Which happens depends on the paste option and the source cells. To preserve a list, paste values only; if the list seems broken, first check whether its rule is still there.
Why a pasted value can be invalid even when the drop-down still exists
Data validation can show an in-cell list, provide an input message, and display an error alert when someone enters a value that does not meet the rule. But Microsoft says validation messages may not appear—and invalid data may still enter—when a value is copied or filled into a cell, calculated by a formula, or entered by a macro. In other words, a cell can retain its rule while containing a value that does not comply. Microsoft explains this limitation.

A Stop-style error alert is therefore not a guarantee against every invalid pasted value. Validation helps guide and check direct entry, but pasted, filled, formula-generated, or macro-entered values may need a separate review.

Excel’s normal paste can carry cell attributes as well as content. Depending on the paste mode and source, those attributes may include validation, so the destination’s rule can change. It is not true that every paste removes validation: the result depends on what is copied and which paste option is selected. Microsoft’s paste-options guidance describes options for choosing what to transfer.

On Mac, Microsoft lists Values and Validation as separate Paste Special choices. Values-only pasting transfers the cell values without copying the source validation rule. Interface labels and available options vary by Excel platform and version; choose the option that pastes values only, rather than All or a mode that copies validation. See Microsoft’s Paste Special instructions for Mac.
How to paste values without replacing a drop-down
- Copy the source cells.
- Select the destination range that already has the drop-down rule.
- Use the values-only paste option. In Excel for Mac, open Edit > Paste Special and choose Values. On other builds, use the equivalent paste option that transfers values only; avoid All or a choice that copies validation.
- Check a destination cell afterward: open Data > Data Validation and confirm the expected rule remains.
Because paste menus differ across desktop, Mac, and web versions, the key is the paste behavior rather than a button name: transfer values without source attributes, then verify the destination rule.

How to check whether validation is missing
Inspect a cell that should have the list
Select a cell where the drop-down should appear and open Data > Data Validation. Check the Allow setting, the Source field, and whether In-cell dropdown is selected. If the rule is absent, choose List under Allow, specify the intended source, select In-cell dropdown, and confirm. Microsoft recommends testing both an allowed and a disallowed entry after creating a rule. Its data validation instructions cover setting up and testing validation.
Find cells with validation on the worksheet
In Excel for Windows, use Go To Special > Data Validation > All to select cells with validation rules. On Mac, Microsoft’s path is Edit > Find > Go To > Special > Data Validation; choose All to find cells with any validation, or Same to find cells with the same rule as the active cell. The exact menu path can vary by version. See Microsoft’s instructions for finding validated cells.

Check whether the source list changed
If the validation rule exists but the choices are outdated or incomplete, inspect its Source field. A list can be supplied as comma-separated entries, a cell range, a named range, or a table column. When a table column is used as the source, adding or removing items in the table updates the associated drop-downs. A table can keep the list current, but it does not stop a paste from bypassing validation or changing the destination rule. See Microsoft’s drop-down list guidance.
How to find invalid values that may have been pasted
In supported desktop versions of Excel, use Circle Invalid Data to mark values that do not meet their cells’ validation rules. Microsoft cautions that this command may not be visible in Excel for the web. The circles help locate suspect entries; they do not restore a missing rule or correct the values automatically. See Microsoft’s instructions for circling invalid data.

When you cannot edit the rule
The Data Validation command may be unavailable if the worksheet is protected or the workbook is shared. If you lack permission to change the rule, ask the workbook owner or an authorized editor to make the correction. Avoid Clear All as a troubleshooting step: it removes validation along with other cell contents and formatting. Use it only when you intentionally want to remove the rule. Microsoft’s list-removal guidance explains how validation is cleared.
