its foundational AI models, including Gemini, on personal emails.

This is a product-specific assurance for Gemini in Gmail. It does not mean that every Gemini conversation, connected application or Workspace smart feature follows the same retention and access rules.

Connected Apps and Workspace content
Gemini’s Connected Apps feature can provide access to information from connected services. Google’s Gemini Apps Privacy Hub lists emails, files, events, photos and videos, as well as Gemini chat information, device and preference information and location. If Gmail or Google Workspace is connected, Gemini can look up information in email and other Workspace content to give tailored help or complete tasks.
Disconnecting Gmail or another app prevents future connected access. It does not automatically erase information already present in Gemini Apps Activity, and it cannot remove copies that another app has already received. Review and deletion therefore require a separate activity-management step.
Processing is not the same as model training
“Used to answer your request” and “used to train a foundational model” are different operations. Google’s current Gmail statement rules out training foundational models on personal emails, but Gemini still has to process the content to answer you. Other Gemini controls govern whether chats are saved, how long activity is retained, whether human reviewers may review selected chats, and whether data can be used to improve Google AI.

Gmail presents several privacy switches with overlapping names. They operate at different scopes, so turning off one does not switch off the others.

Google says Gmail/Chat/Meet smart-feature changes apply across devices and apps where you are signed in, although a change made on a computer may not appear immediately in a mobile app. Regional defaults and administrator policies can override what you see.

How to limit Gemini in a personal Gmail account
Use a computer for the clearest view of every control. Complete the Gmail switches first, then check Gemini’s connected apps and activity settings.
- Open Gmail settings. Sign in to Gmail, select the gear icon, then choose See all settings.
- Disable Gmail-level smart features if required. In the General tab, find Smart features. Uncheck Turn on smart features in Gmail, Chat, and Meet. This removes the Gmail, Chat and Meet features listed above.
- Open Workspace smart-feature controls. Still in General, find Google Workspace smart features and select Manage Workspace smart feature settings.
- Choose the Workspace scope. Turn off Smart features in Google Workspace if you do not want Workspace content and activity used for Workspace features. Turn off Smart features in other Google products if you also want to block the listed cross-product uses.
- Save the Gmail changes. Select Save when Gmail presents the button. These changes apply to the signed-in account, not just the browser or computer on which you made them.
- Disconnect Gemini Connected Apps. In Gemini’s settings, open Connected Apps. Disconnect Workspace, Gmail or any other service you do not want Gemini to query. Remove each connection individually; switching off Gmail smart features does not necessarily remove an existing Gemini app connection.
- Review Gemini Apps Activity. Open Gemini Apps Activity from your Google account controls. Inspect saved chats and connected-app activity, delete individual items or use the available bulk-delete controls, and choose an auto-delete period.
- Set retention and improvement preferences. Gemini Apps Activity offers an 18-month default auto-delete period, with 3-month, 36-month and indefinite options. Choose the shortest period that meets your needs and review the control governing use of activity to improve Google AI.
What these steps accomplish
Disabling Gmail smart features limits Gmail’s built-in personalization and assistance. Disabling Workspace smart features limits Workspace-wide use of content. Disconnecting Connected Apps prevents future Gemini lookups through those connections. Activity controls address data that has already been saved in Gemini’s activity system. You need all relevant steps because no single switch covers all four scopes.
What happens when you turn off Gemini Apps Activity
Turning Keep Activity off reduces the amount of Gemini activity saved to your account and disables Workspace Connected Apps while it is off. Gemini can no longer use those Workspace connections for new requests during that period.
Keep Activity off is not a complete “no processing” mode. Google says chats are still used to respond to you and to protect Google, its users and the public. That protective processing can include human review. Turning the setting off also does not undo processing that occurred before the change.
If you turn Keep Activity back on, previously connected Workspace access is restored. Recheck Connected Apps after re-enabling it if you want a narrower configuration.

Deletion and human-review retention
You can manually delete ordinary Gemini activity, but Google says some chats reviewed by human reviewers, together with related information such as language, device type, location information or feedback, may be retained for up to three years. Deleting ordinary activity does not delete that separately retained review data. This is why deleting a chat and preventing future connected access are different actions.

How Google’s Gmail privacy statement applies
Google’s April 7, 2026 statement contains two specific assurances: personal emails are not used to train Google’s foundational AI models, including Gemini, and Gemini in Gmail does not retain the data after the requested Gmail task. The statement describes isolated uses such as summarizing a lengthy email and says processing ends after the task is completed.
Those assurances should not be read as a promise that every Gemini surface has identical behavior. A chat in the standalone Gemini app, a Workspace smart feature and a connected-app lookup can have different activity, retention and administrator controls. For privacy decisions, identify the surface you are using before choosing a setting.
Work and school accounts: the administrator may have the final say
Personal Gmail controls do not give a complete picture for a Google Workspace account. Administrators manage Gemini app access in the Admin console > Generative AI > Gemini app area.
What administrators can control
The Workspace-app control can allow or block Gemini access to Gmail, Drive, Calendar, Docs, Classroom, Keep and Tasks. Google says this control is on by default for eligible Workspace editions. An administrator can change the policy for the organization, an organizational unit or a group, depending on the edition and configuration.

Why a user setting may be unavailable
Administrator changes can take up to 24 hours to take effect. An organization-enforced policy can also make a user switch unavailable or cause it to revert. If a work or school account still exposes Gmail to Gemini after you change personal settings, ask the administrator which Gemini app and Workspace smart-feature policies apply to your account.
Administrators should communicate both the policy scope and the expected propagation delay. Users should check the account identity in Gmail and Gemini before assuming a personal setting controls a managed mailbox.

Gmail Help says smart-feature settings are off by default in the European Economic Area, Japan, Switzerland and the United Kingdom. A setting being off by default does not prove that every Gemini feature is unavailable in that region; availability, legal treatment and defaults vary by region, account type and product.
When traveling or switching between personal and Workspace accounts, verify the active account and inspect the actual toggle state. Do not infer the setting from a colleague’s account or from an older screenshot.
Choosing a privacy configuration

Common mistakes and how to fix them
Assuming one Gmail switch disables Gemini everywhere
Turning off Gmail/Chat/Meet smart features does not automatically turn off Workspace smart features, other-Google-product smart features or Gemini Apps Activity. Check each scope independently.
Disconnecting an app but leaving old activity untouched
Disconnecting stops future connected access; it does not delete existing Gemini Apps Activity or information already received by another app. Use the activity controls to inspect and delete saved items.
Thinking Keep Activity off means no processing
Keep Activity off reduces saved activity and disables Workspace Connected Apps, but chats are still processed to answer requests and for safety and protection. Do not use this switch as a guarantee that a request is never processed.
Deleting a chat and expecting reviewer copies to disappear
Google says human-reviewed chats and related data can be retained for up to three years. Ordinary activity deletion does not remove that separately retained material.

Changing a personal account while using a work account
Look at the account avatar in Gmail and Gemini before changing settings. For Workspace accounts, administrator policy can override user choices, and changes may take up to 24 hours.
Expecting mobile settings to update instantly
Google says Gmail smart-feature changes apply across signed-in devices and apps, but some computer changes may not immediately reflect in the mobile app. Recheck the setting later rather than assuming a delayed display means the change failed.
A practical privacy checklist
- Identify whether the request is made in Gmail, the standalone Gemini app or another Workspace surface.
- Check whether Gmail or Workspace appears under Gemini Connected Apps.
- Decide whether Gmail-level Smart Compose, Smart Reply, categorization and summary features are worth keeping.
- Review both Workspace smart-feature switches; they are independent of the Gmail/Chat/Meet switch.
- Inspect Gemini Apps Activity, delete data you no longer want saved and select an auto-delete period.
- Remember that the default auto-delete period is 18 months, with 3-month, 36-month and indefinite choices.
- If you turn Keep Activity off, expect Workspace Connected Apps to stop and chat processing for responses and safety to continue.
- For a work or school account, confirm the administrator’s Gemini app policy and allow up to 24 hours for changes.
- Recheck defaults when using an account in the EEA, Japan, Switzerland or the UK, where Gmail smart features are off by default according to Gmail Help.
Bottom line for Gmail users
Gemini can see Gmail and other connected-app content when the relevant connection and setting permit it. Google says Gemini in Gmail does not train foundational models on personal emails and does not retain data after the requested Gmail task, but that statement does not replace the separate controls for Gmail smart features, Workspace smart features, other Google products, Connected Apps and Gemini Apps Activity. To minimize access, disable the scopes you do not need, disconnect Connected Apps, manage or delete saved activity, and check administrator policy when the account belongs to an organization.
