Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsDigital document management can make family immigration preparation easier by keeping readable copies, translations and supporting evidence organized for review—and, when the specific filing allows it, electronic submission. It does not change the evidence USCIS requires. Start with the current instructions for the exact form, then build your digital files around those requirements.
Start with the exact form’s current instructions
Requirements vary by petition and can change. Before scanning anything, identify the form you are preparing and check its current USCIS instructions. Separate the evidence into three groups: documents required in every case, documents needed only if a particular circumstance applies, and optional supporting evidence. Also confirm whether that form can be filed online; electronic filing is available for certain applications, petitions, requests and supporting documents, not every form. USCIS Online Account Legal Terms describe electronic submission through the online system.

For Form I-130, the USCIS instructions identified as edition 04/01/24 say to submit legible photocopies of requested documents unless the instructions specifically require an original. USCIS may later request an original. Treat this as guidance for that form and edition, not a universal rule for every immigration filing. Read the Form I-130 instructions.
Build a clear folder for each person and evidence type
A straightforward folder structure makes it easier to find the right record while completing forms and reviewing the final package. For example, use a main folder for the petition and subfolders for each family member, then group records by type:
#1 Best Overall
- Size: 13 x 10 x 0.7 inches. Fits A4 and letter-size paper, standard documents and filing needs.
- User-Friendly Features: Included sticker labels allow you to easily distinguish between different categories of files, maintaining neatness and enhancing productivity!
- Sleek and Portable: Designed to slip seamlessly into backpacks, laptop bags, or file cabinets, our lightweight folder keeps your documents tidy and accessible wherever you go.
- Built to Last: Crafted from polypropylene, our folders resist tears and deformation while remaining flexible. The secure snap closure offers easy access while keeping your papers securely in place.
- Versatile Utility: This folder isn't limited to organizing course papers for college students; it's perfect for storing business tax documents, recipes, important receipts, and more!
- Identity and civil records: birth certificates, passports and other records requested by the form.
- Marriage or relationship records: certificates and supporting evidence, when relevant to the petition.
- Name changes and prior marriages: related legal records when applicable.
- Translations: a translated file stored with, or clearly linked to, its source document.
- Forms and submission copies: completed forms and the final evidence set.
Use descriptive filenames that identify the person, record type and date where useful—for example, “Petitioner_Birth-Certificate” or “Spouse_Marriage-Certificate.” This is a practical filing habit, not a USCIS naming requirement. An index listing each file and the form requirement it supports can help a household spot gaps without relying on memory.
Scan for legibility and keep source records safe
Create readable digital copies for working files. Check that the full page is visible, text is sharp enough to read, and no relevant stamp, seal or reverse-side information is cut off. Save multi-page records together in a sensible order. A document scanner is optional; USCIS does not require dedicated scanning equipment in the cited I-130 instructions.

Keep original records safely available, and do not send originals unless the applicable instructions specifically ask for them. The I-130 instructions say USCIS may request an original later. For that form’s filing purposes, USCIS also states: “USCIS will consider a photocopied, faxed, or scanned copy of an original handwritten signature as valid for filing purposes.” This statement concerns a copy of the handwritten signature; it does not mean every original document can be replaced by a scan.
Handle foreign-language records as a separate checklist item
For evidence submitted with Form I-130, the cited instructions require a full English translation of any foreign-language document and the translator’s certification that the translation is complete and accurate and that the translator is competent to translate into English. The certification must include the details specified in the form instructions. Check the instructions for the particular form you are filing, because requirements may differ. Store each translation with its source record so it is easy to verify that the pair is complete.

Use examples without treating them as a universal checklist
USCIS’s spouse-specific Form I-130 checklist includes a marriage certificate, evidence that prior marriages ended when relevant, legal name-change documentation when applicable, and examples of evidence supporting a bona fide marital relationship, such as shared residence, finances or family experiences. These are examples from that checklist for a spouse petition, not a complete list for every family immigration case. See the USCIS spouse checklist and compare it with the current instructions for your own filing.
Review the package before filing
- Recheck the current form instructions. Confirm that each required and conditional document is accounted for and that you are using the applicable requirements.
- Check every scan. Open the files and verify legibility, page order and completeness, including translations where required.
- Match records to people and form answers. Check that names, dates and relationships are clear. If names differ across records, consult the form instructions for any relevant name-change evidence.
- Keep a final copy. Retain the completed forms and evidence you submit so you can refer to the same set later.
- Confirm the submission route. If the form permits online filing, use the official USCIS system and follow its current instructions for uploading documents.
Coordinate without sharing USCIS account credentials
Family members can help gather records and review an organized evidence folder, but USCIS says online accounts are individual and should not be shared with family or friends. Keep each account holder’s credentials and account use separate while coordinating the documents outside the account. See USCIS’s Create Your USCIS Online Account guidance.

What digital organization can—and cannot—do
Digital files can make records easier to locate, review and, for eligible filings, submit. They do not establish that an application is complete or guarantee an outcome. USCIS’s cited sources provide no measured figure for time saved, error reduction or improved approval odds from digital document management. The useful safeguard is to organize around the current form instructions and verify the final evidence set against them.
