Desktop drives with a power adapter
A desktop external drive uses a separate power adapter and is intended to remain in one location. This format suits a large photo library, repeated workstation backups or a shared office archive. The adapter adds another item that can fail or be misplaced, and the drive is less convenient to move.
Estimate the capacity you actually need
Check the total space used on every computer and phone you intend to back up, then allow room for file growth and older versions. A drive that is only slightly larger than today’s data will fill quickly once versioned backups are enabled. If you rotate multiple backup sets, size each drive for the largest set rather than the average one.
Do not confuse a manufacturer’s decimal capacity with the space shown by your operating system; formatting and the difference between decimal and binary units make the displayed figure lower. The connector determines whether the cable fits your computer, while the USB generation influences transfer convenience. Before buying, identify the port on the computer and whether the package includes the required cable. A USB-C drive may need a USB-C-to-USB-A cable or adapter on an older computer. Adapters can solve the physical mismatch, but they do not turn a slower host port into a faster one.
Understand hardware encryption before enabling it
What the cited drives provide
Western Digital lists password protection with 256-bit AES hardware encryption for the cited My Passport Ultra anniversary model. LaCie Rugged Secure’s 2025 Seagate datasheet lists AES-256 hardware encryption. Hardware encryption performs the cryptographic work inside the drive rather than relying entirely on the computer’s processor.
The password-recovery trade-off
Encryption protects data if a drive is lost or stolen, but it also makes the password essential. Seagate and LaCie state that data cannot be recovered from encrypted products without the password. There is no universal reset that preserves the encrypted contents. Store the password in a reputable password manager and keep an offline recovery record in a secure location. Do not save the only copy of the password on the drive that it unlocks.
When encryption is worth prioritising
- Use it for laptops and portable drives that leave a home or office.
- Prioritise it for personal records, client material, business documents or any data subject to confidentiality requirements.
- It is less urgent for a permanently attached drive containing only replaceable downloads, although account and access controls still matter.
Encryption does not protect against accidental deletion, malware or a failed drive while it is mounted. Continue to keep an additional, disconnected copy.

Evaluate durability claims by the exact model
“Rugged” is not a universal rating. Look for a published test condition, not just a marketing adjective. LaCie Rugged Secure’s 2025 datasheet specifies resistance to a four-foot (1.2m) non-operating drop, a one-ton (1000kg/2205lb) car-crush test and rain resistance. The drop figure applies when the drive is not operating; it is not a promise that an active read or write will survive a fall.
Those ratings are useful for travel and field work, but they do not make the drive waterproof in every situation. Keep ports covered as designed, avoid submersion and eject the drive before moving it. For models without a published drop, crush or water test, assume ordinary portable-electronics handling rather than equivalent protection.

Windows and NTFS
NTFS is the native format identified for Toshiba Canvio Advance. It is appropriate when the drive will stay with Windows computers and supports Windows file permissions and large files.

macOS and reformatting
Toshiba warns that Canvio Advance may require reformatting for macOS. Reformatting erases the existing contents, so copy the installer, manual and any files to another location first. In Disk Utility, select the physical drive, choose Erase, select the format appropriate to your Mac workflow and verify that the correct device is selected before confirming.
Sharing between Windows and Mac
If one drive must move between both systems, choose a cross-platform format supported by your software and test a complete backup and restore on each operating system. Some backup applications require a specific file system, so compatibility is determined by both the operating system and the backup program, not by the USB connector alone.

- Inventory your data. List the computers, user folders, photo libraries and project directories that must be protected. Note the current used capacity and expected growth.
- Verify the package. Confirm the model number, capacity, connector, cable, regional warranty and any included software before opening the drive.
- Inspect and connect. Check the enclosure and cable for damage, connect directly to the computer for the first setup and wait for the operating system to mount the volume.
- Choose the file system. Keep the supplied format when it matches your operating system. If reformatting is required, copy any bundled files first and double-check the selected disk because the erase operation is irreversible.
- Enable security. Turn on password protection or hardware encryption where provided. Create a unique password, save it in a password manager and make a separate protected record.
- Configure backup scope and schedule. Select user data and application-specific libraries, choose a schedule that runs when the computer is available and retain older versions if the software supports them.
- Complete the first backup. Keep the computer awake, avoid disconnecting the cable and confirm that the software reports success rather than merely finishing with warnings.
- Test a restore. Restore several files to a different folder, open them and check dates and permissions. A backup that cannot be restored is not dependable.
- Disconnect for separation. Eject the drive after each run and store it away from the computer. Rotate a second copy to another location when the data is important.
Warranty, recovery services and what they do not cover
The researched warranties range from two to three years, and the term belongs to the exact model and region rather than to a product family. Read the limited-warranty document for proof-of-purchase rules, exclusions, shipping responsibility and whether replacement media is blank.
