What is the difference between Gemini Tasks and ChatGPT Tasks?
The two products automate recurring work, but they organize automation differently. ChatGPT presents a task as a scheduled or event-triggered instruction. Gemini separates the automation into three parts: the task (what you want), the schedule (when or under what condition it runs), and the skill (reusable instructions and context that explain how to perform it).

ChatGPT account and plan rules
ChatGPT Tasks availability is not universal. OpenAI says access and limits depend on the account, app version, model eligibility, and workspace settings. Event-triggered work is documented for eligible Plus, Pro, Business, Enterprise, and Edu plans, as well as eligible healthcare workspaces. Administrators can restrict connected apps in managed workspaces, so a paid subscription alone does not guarantee access to every trigger.
Free and Go accounts can have three active tasks. Plus permits five, Business and Edu permit ten, and Pro and Enterprise permit fifteen. These are active-task caps, not a promise that every task will run at the same time.
Free users can schedule no more than one one-time or recurring task per day. Eligible paid plans support schedules as often as once per hour and can deliver at an exact requested time. OpenAI also documents a separate event-triggered allowance of up to 30 runs per hour and 720 runs per day across all event-triggered tasks.

Gemini account and plan rules
Google’s current help documentation requires all of the following for assigning Tasks in Gemini:
- You are at least 18 years old.
- You are signed in with a personal Google Account.
- You subscribe to Google AI Pro or Google AI Ultra.
- Keep Activity is enabled.
- Personal Intelligence is enabled.
Work and school Google Accounts are currently unavailable for this feature. Google’s June 6, 2025 launch announcement mentioned qualifying Google Workspace business and education plans, but the current help documentation is the more relevant eligibility reference for users trying to create a schedule now. Availability can change as Google expands the feature.
Gemini allows up to 50 active schedules and up to 15 tasks running concurrently. Google warns that usage limits can stop a schedule from running, run times are approximate, and heavy traffic can cause delays.

What ChatGPT can monitor
ChatGPT’s documented event-triggered tasks can respond to supported activity in Gmail, Slack, and GitHub:
- Gmail: Trigger on a new message or apply a sender or subject filter.
- Slack: Trigger on new messages in a channel where ChatGPT has been added.
- GitHub: Respond to supported pull-request activity in an authorized repository.
These connections require app authorization and may be restricted by an organization administrator. If a task needs an approval before it can act, the task can pause rather than completing automatically. Event-triggered tasks are available only to eligible plans and workspaces, so check the account and workspace settings before designing a workflow around them.
How Gemini’s trigger model differs
Gemini’s model is broader than a simple calendar reminder. A schedule can run at a particular date and time or when an event condition is met. Google’s documented examples include a daily AI-news update and a notification when a flight is delayed, followed by a proposed itinerary update.
The reusable-skill layer is the major conceptual difference. Instead of rewriting the full method in every scheduled prompt, you can define reusable instructions and context, then apply them to multiple schedules. This is useful when several routines should follow the same format, source preferences, or decision rules.
Gemini’s advantage is strongest when the information and action already live in Google’s ecosystem or when an event condition matters more than a fixed clock time. The documentation does not establish that Gemini can monitor every Google service, so treat the published examples as the supported reference rather than assuming universal app coverage.

ChatGPT timing behavior
ChatGPT supports one-time and recurring schedules. On eligible paid plans, you can request an exact delivery time and recurrence as often as hourly. Free accounts are limited to no more than one one-time or recurring task per day.

Notifications can be sent by push notification, email, or both. ChatGPT provides a Scheduled area where eligible users can create, review, edit, pause, resume, delete, and share tasks. Scheduled tasks do not support voice chats or GPTs.
Gemini timing behavior
Gemini schedules run in the cloud, so they continue while the device is turned off. A time-based schedule is tied to the time zone in which it was created. If you travel, it keeps the original local time instead of automatically shifting to your destination’s time zone. Ask Gemini to edit the schedule if you want the delivery time changed.
Google describes Gemini run times as approximate. Usage limits can prevent execution, and high traffic can delay a run. This makes Gemini suitable for a morning briefing or periodic update where a small delay is acceptable, but less suitable when the output must arrive at a legally or operationally exact minute.

How to create and manage a ChatGPT Task
- Verify eligibility. Confirm that your account or managed workspace supports Tasks. For Gmail, Slack, or GitHub events, check that the relevant app is available and that your administrator permits it.
- Open the Scheduled area. Use ChatGPT’s Scheduled area to create a task and to review existing tasks. The area also provides controls to edit, pause, resume, delete, or share an eligible task.
- Choose the trigger type. Select a one-time schedule, a recurring schedule, or a supported event trigger. Free accounts cannot create a schedule more than once per day; eligible paid plans can schedule as often as hourly.
- Write the instruction and timing. State the desired output, the recurrence or event condition, and the delivery time. If exact timing matters, use an eligible paid plan that supports exact delivery times.
- Authorize connected apps when needed. Gmail filters can use a new message, sender, or subject; Slack triggers require ChatGPT to be added to the channel; GitHub triggers require an authorized repository and supported pull-request activity.
- Select notifications. Choose push notifications, email, or both so you know when the task completes.
- Test the failure path. Check whether the task could require approval, exceed the event-run allowance, or be blocked by an administrator. An approval-dependent action may pause instead of finishing automatically.
How to create and manage a Gemini Task
- Prepare the account. Sign in with a personal Google Account, confirm that you are 18 or older, subscribe to Google AI Pro or Ultra, and enable Keep Activity and Personal Intelligence.
- Define the task. Describe what Gemini should produce or do. For example, a daily news update is the task’s goal, not its timing rule.
- Set the schedule. Choose a date and time or describe an event condition. A delayed-flight notification is an event-based schedule; a daily briefing is time-based.
- Add a skill when the method is reusable. Put recurring instructions, formatting rules, and context into a skill so multiple schedules can use the same method without repeating it in every task.
- Review the time zone. Remember that the schedule keeps the time zone where it was created. If you travel, edit the schedule rather than expecting it to follow your current location.
- Monitor limits and runs. Gemini allows 50 active schedules and 15 concurrent runs, but usage caps and high traffic can still prevent or delay execution.
- Keep the device state in perspective. Because schedules run in the cloud, the task can continue even when your phone or computer is powered off.
Best use cases for ChatGPT Tasks
Gmail triage and alerting
Use ChatGPT when the trigger is a new Gmail message and you need a sender or subject filter. This is more precise than a generic daily reminder because the task can react to the arrival of relevant mail.
Slack channel monitoring
A Slack event task is a fit for a channel-specific workflow when ChatGPT has been added to that channel. It can react to new messages, subject to authorization, workspace policy, and event-run limits.

Gemini is a natural fit when the task depends on Google account context and you already meet the personal-account and Google AI subscription requirements. Its task, schedule, and skill separation makes it easier to reuse one operating method across several routines.
Event conditions instead of fixed times
Use Gemini when the important moment is an event, such as a flight delay, rather than 9:00 a.m. every day. The documented example combines an alert with a proposed itinerary update, illustrating a condition-and-response workflow.

Gemini schedules continue in the cloud when the device is turned off. This matters for overnight routines, travel, or any workflow where the phone or computer may not be connected at execution time.

The task or schedule option is missing
- For ChatGPT, check the account plan, app version, model eligibility, and workspace settings.
- For Gemini, verify the personal-account requirement, age requirement, Google AI Pro or Ultra subscription, Keep Activity, and Personal Intelligence.
- Do not assume a work or school Google Account is supported by Gemini’s current help documentation.
A Gmail, Slack, or GitHub event does not fire
- Confirm that the app is authorized and that an administrator has not blocked it.
- For Slack, make sure ChatGPT has been added to the channel.
- For GitHub, verify that the repository is authorized and that the activity is a supported pull-request event.
- Check whether the task paused for an approval requirement or exceeded the shared event-trigger allowance.
A Gemini schedule runs late or not at all
- Check whether you have reached a usage limit.
- Allow for approximate timing and high-traffic delays.
- Verify the schedule’s original time zone, especially after travel.

You need the schedule to run when offline
Gemini’s documented cloud execution is the clear fit. A powered-off device does not stop the schedule, although usage limits and traffic can still affect delivery.
