FortiMail vs. Secure Email Gateways: Which Deployment Fits Your Organization?

FortiMail is available as self-managed infrastructure or a hosted service. Choose based on operating capacity, mail-flow topology, cloud integrations and service requirements—not on an assumed universal product win.

There is no evidence that FortiMail is universally better than other secure email gateways. The right fit depends first on who should operate the service, then on how mail flows through your environment and how your cloud and on-premises systems need to be protected. FortiMail is a product family—not one deployment model—with self-managed appliances and virtual machines, hosted FortiMail Cloud services, and several ways to place the product in a mail architecture.

Start with the operating model: who will run email security?

Decide whether your organization wants to own and manage email-security infrastructure or use a hosted service. This choice determines much of the work your team must take on; it does not, by itself, establish which option will cost less or provide better protection.

Self-managed FortiMail appliance or virtual machine

Fortinet offers physical appliances for on-premises environments and virtual machines for listed hypervisors and public-cloud platforms. Its current product overview lists five appliance models and six VM options. Appliance licensing is described as perpetual with annual subscriptions; VM licensing and subscription options are also offered. These product lineups and terms may change, so confirm availability, support, licensing, sizing and bundles for your region and requirements during procurement.

This route is for organizations—or service providers acting for them—that want control over deployment and integration and have the capacity to manage the system. The organization or provider must plan capacity and resilience, maintain routing, handle upgrades, and administer the deployment over time.

Hosted FortiMail Cloud

Fortinet presents FortiMail Cloud as a hosted email-security service for cloud and on-premises email use cases. Its product page describes annual pricing per mailbox for Cloud Hosted and annual pricing per user for Cloud SaaS. Check current packaging, eligibility and contractual terms for your geography; the pricing basis alone is not a total-cost comparison.

How do FortiMail’s operating modes change mail flow?

Hosting and operating mode are separate decisions. A hosted service can still use different integration approaches, while gateway, transparent and server modes describe FortiMail’s role in the mail path. Fortinet’s 8.0 administration guidance says gateway mode suits most environments, with exceptions including cases where DNS MX records or IP addresses cannot be changed, such as some carrier or ISP environments, or where FortiMail must also act as the mail server. That is vendor guidance, not a universal design rule.

Mode FortiMail’s role Mail-flow and network implications Considerations
Gateway Acts as an MTA or relay between external senders and protected email servers. Mail is routed through FortiMail; deployment generally uses DNS MX-record changes. Consider it when routing mail through a gateway is acceptable and the organization can manage the required DNS and SMTP changes.
Transparent Proxies or relays email traffic. It must be placed in the mail path. It can avoid changes to existing email-server network configuration, but whether DNS changes can also be avoided depends on deployment conditions and features. Validate the actual network path and feature requirements rather than assuming that “transparent” means no mail-flow changes.
Server Acts as a standalone mail server and stores users’ email locally. FortiMail itself becomes the mail server, rather than just inspecting or relaying mail for another server. Use only where that mail-server role is part of the intended architecture.

Fortinet notes that some features are mode-specific and changing modes may reset configuration. Choose the mode during architecture planning rather than treating it as a casual setting to switch after deployment.

Can FortiMail protect Microsoft 365 or Google Workspace without an MX change?

Fortinet describes both gateway routing and API integration for Microsoft 365 and Google Workspace. In the conventional gateway approach, mail is routed through FortiMail and an MX-record change redirects email for analysis. Fortinet also describes Microsoft Graph and Google API integration that can operate out of line: it avoids an MX-record change and supports threat detection and post-delivery message clawback, according to the vendor. Fortinet’s Cloud data sheet also says Exchange on-premises API integration is supported.

These approaches have different dependencies. Before choosing API integration, validate the required permissions, which mailboxes and message types are covered, how internal mail is handled, and how it coexists with native email controls. For a hybrid estate, map cloud and on-premises mail separately; the integration approach for one platform does not establish the right route for every mail system in the organization.

How should you compare FortiMail with another secure email gateway?

Compare each option against your actual mail estate and operating requirements, not just feature lists. Use the same workload, policies and service expectations when evaluating products.

  • Operations: Identify who handles upgrades, monitoring, tuning, capacity, resilience and incident response for each option.
  • Mail-flow changes: Document required MX and SMTP routing changes, proxy placement, or API integration dependencies. Confirm the design against the target architecture.
  • Cloud and on-premises coverage: Check Microsoft 365, Google Workspace and any on-premises platforms, including internal-mail inspection and post-delivery response requirements.
  • Security and compliance controls: Verify inbound and outbound inspection, impersonation and business-email-compromise controls, malware and URL defenses, DLP, encryption, logging and retention. Fortinet’s feature descriptions are vendor claims; availability depends on bundle and configuration. Map controls to your applicable obligations and required evidence.
  • Resilience and service terms: Compare redundancy, continuity during mail-platform outages, support, service commitments, data location and recovery responsibilities. Fortinet lists Email Continuity as a Cloud add-on; confirm its current scope in the contract.
  • Scale and commercial fit: Bring actual mail volume, protected users and domains, sizing needs and licensing basis into the evaluation. Available evidence does not establish a neutral total-cost comparison or a suitable model for an unspecified workload.
  • Ecosystem fit: Consider existing Fortinet infrastructure, security operations and identity integrations, as well as any multi-tenant requirements if a service provider will operate the system.

What do Fortinet’s published service figures establish?

Fortinet’s Cloud data sheet, retrieved in 2026, lists a 99.99% service-level target and a 99.97% spam-capture rate. These are vendor-published specifications, not independently verified performance results or a comparison with another gateway. Treat them as stated service figures and confirm the applicable package, measurement terms and commitments in current service documentation and contract.

What the available evidence cannot decide

Official Fortinet product and administration materials describe deployment options and features, but they do not establish that FortiMail outperforms a named competitor, costs less, or imposes a lower operational burden. Nor do they determine sizing or the right design for an unspecified mail estate. Selection requires your mail volume, topology, staffing, controls, resilience needs and contract requirements. Confirm supported versions, API permissions, data handling, service terms, geography and procurement details before committing to an architecture.

A practical decision sequence

  1. Choose the operator: Decide whether your team or provider can own infrastructure and its lifecycle, or whether a hosted service better matches available capacity.
  2. Map mail systems and routes: List cloud and on-premises platforms, domains, inbound and outbound paths, and internal-mail needs.
  3. Select the integration path: For each system, assess gateway routing, transparent placement or supported API integration, including any MX, DNS, network or permission changes.
  4. Validate controls and service terms: Test requirements against the actual bundle, configuration and contract, including resilience and data handling.
  5. Size and compare proposals: Use actual workload and operating requirements to evaluate supported models, licensing and full operating responsibilities across shortlisted gateways.
