FreshBooks Review 2026: Features, Plans, Pricing, and the Right Fit

FreshBooks is best for freelancers and small, service-based businesses that want exceptionally simple invoicing tied to time, expenses, projects, payments, and basic accounting. Its main compromise is depth: businesses with complex transactions, advanced reporting needs, or a larger employee structure may outgrow it.

The US pricing page checked on October 20, 2026 showed an 80% introductory discount for the first four months, alongside a 30-day free trial and a 30-day money-back guarantee. Because those prices are promotional and can change, this review shows them next to the standard monthly prices.

What FreshBooks is and who it is built for

FreshBooks is cloud accounting software organized around the way a freelancer or service firm gets paid: create an estimate or proposal, turn approved work into an invoice, accept payment, record costs and time, and review whether a project is profitable. It is not just an invoice generator, but invoicing remains the center of the product.

The strongest fit is an invoice-led business such as a consultant, designer, developer, photographer, marketing specialist, trades contractor, or small agency. These businesses usually need client-facing documents, online payment collection, time tracking, expense capture, and enough accounting to prepare reports and taxes without maintaining a complex enterprise ledger.

  • Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
  • Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
  • Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

FreshBooks says its product includes “invoicing features, expense tracking, time tracking, online payments, industry-standard double-entry accounting, balance sheets, mileage tracking, project profitability, bank reconciliation, client retainers, and the list goes on.” The company also says it has been used by over 30 million people worldwide (FreshBooks, 2026). Those are vendor claims rather than an independent market-size measurement.

Plan availability matters. A feature can exist in FreshBooks while being restricted to Plus, Premium, Select, or an add-on, so check the plan column before assuming a capability is included.

FreshBooks pricing in the United States

The following is the US pricing page snapshot checked October 20, 2026. The discounted figures were displayed as an 80% promotion for four months; the standard figures are shown so you can budget for the price after the promotion ends.

Plan Promotional monthly price for four months Standard monthly price shown by FreshBooks Billable-client allowance Best starting point
Lite $4.60 $23 5 clients Freelancer with a small client list
Plus $8.60 $43 50 clients Self-employed professional needing proposals, retainers, and fuller reports
Premium $14 $70 Unlimited clients Small business with contractors and project-profitability needs
Select Custom price Custom price Unlimited clients Larger or more specialized operation needing negotiated support and payment terms

The same page lists a 30-day free trial and a 30-day money-back guarantee. It does not make the four-month promotion a permanent rate, so treat the discounted prices as time-sensitive.

NerdWallet’s 2026 review lists regular monthly prices of $21 for Lite, $38 for Plus, and $65 for Premium, with Select custom priced. That conflicts with the standard figures displayed on FreshBooks’ US page. The difference may reflect a pricing update, region, or billing-cycle timing; use the price shown at checkout for your account and location rather than combining the two lists.

Additional charges to include in your budget

  • Additional team members are listed at $11 per person per month.
  • Advanced Payments is $20 per month.
  • FreshBooks Payroll is $40 per month plus $6 per user per month.
  • Payment-processing rates are not stated in the supplied pricing snapshot. Select is described as offering lower or capped payment fees, but the actual cap is custom.

NerdWallet describes non-Select plans as including one user, with extra users at $11 per month, while Select includes two team accounts. Confirm the current account and seat rules before subscribing, especially if several people need access.

Which FreshBooks plan should you choose?

Lite: the inexpensive freelancer option

Lite is designed for up to five billable clients. It includes invoices, estimates, real-time expenses, card, ACH and wallet payments, and tax-time reports. Choose it when your work is straightforward and you do not need proposals, retainers, receipt scanning, or a broad set of accounting reports.

Note: This device is not compatible with Linux.

The five-client ceiling is the practical limitation. A freelancer with six active billable clients can either consolidate clients where the product permits, upgrade to Plus, or accept that Lite is no longer a fit. Do not confuse the client allowance with the number of invoices you can send to one client.

Plus: the sensible default for a growing solo business

Plus raises the allowance to 50 clients and adds proposals, retainers, financial and accounting reports, receipt scanning, and accountant access. For many established freelancers, this is the first plan that covers the entire quote-to-cash workflow instead of only invoicing and basic expense entry.

Plus is also the practical choice when you need double-entry reports or regular collaboration with an accountant. It costs more than Lite at the standard rate, but moving up can be cheaper than stitching together separate proposal, receipt, and reporting tools.

Premium: unlimited clients and deeper project control

Premium is aimed at small businesses working with contractors and removes the stated client limit. It adds bill scanning with line items, project-profitability tools, and customized email templates.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Project profitability is the key reason to choose Premium. If you need to compare revenue with tracked time, expenses, and contractor costs by project, the lower plans may not provide the same view. Unlimited clients also removes a constraint that becomes costly for agencies or firms with many small engagements.

Select: a sales-led plan for larger requirements

Select is custom priced rather than published as a fixed monthly plan. FreshBooks describes it as adding lower or capped payment fees, removal of FreshBooks branding, Easy Switch migration, dedicated phone support, two included team accounts, and customized onboarding.

NerdWallet positions Select for businesses with employees. That makes it the plan to investigate when you need a negotiated implementation, migration help, stronger support coverage, or a larger operating structure. Ask for the complete quote, included users, payment terms, payroll arrangement, and any contract commitment before signing.

Features that matter in daily work

Invoices, estimates, proposals, and retainers

You can create customizable invoices and recurring invoice templates, schedule late fees, send automated payment reminders, request deposits, and issue estimates. Plus and higher plans add proposals; proposals can include e-signatures so approval is recorded before work starts. Client retainers help you receive and track advance funds against future work.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Client portals give customers a place to view documents and account activity. Checkout links provide a way to request payment without building a full invoice flow for every transaction. These tools are useful when a service business sells repeat packages, maintenance, or a monthly engagement.

Online payments

FreshBooks supports card and digital-wallet payments, ACH, and, where available, buy-now-pay-later choices such as Affirm and Afterpay. The support documentation also lists FreshBooks Payments, PayPal, and Stripe as payment routes. Availability and fees can vary by country, account, and payment method, so verify the options presented in your own account.

The product is designed to put a payment button inside the invoice rather than forcing clients to send a bank transfer manually. That can shorten the path from approved work to paid work, but user feedback collected by NerdWallet includes reports of payment-processing delays and long ACH deposit waits. Those are aggregated customer reports, not controlled timing tests.

Time, mileage, expenses, and projects

Time tracking lets you record billable hours and attach them to clients or projects. Mobile mileage tracking is available for users who travel between jobs. Expense tracking supports categorization, and automatic bank import can bring transactions into the account rather than requiring every purchase to be typed by hand.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Receipt data capture reduces manual entry. Premium’s bill scanning adds line items, which is more useful when one supplier bill contains multiple services or products. Project tools combine time and expenses with project revenue; Premium specifically adds project-profitability tools for comparing what a job earned with what it consumed.

Bank feeds, reconciliation, and accounting reports

FreshBooks offers automated bank-imported expenses, double-entry accounting reports, balance sheets, tax-time reports, business-health reports, performance dashboards, and bank reconciliation. Accountant access is included on Plus and higher plans according to the plan guidance.

  • Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft

Bank reconciliation is not included in Lite, according to NerdWallet’s May 2025 hands-on test. That distinction matters: importing transactions is not the same as formally matching the accounting records to a bank statement. If you need a repeatable month-end close, budget for Plus or a higher plan and confirm that reconciliation is enabled for your account.

NerdWallet’s tester described the main dashboard as an overview of outstanding invoices, revenue and expenses, profit, revenue streams, spending, and unbilled time. The tester called invoicing “Exceptionally user friendly” but noted that report customization is limited. This is a strength for users who want clear standard views and a limitation for businesses that need highly tailored management reporting.

Client, team, payroll, and accounts payable workflows

FreshBooks includes client management around invoices, portals, retainers, and payments. You can invite an accountant and add team members, subject to the plan and the $11-per-person monthly charge described above. Accounts payable is listed among the product capabilities, although the exact included workflow depends on plan.

FreshBooks Payroll is a separate $40-per-month charge plus $6 per user per month in the pricing snapshot. A business with employees should price payroll, user seats, and the Select plan together rather than assuming payroll is part of the base subscription.

Mobile apps and integrations

FreshBooks provides mobile apps and supports mobile expense, mileage, time, invoice, and payment work. TechRadar’s February 2026 UK review describes desktop access plus free iOS and Android apps. The same review names PayPal, MailChimp, Basecamp, WordPress, Gusto, and Zendesk, while FreshBooks’ integrations directory lists API and developer resources and apps including HubSpot, Gusto, Wagepoint, Zapier, and a Claude connector.

Connector availability can differ by country and product edition. Gusto, for example, appears in both lists, but that does not guarantee that every payroll or data-sync feature is available in every region. Check the current FreshBooks integrations directory and the partner’s own terms before designing a workflow around a connector.

  1. Start with the trial or the plan that matches your client count. Count billable clients, not just contacts, and include any team seats or payroll charges in the decision.
  2. Complete the business and tax profile. Enter the legal business details, invoice numbering, currency, tax treatment, payment instructions, and branding before sending a document.
  3. Add clients and services. Create reusable service or rate entries, then set hourly rates and tax rules so invoices can be generated consistently.
  4. Build the invoice workflow. Create an invoice template, test a recurring invoice if you bill on a schedule, and set late-fee and reminder rules that match your contracts.
  5. Enable payment methods. Connect the available FreshBooks Payments, card, ACH, wallet, PayPal, or Stripe options, then send a test invoice to verify the customer experience and settlement account.
  6. Connect bank accounts and import expenses. Review each imported transaction, assign categories, and attach receipts. Imported data still needs checking; do not assume a feed has classified every purchase correctly.
  7. Turn on time, mileage, and project tracking. Create projects before work begins, set billable or non-billable status, and make sure contractors or staff know where to record time and costs.
  8. Reconcile and review reports. On a plan that includes bank reconciliation, match the account to statements on a regular schedule. Review tax-time, profit, spending, and project reports before filing or invoicing a new period.
  9. Invite the accountant or team. Add only the seats required, set responsibilities, and check that each person can see the clients and projects they need without exposing unrelated records.
  10. Recheck the economics before the trial ends. Compare the post-promotion subscription, seats, payment add-ons, payroll, and processing costs with the time saved on invoicing and bookkeeping.

FreshBooks compared with other accounting choices

A useful comparison is not simply “which app has the most features?” Match the software to the complexity of your transactions and the work your clients expect from you.

Comparison question What FreshBooks establishes How the alternatives are positioned in the cited reviews
Invoicing ease Customizable, recurring, reminder-enabled invoices, estimates, deposits, proposals, retainers, portals, and checkout links. NerdWallet calls FreshBooks’ invoicing exceptionally user friendly. No equivalent test result is stated for Xero, Wave, or Zoho Books in the cited material.
Client and user limits Lite: 5 clients; Plus: 50; Premium and Select: unlimited. Additional team members are $11 per month. Alternative plan limits are not stated in the cited material; verify each vendor’s current regional plan table.
Time, mileage, and projects Time tracking, mobile mileage, expenses, projects, and project profitability, with some tools restricted by plan. Comparative capability details for QuickBooks Online, Xero, Wave, and Zoho Books are not stated in the cited material.
Bank feeds and reconciliation Automatic bank import and bank reconciliation are available, but reconciliation is not included in Lite. NerdWallet positions QuickBooks Online as stronger for larger or more complex businesses; product-by-product reconciliation details for the other alternatives are not stated.
Reporting depth Tax-time, financial, accounting, double-entry, business-health, performance, and project reports; customization is described as limited by NerdWallet. QuickBooks Online is the cited choice for greater complexity. Wave is positioned as a lower-price option. No detailed Xero or Zoho Books reporting comparison is stated.
Payments Cards, wallets, ACH, Affirm, Afterpay, FreshBooks Payments, PayPal, Stripe, and checkout links, subject to availability and fees. Comparative payment-fee figures are not stated in the cited material.
Integrations API resources plus named connectors including HubSpot, Gusto, Wagepoint, Zapier, Claude, PayPal, MailChimp, Basecamp, WordPress, and Zendesk, with regional verification required. Alternative ecosystem coverage is not stated in the cited material.
Support and mobile use Mobile apps, accountant access on Plus and above, and dedicated phone support plus onboarding on Select. NerdWallet reports mixed support experiences from users; TechRadar describes free iOS and Android apps in its UK review.
Total cost after discounts Introductory US prices are much lower for four months than the standard figures; add seats, payments, and payroll where needed. Wave is described by NerdWallet as a lower-price option, while QuickBooks Online is aimed at larger or more complex businesses. Current prices for the other alternatives are not stated.

This table deliberately separates established positioning from information that must be checked in another vendor’s current plan documentation. Pricing, limits, payment support, and integrations change by region and billing date.

Advantages and disadvantages

Where FreshBooks is strong

  • Fast invoice creation: reusable templates, recurring invoices, estimates, proposals, reminders, deposits, retainers, and client portals keep the client-facing process together.
  • Service-business workflow: time, expenses, mileage, projects, payments, and profitability connect naturally to an invoice.
  • Accessible onboarding: the product is less intimidating for a solo operator than a broad accounting suite with many unused modules.
  • Flexible collection methods: customers can use cards, ACH, wallets, and selected buy-now-pay-later options, subject to region and account.
  • Useful upgrade path: Plus adds the reports, proposals, retainers, receipt scanning, and accountant access that many growing freelancers need; Premium removes the client cap and adds bill line items and profitability tools.

Where it can fall short

  • Limited reporting customization: standard dashboards are clear, but NerdWallet’s tester found customization limited.
  • Plan gating: Lite excludes bank reconciliation and has only five billable clients; important capabilities appear only after upgrading.
  • Less depth for complex businesses: NerdWallet says businesses needing detailed transaction tracking and reporting may not find FreshBooks sufficient.
  • Cost can rise with add-ons: seats, Advanced Payments, payroll, and payment processing sit on top of the subscription.
  • Reported operational complaints: NerdWallet’s aggregated user feedback mentions payment delays, long ACH deposit waits, bank-feed synchronization problems, mobile-app lag, and mixed customer-support experiences. These reports are not controlled performance tests.
  • Regional uncertainty: integrations, payment methods, prices, and payroll availability can vary by country and edition.

Is FreshBooks worth it for a freelancer?

For a freelancer with up to five clients and uncomplicated bookkeeping, Lite is attractive during the introductory period and remains easy to understand at its standard rate. Move to Plus when you need proposals, retainers, receipt scanning, accountant collaboration, financial reports, or bank reconciliation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The decision should be based on the post-promotion cost, not the first four discounted months. Add the value of faster collections and less manual administration, then subtract any time lost to feed errors, payment delays, or reports that you must export and rebuild elsewhere.

Is FreshBooks suitable for a small business with employees?

It can work for a contractor-based small business, particularly on Premium where unlimited clients, bill scanning, and project profitability are important. A business with employees should examine Select, payroll, user seats, permissions, reporting requirements, and migration support together. If the operation needs highly detailed transaction tracking or complex management reporting, NerdWallet’s assessment suggests evaluating a deeper platform such as QuickBooks Online rather than assuming FreshBooks will scale indefinitely.

Bottom-line verdict

Choose FreshBooks when the core job is turning service work into paid invoices and you want time, expenses, projects, payments, and basic accounting in one approachable system. Start with Lite only if five clients and limited accounting are genuinely enough; Plus is the more durable default for a growing solo business; Premium is the meaningful step for unlimited clients and project profitability; Select is for negotiated support, migration, payment terms, and larger teams.

Before subscribing, confirm the current US or local price, the end of any promotion, client and user limits, payment-processing terms, bank-reconciliation availability, payroll cost, and the integrations your workflow depends on. That check is more important than the headline discount.
