Choose the assistant that matches your mailbox. Gemini is usually the more coherent choice for Gmail and Google Workspace users because its summaries, Gmail search answers, drafting tools and Google app context live in one ecosystem. Copilot is usually the better fit for Outlook and Microsoft 365 users because it can summarize Outlook threads, answer questions about Microsoft 365 work data and carry out Outlook actions.
Neither product is universally free, universally included or identical across devices. Your account type, subscription, administrator settings, language, country and client version determine which buttons appear. The comparison below focuses on documented capabilities rather than unsupported productivity or accuracy claims.

Start with your mailbox ecosystem
The first decision is not whether Gemini or Copilot writes better prose. It is where your mail, calendar, documents and identity already live. Gemini in Gmail is designed around Gmail, Google Workspace and related Google sources such as Drive. Copilot in Outlook is designed around Outlook and Microsoft 365 data, with broader enterprise context available when an eligible add-on license is assigned.

When Gmail and Google Workspace are your home base
Gemini can work inside Gmail through the Ask Gemini interface. Depending on your account and plan, you can ask it to draft or refine a message, find details in earlier mail, summarize a long conversation, answer natural-language questions about your inbox and create a Google Doc or Sheet from a prompt. That combination is useful when an email task naturally continues into a Google document or spreadsheet.

When Outlook and Microsoft 365 are your home base
Copilot is embedded in Outlook workflows and can use Microsoft 365 context according to your license. It can summarize an email thread, draft an update, answer questions about messages, calendar items and meetings, schedule meetings, flag unread mail and set automatic replies. An add-on license expands the data it can use across inbox, calendar, meetings, chats and other enterprise information.

How email summarization differs
Gemini: summaries plus conversational follow-up
Gmail offers several ways to reduce a long thread. A Summarize this email button can produce a quick overview when the feature is available. In the Gmail side panel, you can ask for a more detailed summary, the next steps or explicit action items. AI Overview conversation summaries are designed to surface key points and replies in long threads. Gemini can also answer a natural-language question about the thread or search results instead of making you read every message in order.
This is particularly useful for questions such as which delivery date was agreed, what a sender requested or where a flight detail appears in earlier correspondence. The answer is grounded in the Gmail information Gemini can access under your account and feature eligibility.
Copilot: thread summary with possible source links
Microsoft describes Copilot as scanning an email conversation for key points and creating a summary. On supported clients, the summary can include numbered citations that link back to the corresponding messages in the thread. Those links make it easier to verify a statement or jump directly to the message that supplied it.
The citation behavior is not a promise that every Outlook surface will display identical controls. Microsoft documents the summary workflow for Outlook on the web, the latest Outlook for Mac, iOS and Android, while legacy Outlook for Mac is not supported for this feature.

Which summarizer is the better fit?
- Choose Gemini when you want a summary followed by Gmail search questions, topic or sender-focused prompts, or a handoff into Google Docs or Sheets.
- Choose Copilot when message-level traceability through numbered source links and Outlook-centered follow-up actions matter most.
- For either product, open the original messages before acting on dates, commitments, amounts or instructions. A summary is a navigation aid, not an independent record.
Drafting, rewriting and replies
Gemini writing tools
Help me write can generate a complete email from a prompt. Gemini can also refine an existing draft, while Proofread offers suggestions aimed at conciseness, tone and style. Suggested Replies and contextual Smart Reply provide shorter responses based on the conversation. These are separate experiences: a one-tap reply is faster, whereas Help me write is intended for a message you need to shape more deliberately.
Gemini can also help when the information is already somewhere in Gmail. For example, you can ask it to locate a package detail or flight information from previous messages and use that context in a draft. If the task needs a document or calculation rather than an email, eligible users can ask Gemini to create a Google Doc or Sheet.

Draft with Copilot creates a message from an instruction and lets you choose tone and length settings. That makes it suitable for turning a rough request, customer escalation or project update into a message with a specified level of formality and detail. Microsoft also documents sales-focused summarizing and drafting for eligible Copilot for Sales users, with that sales focus available in Outlook on the web and New Outlook for Windows.
Practical drafting test
If your normal process is Gmail message to Google document, Gemini keeps that chain close together. If it is Outlook message to meeting, automatic reply or Microsoft 365 work context, Copilot exposes more of those Outlook actions. In both cases, inspect names, dates, attachments and promises before sending; the tools generate text but do not remove your responsibility for the message.
Search and inbox questions
Gmail natural-language search
Gemini adds an AI Overview to Gmail search for concise answers from email. You can ask an inbox question in ordinary language instead of constructing a complex search query, then use the answer as a starting point for reading the relevant messages. Ask Gemini can also find information in previous mail, such as package or flight details.

Google Support notes that prompts seeking answers from the web should explicitly include wording such as Use Google Search or Using web search. That instruction matters because an answer based on Gmail messages and an answer that asks for web information are different tasks.
Outlook and Copilot Chat questions
Copilot Chat can answer questions about limited inbox, calendar and meeting data for some work or school users without a Copilot add-on. With an add-on, the available context expands to broader inbox, calendar, meetings, chats and enterprise data. Documented examples include asking for messages from a period or project and requesting an update based on customer escalations.
The difference is scope: Gemini’s documented advantage is conversational retrieval inside Gmail and connected Google workflows, while Copilot’s documented advantage is combining Outlook questions with calendar, meeting and enterprise context when the license permits it.
Actions beyond reading and writing
Gemini actions
On eligible Workspace plans, Help me schedule can assist with scheduling. Gemini prompts can also create Google Docs or Sheets. These capabilities are subject to the same account, plan, language, geography and platform gates as other Gmail AI features; seeing a description of a feature does not guarantee that it is enabled for your account.
Copilot actions
Outlook Copilot Chat supports prompts to schedule meetings, flag unread mail and set automatic replies. It can also draft an update from customer escalations. These actions are useful when the desired outcome is a change in Outlook rather than just an explanation of existing messages.

Action safety checks

- Check the generated update against the source conversation and any customer record before sending.
- Use the original message or citation links to verify decisions that affect money, deadlines, travel or compliance.
Plans, eligibility and the meaning of free access
Gemini eligibility
Gmail’s Ask Gemini interface requires an eligible Google Workspace or Google AI plan. Google’s availability table separates features and notes that access changes by account type, plan, language, geography and platform. Google also says usage limits apply to Google AI plans and that administrators can control access for work or school accounts.
There is one important personal-account qualification: for personal accounts in the United States, Google lists Help me write, AI Overviews for email threads and Suggested Replies as available at no charge. That does not make every Gmail Gemini capability free. Other features depend on a Google AI plan or an eligible Workspace plan.
Copilot eligibility
Microsoft documents limited Outlook Copilot Chat access for some work or school users without a Copilot add-on. An add-on license expands the data Copilot can use and the breadth of its Microsoft 365 context. The exact experience depends on the account, tenant configuration, client and assigned license, so an Outlook user should check the organization’s current Microsoft 365 entitlement rather than assume that the presence of Outlook includes Copilot.
How to check before choosing
- Identify whether the mailbox is a personal account, a Google Workspace account or a Microsoft work or school account.
- Open the administrator or subscription page for that account and verify that the relevant AI features are enabled.
- Check whether your preferred client is listed for the specific feature, not merely for the product overall.
- Test the exact task you care about, such as summarizing a long thread or creating a draft, because access can differ by feature.
Supported clients, language and geography
Gemini availability gates
Google’s feature-availability table covers Gmail on the web, iOS and Android, but individual features can be restricted by language, geography, account type or plan. A feature visible in a help article may therefore be absent from a mobile app or unavailable in a particular country.

Copilot client notes
For Outlook’s documented summary workflow, Microsoft lists Outlook on the web, the latest Outlook for Mac, iOS and Android. Legacy Outlook for Mac is not supported for that summary feature. Client support should be checked before comparing screenshots or assuming that a control will appear in every Outlook installation.
Best Value
Language behavior
Microsoft says Copilot attempts to identify the language of an email when summarizing or prioritizing. Gemini’s availability table uses language as one of its eligibility dimensions. If your mailbox mixes languages, test a representative thread and verify names, dates and action items rather than assuming identical behavior across languages.
Step-by-step workflows
Summarize and act in Gmail
- Open Gmail on a supported web or mobile client and open the conversation you need to understand.
- If shown, select Summarize this email for a quick overview.
- Open Ask Gemini or the Gmail side panel and ask for the key points, next steps, action items, or a summary by topic or sender.
- Ask a follow-up question about a detail in the conversation, such as a package, flight or requested date.
- Use Help me write, Proofread, Suggested Replies or contextual Smart Reply to prepare a response.
- Read the original thread, verify factual details and then send or save the draft.
Summarize and act in Outlook
- Open the conversation in Outlook on the web, the latest Outlook for Mac, iOS or Android.
- Use the Copilot summary control for the thread and review any numbered citations that link to source messages.
- Open Copilot Chat when you need a question answered across inbox, calendar or meetings, subject to your account’s data scope.
- Use Draft with Copilot and set the requested tone and length before generating the message.
- For an operational result, ask Copilot to schedule a meeting, flag unread mail or set an automatic reply.
- Check recipients, dates, scope and source messages before applying an action or sending a draft.
Common failure modes and how to troubleshoot them
The AI control is missing
First check the account and plan, then administrator controls and client support. Gmail features can be limited by account type, language, geography and platform. Outlook features can differ between the latest clients and legacy Outlook for Mac. Signing into a different account or switching from a supported client to an older one can make a documented feature disappear.
The summary is too short or misses the decision
Ask for a specific output: decisions, unresolved questions, owners, deadlines or action items. In Gmail, use the side panel for a detailed follow-up rather than relying only on the compact overview. In Outlook, follow a summary citation to the source message and ask Copilot about the exact date, sender or project you need.
The answer uses the wrong data
Define the scope in the prompt, such as a named project, date range, sender or customer escalation. Gmail search answers and Outlook Copilot Chat operate over the data available to the account and license; neither should be treated as a universal search across every system your organization uses.
The draft sounds wrong
Give a clear audience, purpose, tone and length. Gemini’s refinement and Proofread controls can tighten wording and style. Copilot’s tone and length settings let you constrain the draft before generation. Always review names, attachments, commitments and sensitive details manually.
You expect a performance guarantee
Official documentation for these products does not establish a head-to-head accuracy score, productivity percentage or time-saved figure. Treat feature descriptions as capability guidance, not as a promise that one assistant will be faster or more accurate for every mailbox.
Which assistant fits common situations?
| Your situation | More natural fit | Reason |
|---|---|---|
| Personal Gmail in the United States and you mainly need quick drafts, thread overviews and suggested replies | Gemini in Gmail | Google lists those features at no charge for personal United States accounts, subject to availability |
| Google Workspace team that searches mail and then creates Docs or Sheets | Gemini in Gmail | Its documented workflows connect Gmail questions with Google document and spreadsheet creation |
| Outlook team that needs summaries with links back to source messages | Copilot in Outlook | Supported Outlook clients may include numbered citations to the original thread messages |
| Microsoft 365 organization that wants inbox questions plus calendar, meetings and enterprise context | Copilot in Outlook | An add-on license expands Copilot’s available Microsoft 365 data scope |
| Mixed environment with no clear primary mailbox | Test the assistant in the system that holds the authoritative mail | Neither assistant automatically provides the same context across both ecosystems |
Prompt examples that expose the real differences
Use prompts that request a concrete output and define the scope. These examples are designed to test documented capabilities without assuming that every account has every feature.
Gmail prompts
Summarize this thread in five bullets, then list decisions, owners and deadlines.Find the package delivery date in my previous emails and tell me which message contains it.Rewrite this draft to be concise and professional, keeping the requested deadline unchanged.Create a Google Doc from the action items in this conversation.Using web search, find current information about the topic mentioned in this email.
Outlook prompts
Summarize the messages in this project thread and identify unresolved decisions.Draft a customer update from the recent escalations, using a professional tone and a short length.Show unread mail about the launch project from the last seven days.Find a meeting time with the people in this thread and schedule it.Set an automatic reply for my absence and include the return date.
Bottom line for the choice
Gemini in Gmail and Copilot in Outlook overlap on the two jobs most people notice first: summarizing threads and drafting replies. The decisive difference is the surrounding system. Gemini adds Gmail search answers, inbox Q&A and Google-context workflows; Copilot adds Outlook actions and, with the right license, broader Microsoft 365 context and source-message citations. Start with the mailbox your work already depends on, verify the exact plan and client requirements, and then judge the assistant on the email tasks you actually perform.
