A webinar run of show is the production team’s working schedule: it shows what happens, when it happens, who owns it, and which cues or backups keep the session moving. Use the free, adaptable template below to coordinate the live event; keep the shorter attendee-facing agenda separate.

What is a webinar run of show?

An attendee agenda tells guests what the session will cover. A run of show gives the delivery team the operational detail needed to produce it: timings, segment owners, handoffs, technical actions, cues and contingency steps. It is not a fixed format or a universal minute-by-minute standard. Build it around your session, team and hard stop.

Vimeo Staff describes a run of show as a “minute-by-minute blueprint” for keeping a production team aligned. That is useful shorthand, but the document only works if its timings and responsibilities match the event being delivered.

Free webinar run-of-show template

Copy this table into a shared document or spreadsheet. Set the event date, start time, time zone and end time first, then tailor the rows to your actual agenda. Add or remove segments as needed.

Start time Duration Segment Owner Cue or action Technical needs / assets Fallback or handoff
Set for event Set duration Waiting room / holding Assign host or producer Admit attendees or display holding slide Platform room, holding slide, audio check State who handles late start or access issue
Set for event Set duration Welcome and agenda Assign speaker Welcome attendees; explain session flow Opening slide, microphone Producer signals speaker when to begin
Set for event Set duration Introductions Assign host or moderator Introduce presenters and roles Presenter names and title slide Host takes over if a presenter is unavailable
Set for event Set duration Main presentation Assign presenter Advance slides and monitor time Slide deck, screen-share access Producer gives agreed time cue
Set for event Set duration Demo or activity Assign presenter and technical operator Switch to demo; explain what attendees should watch or do Demo environment, screen share, required logins Use a prepared recording or alternate explanation if the live demo fails
Set for event Set duration Questions and answers Assign moderator Select questions and pass them to the speaker Question queue or agreed audience channel Moderator applies the agreed overrun plan
Set for event Set duration Closing Assign host Give final message and next steps; end session Closing slide, relevant follow-up information Producer confirms recording or session end as applicable

“Set for event” and the role descriptions are prompts to complete, not fixed values. If your team uses a separate backstage chat or cueing channel, record its name and who monitors it in the document. Put the schedule somewhere the people running the session can access during the event.

How to fill in and adapt the template

  1. Fix the boundaries. Record the date, start and end times, and time zone. Use the attendee-facing agenda as a starting point, but allow for backstage actions such as admitting attendees and switching slides.
  2. Make one row for each production segment. Include transitions that require an action or handoff, not just the main presentation topics.
  3. Name one accountable owner per row. The owner may ask someone else to operate a tool, but the schedule should make clear who is responsible for the segment and who takes over next.
  4. Write cues as actions. “Producer signals presenter to begin screen share” is more actionable than “demo.” Note the needed deck, link, recording, platform control or other asset.
  5. Plan only the contingencies that matter. Identify a fallback for a failure that would otherwise interrupt the session, such as a demo that cannot load. Assign who activates it and who tells attendees what is happening.
  6. Decide how to handle overruns. Agree in advance with the moderator and presenters which segments can be shortened, whether Q&A can change, and what the hard stop is. Do not assume every format should preserve the same Q&A length.
  7. Update the working copy after changes. Make sure presenters, host, moderator and technical operator are working from the same timings, cues and role assignments.

Rehearsal and pre-live checks

A run-through is for checking that the schedule can actually be executed, not just that the document looks complete. The U.S. Forest Service’s webinar run-through checklist calls for confirming the date and time zone, reviewing program flow and timing, deciding how the moderator will manage overruns, and checking the technical setup.

  • Confirm the event date, start time, time zone and scheduled end.
  • Walk through the sequence in order and verify that each owner understands their cues and handoff.
  • Check platform access, audio, video, screen sharing and any assets needed for the session.
  • Test the demo or activity and identify the agreed fallback.
  • Practice transitions, including who speaks while a screen or presenter changes.
  • Confirm the overrun plan with the moderator and presenters.

How much rehearsal is appropriate depends on the format and risk. Webinar.Company says it rehearses every show for 30 minutes, but that is its description of its own process, not a general requirement for every webinar.

After the webinar

If the event requires follow-up, assign the handoff before going live: who gathers questions that were not answered, sends agreed resources, or handles the next step. A broader production workflow can also define the event’s intended outcome, verify the platform, rehearse, deliver the session and complete follow-up. Use that level of process where it helps; a simple webinar need not acquire elaborate production overhead.
