In technical and command-line contexts, a folder is usually called a directory. The distinction is mainly about each item’s role: files provide content, while folders help organize and locate it.
What is a file?
A file is an item that stores data or represents a resource, such as a document or image. Microsoft describes a file as “a logical grouping of related data.” For example, report.docx is a file name, and the document is the data the file represents. The .docx ending is an extension that can indicate the file type; it is a naming clue, not the complete definition of what the file contains.

File browsers commonly show different icons for documents, images, videos, and other kinds of files. An icon or extension can help you recognize an item, but the file’s role is to hold or represent data—not to organize other items.
What is a folder or directory?
A folder groups items so they can be organized and found. It can contain files, other folders, or both. Microsoft defines a directory as “a hierarchical collection of directories and files.” In everyday graphical interfaces, “folder” is the familiar term; in technical documentation and command-line work, “directory” is common.

- Versatile Utility: This folder isn't limited to organizing course papers for college students; it's perfect for storing business tax documents, recipes, important receipts, and more!
For example, a Documents folder might contain report.docx and a nested Invoices folder. That arrangement creates a hierarchy: the parent folder groups its contents, and the nested folder can group another set of files.
The familiar container analogy is useful, but it is not literal: a computer does not store digital papers in a physical folder. The file system tracks items and their relationships, while the interface presents folders as places to browse.

How do files and folders differ?
| Aspect | File | Folder or directory |
|---|---|---|
| Main role | Stores data or represents a resource | Organizes and locates files and child folders |
| What it contains | Data, such as a document or image | Files, nested folders, or both |
| Typical appearance | An icon associated with a document, image, video, or other item | A folder icon or location in a file browser |
| Common technical term | File | Directory |
| How a path is used | A path can end with the file’s name | A path can identify the directory or lead through it to an item |
This describes the ordinary user-facing distinction. It does not mean every item displayed by every file browser is a plain file or an ordinary folder; some applications present virtual or packaged items.
Are a folder and a directory the same thing?
For ordinary file organization, yes: “folder” is the common interface term, while “directory” is the usual technical term for the structure that organizes files and subdirectories. Microsoft’s Windows documentation adds an implementation detail: a directory is represented in the file system as a special type of file. That technical description does not make a folder interchangeable with an ordinary document or image in everyday use.

How do paths show where an item is?
A path describes how to reach an item through its containing directories. Its format depends on the operating system and file system, so examples from one platform should not be treated as universal.
Windows example
A Windows path may include a drive letter and backslashes, as in C:UsersNameDocumentsreport.docx. Here, report.docx is the file, and the preceding path identifies the directories leading to it. Windows naming and path behavior are subject to system rules.

macOS and Linux
macOS and Linux also organize items in hierarchies, but their root conventions and path details differ from the Windows drive-letter example. Apple’s developer documentation discusses paths for Apple platforms, and the University of Oxford’s introductory guide illustrates different root conventions across Windows, macOS, and Linux. Not every device exposes the same visible drive layout.

Finder presents common locations such as Documents and Downloads as folders. Some folders supplied with macOS have special roles: Apple describes Applications, Library, System, Users, and Home as distinct locations, and advises against renaming or moving certain built-in folders. Treat those system-provided locations differently from a folder you created for your own files.
