Free Expense Report Templates: Excel, Word & Google Sheets

Excel suits calculating expense reports, Word suits printed forms and Google Sheets suits shared browser-based entry. Here is how to choose, what fields to include and what the IRS expects for US records.

Excel is the strongest starting point for most people who need a free expense report that calculates its own totals and category summaries. Word suits a short, printed or signed form with little arithmetic. Google Sheets suits a report that several people need to fill in or review in a browser. Ready-made free files are easier to find for some formats than others, so treat any template as a starting point and check its fields against your employer’s expense policy before you use it.

How the three formats compare

The three formats differ less in their look than in how the numbers get totaled, who can edit the file, and how the finished report reaches the person who approves it.

Consideration Excel Word Google Sheets
Totals and roll-ups Strong. Formulas handle totals, category subtotals and monthly summaries. Limited. Suited to a form where totals are few or entered by hand. Strong. Formulas work the same way as in a spreadsheet.
Free template evidence Microsoft documents browsing and editing free Excel for the web templates through Microsoft Create. Its cited page does not confirm an expense report template among the examples. Microsoft describes an expense report form in a SharePoint form-library scenario. It does not point to a specific free Word download. Not stated for a native Google expense report template. The Google Workspace Marketplace listing for ExpenseBot is a third-party service, not an official Google template gallery.
Shared editing Not stated for the desktop file. Excel for the web runs in a browser. Possible when the template lives in a SharePoint document library. Designed for browser-based shared editing by several people.
Printing and signature Possible, but wide sheets often print awkwardly. Strongest fit for a printed, signed form. Not stated in the cited sources.
Fit with formal submission Fits when your employer accepts a spreadsheet file. Fits a form-based approval path in a document library. Fits a shared review sheet kept by a finance or office team.

Excel: the calculating default

Excel is the format to choose when you want the report to add up on its own. Microsoft’s free Excel for the web templates page documents the route to a free template, though it does not confirm that an expense report is among the examples it shows. To find a starting point:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open Microsoft Create in a browser and choose Excel.
  2. Pick a category and browse the available templates.
  3. Select a template and open it for editing in Excel for the web.
  4. If no expense report layout appears, create a blank workbook and build the columns listed later in this article.

In a simple layout where amounts sit in column F from row 2 to row 200, a total can be calculated with =SUM(F2:F200). For category totals, use =SUMIF(D2:D200,"Travel",F2:F200), replacing “Travel” with the category name used in column D. Keep each row to one expense so the sums stay accurate.

Word: a printed form with a formal path

Word works best when the report is a short, structured form that someone prints, signs, or routes through an approval process. Microsoft’s guidance on setting a custom template for a SharePoint library explains how compatible Word or Excel templates can serve as document templates in a library. Its form-library example uses an expense report form, and the filled-in data is saved as XML. That describes an organization running SharePoint, not a free file you can download and use on its own.

The trade-off is arithmetic. Word can hold a table, but totals and category summaries are awkward to maintain, so a Word report suits a small number of expenses. If your report runs to dozens of receipts, a spreadsheet layout is easier to check.

Fields a usable expense report should include

These are practical design recommendations rather than fields the IRS requires for every reimbursement. Match them to your employer’s policy:

  • Employee or submitter name
  • Report period
  • Transaction date
  • Merchant or payee
  • Business purpose
  • Category
  • Amount and currency
  • Payment method
  • Receipt reference, such as a file name or receipt number
  • Approval status

What the IRS expects for US records

An internal reimbursement report is not a tax form, and filling one in does not by itself prove that an expense is deductible. The IRS’s Publication 463 (2025), Travel, Gift, and Car Expenses, covers travel, gift and car expenses and employer reimbursements. Its recordkeeping section says:

The same publication says documentary evidence such as receipts, canceled checks or bills is generally needed, subject to exceptions it describes. A report that links each expense to its date, amount, category, business purpose and receipt makes that proof easier to produce. A template downloaded from the internet is not an IRS form, and these rules apply to US taxpayers and the categories Publication 463 covers. They should not be extended to other countries or other expense types without checking local guidance.

Accountable plan timing

A template does not make a reimbursement arrangement an accountable plan. According to Publication 463, an arrangement needs three things:

  • A business connection between the expense and the employer’s business.
  • Adequate accounting of expenses within a reasonable period.
  • Return of any excess reimbursement within a reasonable period.

The publication also gives safe-harbor timing rules: an advance given within 30 days of an expense, accounting within 60 days after the expense was paid or incurred, and return of any excess within 120 days after the expense was paid or incurred. These are IRS timing rules, not requirements built into a spreadsheet, and they do not replace your employer’s policy.

When a spreadsheet stops being enough

A manual template works well for a handful of reports a month. When receipt entry becomes the bottleneck, some people look at add-ons. ExpenseBot’s listing says it reads receipts from Gmail and other files, extracts merchant, date, amount, currency and tax, writes the records to Sheets, and can reconcile bank or card activity. Because it reads your email, review its requested permissions and its current pricing on the listing before installing it, and confirm that your employer allows third-party tools with its expense data.

Before you submit a report

  • Save each receipt to a single folder named for the reporting period, and reference its file name in the receipt column.
  • Enter one expense per row and test the total formula with a sample row before you rely on it.
  • Confirm the category names match the list your employer uses for approvals.
  • Keep a copy of the finished report and its receipts for as long as your employer’s policy or applicable tax rules require.
