This is the primary user-level switch for Workspace-wide Gemini access. It also disables the Gemini side panel in Gmail and other AI-powered Workspace features.
That switch is separate from Gmail, Chat and Meet smart features and from smart features that use Workspace data in other Google products. Managed Workspace administrators can apply stronger restrictions than an individual user. The right setting therefore depends on your account type, the data path you want to close, and which convenience features you are willing to lose.

Where Gmail’s Gemini privacy controls are located
Google places the main control in Gmail’s general settings rather than in a standalone “Gemini privacy” page. Use a desktop browser because the documented path is the Gmail web interface.
- Open Gmail.
- Select the Settings gear.
- Choose See all settings.
- Remain on the General tab and scroll to Google Workspace smart features.
- Select Manage Workspace smart feature settings.
- Turn off Smart features in Google Workspace.
- Select Save.
After saving, Google says the change turns off AI-powered Workspace functions, including the Gemini in Gmail side panel. It is a broad Workspace setting, not a switch that hides only one button while leaving every other Workspace data connection active.

What the three smart-feature scopes control
Google separates smart-feature consent into three independent scopes. Disabling one does not automatically disable the others.

These scopes answer different privacy questions. Turning off Gmail, Chat and Meet personalization can affect writing and reply suggestions without necessarily closing cross-Workspace references. Turning off Workspace smart features blocks the documented Gmail-side Gemini connection, but it does not by itself decide what happens when you intentionally share information with Gemini Apps, Search or a screen-action feature. Review each scope that matches your concern.
How to choose the right privacy setting
Start with the data path rather than the feature name. The following choices map common goals to the control that addresses them.

The settings are independent. For example, disabling Gmail, Chat and Meet smart features does not automatically turn off Workspace smart features, and disabling Workspace smart features does not revoke data that you later submit directly to another Google product under that product’s terms.
What happens when you disable Smart features in Google Workspace
Gemini in Gmail is removed
Google states that turning off Workspace smart features also turns off the Gemini in Gmail side panel. You should no longer be able to invoke that Workspace-integrated panel to work with messages.

Other Workspace AI features may stop
The switch covers more than Gmail. Google describes it as controlling cross-Workspace data use, so other AI-powered Workspace features that depend on that access can also stop. A Gmail-to-Calendar experience that uses message content, or a Gmail workflow that references Drive information, may no longer be available.
Non-AI Gmail operation continues
The setting is a data-use control, not an account deletion command. Your messages, labels and ordinary mail functions remain in Gmail; the trade-off is loss of the smart features that require the disabled access. If a function is essential to your work, identify it before changing the setting and verify its behavior afterward.
Administrator controls for managed Google Workspace accounts
An individual user’s setting is not the highest level of control in a company or school account. Google says administrators can turn Gemini off, restrict it from some or all Workspace data, and control whether Gemini conversations may be shared.
Why the setting may be unavailable
If the control is missing, disabled or reappears after you change it, an administrator policy may be enforcing the organization’s choice. In that situation, changing a personal Gmail preference cannot override the administrator. Contact the Workspace administrator and ask which Gemini policy applies to your account and organizational unit.
What an administrator can restrict
- Whether Gemini is available to users at all.
- Whether Gemini can access some Workspace data or the full Workspace data set.
- Whether users can share Gemini conversations.
These controls can be narrower or broader than the user-facing smart-feature switch. An organization might permit a limited Gemini deployment while blocking access to sensitive services, or disable the feature entirely.

“Same access as you do” does not mean unlimited access
Google’s Workspace Learning Center states: “Gemini has the same access to Workspace data as you do.” In practical terms, Gemini operates within the signed-in user’s existing Workspace permissions. It does not gain a separate administrator identity that can read every mailbox or every Drive file. Existing sharing rules and account boundaries still matter.

Does Google train Gemini on your emails?
Google’s published commitment is: “Your data is your data.” Google says Workspace content is not used to train or improve generative AI models outside Workspace without permission. For users with Google AI plans, Google says Gemini in Gmail uses Workspace content to answer prompts and does not store prompts or generated output without permission.
The personal-account sharing caveat
A separate data path begins when a Workspace user deliberately shares information with Gemini Apps or Search for Personal Intelligence, or uses a screen action such as submitting a screenshot. Google says data shared through those products or actions is handled under the relevant product terms and policies and may be used for model training and improvement. Turning off a Gmail smart-feature scope does not undo a submission you have already made through another product.
How to apply the distinction
- If your concern is Gemini’s built-in Gmail or Workspace connection, turn off Smart features in Google Workspace and check any administrator policy.
- If your concern is external use, avoid pasting message text, uploading screenshots or forwarding sensitive content into Gemini Apps, Search for Personal Intelligence or similar screen-action workflows.
- For organizational accounts, ask the administrator which Workspace and non-Workspace data-sharing policies apply; the user setting may not show the complete policy picture.
Can Gemini read delegated Gmail?
Google’s documented boundary is that a Gmail delegate does not give Gemini access to the delegator’s inbox. Gemini can access only the signed-in user’s own inbox messages. Delegation lets another person perform permitted mailbox actions, but it does not automatically expand Gemini’s message-access scope to the delegator’s mailbox.
This distinction matters in shared-mailbox arrangements. A delegate may be able to open or manage another person’s messages through Gmail delegation, yet Gemini’s documented access remains tied to the user whose account is invoking Gemini. If a user manually copies delegated-message content into a Gemini prompt or shares it through another product, that deliberate action creates a separate data path.

What Gemini in Gmail can do when it is enabled
Availability depends on account type, an eligible Google Workspace or Google AI plan, language and region. Personal Gmail accounts without a paid plan have more limited availability, so the presence or absence of a feature is not proof that a privacy setting is active.
- Summarize long threads: produce a concise view of an extended conversation.
- Draft or refine email: generate wording or revise a draft.
- Organize messages: help manage mail using AI-assisted actions.
- Search for details: find information such as flight times or package tracking in messages.
- Propose meeting times: use Calendar availability to suggest times.
These tasks explain why disabling Workspace smart features has a wider effect than merely removing a side-panel icon: each depends on AI using information from Gmail or another Workspace service.
Verification after changing a setting
Use a short verification routine instead of assuming that a saved checkbox changed every product.
- Return to Settings → See all settings → General → Google Workspace smart features and confirm that the intended switch remains off.
- Open Gmail and check whether the Gemini side panel is still available. Google identifies that panel as one of the features disabled by turning off Workspace smart features.
- Check a second Workspace workflow that previously used cross-service data, such as a Gmail-to-Calendar suggestion or a Gmail action that referenced Drive information.
- Review the Gmail, Chat and Meet smart-feature setting separately if Smart Compose, Smart Reply, filtering or summary cards are still active and you want those disabled too.
- Review the smart-feature setting for other Google products if your concern includes Maps, Wallet, Gemini or Search.
- If a switch cannot be changed or returns to its prior state, ask your Workspace administrator whether an organizational policy controls it.
Common mistakes and how to avoid them
Looking only for a “Gemini” toggle
The relevant user control is labeled Smart features in Google Workspace. Searching Gmail settings for a standalone Gemini privacy switch can lead you to the wrong section.
Assuming one switch covers every product
Google’s three scopes are independent. A user who turns off Gmail, Chat and Meet personalization may still have Workspace-wide or other-product smart features enabled.
Confusing feature availability with privacy status
A missing Gemini feature can result from an unsupported account, plan, language or region. Conversely, an eligible account may show Gemini until the Workspace smart-feature setting is disabled.
Ignoring deliberate sharing
Workspace controls do not replace caution when using Gemini Apps, Search for Personal Intelligence or screenshot-based actions. Content you send through those routes follows their own terms and policies.
Expecting delegation to be a privacy control
Delegation does not grant Gemini access to the delegator’s inbox, but it also does not prevent a user from manually sharing delegated content. Treat mailbox permissions and AI-sharing choices as separate decisions.

A practical decision checklist
- Identify whether the account is personal, attached to a Google AI plan, or managed by an organization.
- Decide whether you want to stop only Workspace-integrated Gemini, all Gmail/Chat/Meet personalization, or use of Workspace data in other Google products.
- Record the smart features your work depends on before disabling them.
- Apply the narrowest setting that closes the data path you are concerned about, unless your organization requires a broader restriction.
- Verify the side panel and one cross-service workflow after saving.
- Ask an administrator about enforced policies when the control is unavailable.
- Do not submit sensitive email text or screenshots to other AI or Search workflows unless you accept those products’ terms and data-use rules.

Will turning off Workspace smart features delete my email?
No. The setting controls AI-powered and cross-Workspace smart features. It does not delete Gmail messages or remove ordinary mail functions.
Can I disable the Gemini panel but keep every other Workspace smart feature?
Google documents the Workspace smart-feature switch as a broad control. Turning it off removes the Gemini in Gmail side panel and can disable other AI-powered Workspace functions that rely on the same access; Gmail does not document a narrower user switch for only that panel.
Does disabling Gmail, Chat and Meet smart features block Gemini everywhere?
