The best email-security choice starts with your mail platform. Microsoft 365 organizations should first map the protection already included with cloud mailboxes, then assess whether Defender for Office 365 Plan 1 or Plan 2 fills specific gaps. Google Workspace administrators should compare Gmail controls in their edition, especially attachment sandboxing, Enhanced Safe Browsing, DLP and context-aware access. A third-party layer can make sense when business-email-compromise (BEC), compliance, investigation or response requirements exceed native controls.
Start with the mail platform you already operate
Email security is not a single product category. It can mean the controls built into Microsoft 365 or Google Workspace, a separate API-connected service, a secure email gateway that sits in the mail flow, or a combination. Buying the wrong architecture can create duplicate quarantines, conflicting policies and extra administration without improving protection.

Microsoft 365: map included protection before buying an add-on
Microsoft documents built-in anti-malware, anti-spam, anti-phishing, quarantine, message trace and reporting for organizations with cloud mailboxes. Microsoft describes Defender for Office 365 as the primary email and collaboration security solution for Microsoft 365, while its licensing ladder separates baseline controls from advanced capabilities.

Google Workspace: edition and administrator settings determine coverage
Google scans all messages for malware, whether or not attachment-security settings are enabled. Administrators can choose actions for phishing and malware detections, including warnings or spam placement, and can tailor attachment controls for organizational units.
Google’s Security advisor matrix shows attachment sandboxing and Enhanced Safe Browsing for Gmail in Standard, Plus and Enterprise editions, with the exact control set varying by plan. Verify your edition rather than assuming that a control available in one Workspace tier exists in another. Google also lists DLP and context-aware access as edition-dependent capabilities that may affect your design.
Google states that more than 99.9% of spam, phishing attempts and malware are automatically blocked in Gmail on its security page accessed October 20, 2026. That figure is a platform-level claim, not a guarantee that every malicious message, BEC attempt or account takeover will be stopped.
Understand the Microsoft Defender for Office 365 capability ladder
Microsoft’s documented capability progression is useful when deciding whether a third-party service solves a real gap.
| Capability area | Built-in cloud-mailbox protection | Defender for Office 365 Plan 1 | Defender for Office 365 Plan 2 |
|---|---|---|---|
| Anti-malware and anti-spam | Included | Included | Included |

| Safe Links | Added | Added | |
| Alerts and SIEM integration | Added | Added | |
| Attack simulation | Added | ||
| Threat Explorer and threat trackers | Added | ||
| Advanced hunting | Added | ||

Use this ladder as a licensing checklist, not as a substitute for configuration review. A licensed feature still needs policies, exclusions, alert routing and an operating procedure. During evaluation, confirm which administrators can release messages, investigate incidents and change protection settings.

What features matter in an email-security product?
Prioritize capabilities according to your threat model and operating capacity. A long feature list is less useful than clear answers about what happens to a suspicious message, who sees the alert and how quickly your team can act.
Inbound protection
- Spam and malware filtering: Check detection actions, quarantine behavior, attachment handling and administrator override controls.
- Phishing and spoof protection: Ask how the service evaluates sender authentication, display-name deception, look-alike domains and anomalous sending behavior.
- Executive and domain impersonation: Determine whether policies can protect selected executives, finance addresses and high-value domains without creating excessive false positives.
- Malicious-link defense: Look for URL rewriting, reputation checks and time-of-click analysis. Confirm how links appear to users and whether rewritten URLs work in mobile clients and collaboration messages.
- Attachment sandboxing: Verify whether suspicious files are detonated or analyzed before delivery, how long analysis can delay a message and how encrypted archives are handled.
- BEC detection: Test invoice fraud, unusual payment requests, supplier impersonation and conversation hijacking. BEC messages may contain no malware, so malware-only testing is insufficient.
Outbound and data controls
- Outbound filtering: Establish whether compromised accounts, sensitive data or spam generated by an internal account are detected before delivery.
- Data loss prevention: Check policy scope, matching rules, user notifications, exception handling and whether DLP is included or priced as an optional module.
- Encryption: Ask how recipients authenticate, whether encrypted messages can be recalled and what retention or data-residency rules apply.
- Continuity and journaling: If the service offers mail continuity or archive functions, price them separately and confirm restoration procedures.
User and administrator workflow
- Quarantine and release: Review the end-user digest, release permissions, administrator approval path and audit trail. A secure system should make legitimate-mail release understandable without allowing users to bypass high-risk policies.
- User reporting: Confirm how users report phishing, whether reported messages are removed from other mailboxes and how duplicate reports are consolidated.
- Threat hunting: Determine whether analysts can search message headers, URLs, attachments, sender infrastructure and related campaigns.
- Automated investigation and response: Ask which actions can run automatically, what approvals are required and how every action is logged.
- Role-based administration: Verify separate roles for help-desk quarantine release, security investigation, policy management and audit access.
- Audit and reporting: Ensure reports cover delivery, quarantine, policy decisions, user actions, administrative changes and retention periods.
Coverage beyond the inbox
Ask whether protection extends to Microsoft Teams, SharePoint, OneDrive, Google Drive and mobile clients if those channels are part of your collaboration environment. A product that secures only SMTP mail may leave phishing links or malicious files accessible through another route.

API-based protection versus a secure email gateway
Architecture affects deployment effort, mail-flow visibility and incident response. Ask each vendor whether it offers API-based protection, gateway-based protection or both.
API-based protection
An API-connected service grants permission to inspect messages and mailbox activity inside the existing cloud platform. Proofpoint’s Core Email Protection, for example, describes API-based protection with detections visible in Microsoft 365 workflows and support for Microsoft 365 and Google Workspace.
- Deployment can avoid changing MX records.
- Detections may appear in the existing Microsoft 365 or Google Workspace workflow.
- Permissions, scopes, token rotation and consent governance become part of the security review.
- Confirm how quickly the service can remediate messages already delivered to mailboxes.
Gateway-based protection
A secure email gateway receives mail before it reaches the cloud mailbox, applies policy and forwards approved messages. Ask about MX-record changes, routing, TLS, journaling, continuity during an outage and coexistence with native filtering.

- [Easy Disassemble] Making incidental repairs quick and easy! Very nice, flexible cable
- [Dont Hesite to Order] 24 hours customer services and professional technology team are standing by
- Gateway deployment can provide a clear inspection point for inbound and outbound traffic.
- Mail-flow changes may require DNS planning, connector configuration and staged cutover.
- Failure handling must be explicit: determine whether mail queues, bypasses inspection or is rejected when the gateway is unavailable.
- Confirm how internal mail, calendar messages, automated senders and partner allowlists are handled.
Questions for either architecture
- Does deployment require an MX-record change, an API connection, or both?
- Where do alerts and detections appear: the vendor console, Microsoft Defender, Google Workspace, a SIEM, or several locations?
- Which SIEM, SOAR and ticketing connectors are supported, and what fields are exported?
- How are duplicate quarantines and conflicting allowlists prevented when native filtering remains enabled?
- Does the service cover Microsoft Teams, SharePoint, OneDrive, Google Drive and mobile clients?
- How are mail flow, journaling, continuity and rollback handled during migration?
Compare pricing on the same unit
Email-security pricing is usually per protected user or mailbox, but the comparable unit is often obscured by annual commitments, minimum seats, modules and implementation charges. Request every finalist’s price in the same format: cost per protected mailbox per month, contract term, minimum seats, overage rate, support level, data-residency option and one-time implementation fee.

Google notes that promotional prices may apply temporarily. Compare the recurring price after any promotion, not only the introductory amount, and verify taxes, currency and billing terms for your region.
Microsoft licensing questions
Microsoft’s product information presents Defender for Office 365 Plan 1 and Plan 2 but does not establish one universal price in the material used for this guide. Ask Microsoft or your licensing partner whether the required capabilities are already included in your Microsoft 365 plan, available as an add-on or sold standalone. Request the price for the exact user population and term.
Third-party quote questions
Proofpoint’s Essentials package sheet is feature-oriented rather than a universal public price list. Request a quote that identifies the package, protected mailbox count, contract term, support level and every optional charge for continuity, archive, encryption or DLP. Do not compare a base anti-spam quote with a native platform bundle that already includes advanced investigation or DLP.
- Ask whether dormant, shared and service mailboxes count as billable users.
- Confirm minimum seats and the treatment of seasonal or temporary accounts.
- Ask what happens when the trial or promotional period ends.
- Separate implementation, migration, premium support, archive, continuity, encryption and DLP from the mailbox subscription.
- Verify data-residency locations and any charge for retaining logs or message copies.
Run a proof of concept that measures operations
A proof of concept should test the day-to-day work your administrators and users must perform, not just a headline detection claim. Use representative benign samples and approved test messages in a test domain whenever possible.

- Define success criteria. Record acceptable delivery latency, quarantine clarity, false-positive rate, administrator effort, investigation time, alert quality, SIEM/API completeness and rollback requirements.
- Test common attack patterns. Use approved samples for phishing, spoofing, malicious links, suspicious attachments, encrypted attachments and BEC-style impersonation. Include messages that should be delivered so false positives are visible.
- Measure user experience. Check warning banners, quarantine notifications, reporting buttons, mobile behavior and the steps required to request a release.
- Exercise administrator workflows. Trace a message, find related messages, release a legitimate item, remove a malicious message already delivered and document the approval path.
- Validate integrations. Confirm that alerts, message identifiers, URLs, attachment details and response actions reach your SIEM, SOAR or ticketing system as promised.
- Test policy exceptions. Add and remove an approved sender, executive impersonation rule and partner domain. Verify that exceptions are scoped, logged and reversible.
- Test failure and rollback. For gateway designs, simulate an outage or routing failure. For API designs, review permission revocation, token rotation and remediation when the API is unavailable.
- Plan migration. Validate coexistence with native filtering in a test domain before changing production MX records or granting broad API permissions.
Common failure modes and how to prevent them
Duplicate quarantine and conflicting policies
Running native and third-party filters without an explicit ownership model can trap messages in two places or produce contradictory allowlists. Decide which system owns quarantine release, user reporting, impersonation rules and outbound DLP. Document the precedence of each policy.
Overly broad allowlists
An allowlist can defeat malware, spoof and link protection if it bypasses inspection. Prefer narrowly scoped exceptions based on authenticated senders, specific domains, message types or business processes, and review their expiration dates.
Testing only malware attachments
BEC and credential phishing often use ordinary text, trusted cloud links or look-alike sender names. Include payment-change requests, executive impersonation and conversation hijacking in testing.
Ignoring outbound mail
An account that sends spam or sensitive data can damage reputation even when inbound filtering is strong. Confirm outbound filtering, rate controls, DLP actions and incident escalation.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsBuying features no one operates
Threat hunting, automated response and SIEM connectors create value only when someone owns the alerts and has time to investigate them. Assign roles, escalation targets and response-time expectations before paying for advanced modules.
Best Value
Changing production routing too soon
MX changes and API permissions can affect every mailbox. Use a test domain or pilot group, record the original routing and permissions, and define a rollback window before migration.
Which approach fits your organization?
Small Microsoft 365 deployment
Start by auditing included anti-spam, anti-malware, anti-phishing, quarantine, message trace and reporting. If impersonation, Safe Links, Safe Attachments or SIEM integration are the main gaps, evaluate whether Defender for Office 365 Plan 1 addresses them before introducing another console.
Microsoft 365 security team with investigation requirements
Organizations that need attack simulation, Threat Explorer, threat trackers, advanced hunting and Automated Investigation and Response should assess Plan 2 capabilities and the staffing required to use them. A third-party service is most defensible when it adds a specific control, integration or response workflow that native licensing does not provide.
Google Workspace organization
Confirm your edition first, then review Gmail phishing and malware actions, attachment sandboxing, Enhanced Safe Browsing, DLP and context-aware access. Test organizational-unit policies so that security settings match the risk and workflow of each group.
High-BEC, compliance or response requirements
Evaluate a third-party layer alongside native controls when you need specialized impersonation detection, broader investigation, centralized reporting, additional continuity or compliance workflows. Require evidence of API or gateway behavior, coexistence controls and a measurable operating model.
