There is no single “private” setting that answers how an enterprise chatbot handles data. Compare model training, conversation retention, administrator access, data location and the exact plan or contract together. OpenAI, Microsoft, Google and Anthropic publish different protections; none should be treated as interchangeable.
How do the enterprise chatbot privacy controls compare?
This comparison covers the business products and account contexts described in provider documentation checked on October 4, 2026. It summarizes what vendors publicly state, not an independent audit or a guarantee that a particular tenant has enabled every control.

| Provider and scope | Training and feedback | Retention and administrator controls | Geography and qualifications |
|---|---|---|---|
| OpenAI: ChatGPT Enterprise/Business and API | OpenAI says inputs and outputs for the listed business plans and API are not used to train models by default. API customers can explicitly opt in to data use for improvement. See OpenAI’s business data privacy documentation. | Qualifying organizations can configure retention. OpenAI names zero data retention (ZDR) for the API platform; eligibility and which endpoints or products are covered must be confirmed. The published page also states AES-256 encryption at rest and TLS 1.2 or higher in transit; these are vendor security statements, not independent assurance results. | Eligible ChatGPT Enterprise, Edu, Healthcare and API customers can store sensitive content at rest in listed regions. Eligible customers may opt into US or European in-region GPU inference; supported API endpoints also allow US or Europe processing selection. Residency at rest and inference location are separate controls. |
| Microsoft: Microsoft 365 Copilot and Copilot Chat for work or school | Microsoft says Copilot interaction records are not used to train foundation large language models (LLMs). Optional feedback may be used to improve Copilot as a service, but Microsoft says it is not used to train foundation models. See Microsoft’s Microsoft 365 Copilot privacy documentation. | Prompts, responses and grounding citations can be stored as activity history. Administrators can use Content Search and Microsoft Purview, including retention policies; users can delete activity history through My Account. For work/school Copilot Chat, prompts, triggered Bing queries and responses are logged for administrator search and audit. See Microsoft’s Copilot Chat data-protection documentation. | Calls usually route to nearby data centers but may go elsewhere during high utilization. Microsoft says Anthropic-provided models used as subprocessors are currently outside the EU Data Boundary. Triggered Bing searches are separately governed; Microsoft describes Bing as an independent controller. |
| Anthropic: Claude Enterprise and API | The reviewed Anthropic training explainer is for consumer plans and redirects commercial users to commercial terms. Do not apply consumer controls or promises to Claude Enterprise or the API; confirm the organization’s applicable commercial terms. | Under the standard stated rule, commercial API inputs and outputs are deleted from backend systems within 30 days, subject to exceptions and agreements. In Claude products that save chats, users can delete conversations, with backend deletion within 30 days; policy-flagged content has longer exceptions. Claude Enterprise owners can configure chat and project retention with a minimum of 30 days. Project retention takes precedence, and projects are retained indefinitely by default. Some features are outside the custom controls. See the Anthropic Privacy Center retention FAQ and Claude Enterprise retention-control guide. | The reviewed sources do not establish a complete regional storage and inference matrix for Claude Enterprise and API. Anthropic’s retention FAQ discusses covered-model safety retention, and its Enterprise help navigation references US-only inference; confirm available regions, models and terms for the specific account. |
| Google: Gemini for Google Workspace | For eligible Workspace users, Google says submissions are not human-reviewed or used to train generative AI models outside the domain without permission. This is not a blanket statement for consumer Gemini or non-qualifying accounts. See the Gemini for Google Workspace FAQ. | Administrators control Gemini conversation history. When enabled, the available retention choices are 3, 18 or 36 months, with 18 months as the default. When history is off, existing chats remain in accounts for up to 72 hours for service and feedback processing. Workspace DLP and data-region policies are among inherited controls. Administrators can also restrict Gemini access, access to Workspace data, conversation sharing and Gemini Enterprise features. See Google’s Gemini app access controls and Google’s explanation of Gemini’s Workspace data access. | Protections depend on the qualifying Workspace edition and account context. Gemini follows the user’s permissions for Workspace content; a user’s ability to access a document remains relevant to what Gemini can access. |
What do “training,” “retention” and “data residency” actually mean?
Training is not the same as storage
A provider’s statement that prompts are not used to train foundation models does not mean the provider stores no prompts. Conversation history may still be retained for service delivery, administrator review, audit, safety or feedback processing. Treat model training, product improvement, human review and service logging as separate purposes, and check each one in the applicable terms.
Retention settings are not the same as immediate deletion
A history toggle or deletion request may affect future saving or initiate a deletion lifecycle without erasing every associated record at once. Clarify what is retained in the service, what administrators can search, how deletion propagates to backups or related files, and whether legal, safety or feedback exceptions apply. A configured retention period is meaningful only if it covers the relevant feature and data type.

Storage location is not inference location
Data residency describes where content is stored, while inference location describes where processing occurs. A commitment about stored data does not by itself establish that a model call is processed in the same region. Ask about the exact model, workload, routing behavior and contractual commitment—especially when subprocessors or high-utilization routing are involved.

- Account and scope: Which product SKU, edition and signed-in account are covered? Does the promise apply to chat, API calls, projects, connected apps, agents, uploaded files and third-party models?
- Training and improvement: Are prompts, responses, feedback and safety-review data used for model training, service improvement or human review? Is any use optional, and who can enable it?
- Retention and deletion: Which records are saved, for how long, and who sets the period? What happens to files, project data, search queries, audit records and backups when a user or administrator deletes content?
- Governance: Can administrators search, export, audit, delete or place relevant content under organization retention policies? Which roles can do so, and are controls available for every feature?
- Region and routing: Where is content stored, where is inference performed, and can routing move outside the selected region? Which models and subprocessors are covered by the commitment?
- Exceptions and accountability: What safety, legal, abuse-prevention or feedback exceptions permit additional retention or processing? Which contract or DPA governs if public help pages and the organization’s terms differ?
Which provider is the best fit for a given privacy requirement?
Choose based on the control that matters most, rather than treating any vendor’s “enterprise” label as a complete privacy guarantee.
- If regional processing is mandatory, distinguish storage residency from inference and check exact endpoint, model, region and routing coverage before selection.
- If retention limits are central, establish whether administrators can set the required period and whether it covers chats, projects, files and connected features. Confirm default behavior as well as configurable behavior.
- If audit and legal hold matter, evaluate search, export and retention-policy tools independently from model-training terms.
- If the organization uses consumer accounts today, do not assume their settings or protections carry over to a business tenant—or the reverse. Confirm the active account type and edition before entering sensitive information.
Provider policies and controls can change. Recheck the linked documentation and have the administrator or vendor confirm the current SKU, settings, region, feature and contract for the workload before deployment.
