No. Microsoft says Microsoft 365 Copilot Search may retrieve and use OneDrive files that the signed-in user is already allowed to access, but prompts, responses, Microsoft Graph data, files and Copilot communications are not used to train the foundation models behind Microsoft 365 Copilot.
That distinction matters: Copilot can ground an answer in a private OneDrive document without adding the document to a permanent model-training dataset. The exact privacy promise depends on whether you are using a work or school account, Microsoft 365 Personal or Family apps, or the separate consumer Copilot service.

Microsoft 365 Copilot Search is designed to find information across the Microsoft 365 content already available to your account. A file being private from coworkers does not make it invisible to you: if it is in your OneDrive and your account can open it, Copilot may use it when answering a question.

OneDrive files you own
Copilot in OneDrive can work with files stored in your own OneDrive. Microsoft describes a user-initiated experience in which Copilot can be activated on selected files, rather than treating every document as an unrestricted source for every request.
Files shared with you
Permission also covers OneDrive files shared with your account. If the sharing permission lets you read a document, Copilot can potentially ground an answer in that document. If access is removed, the permission boundary should prevent the file from being surfaced through Microsoft 365 experiences that honor that boundary.
Personal and Family account content
For individual and family subscriptions, Microsoft says Copilot grounding is based on the account owner’s content, including files stored in OneDrive. The owner relationship is important: another person’s private files are not automatically included merely because you use the same device or subscription.
Grounding is not model training
The word “use” can describe two separate operations. Grounding means retrieving relevant, authorized content at the time you ask a question and supplying it to the model so the response can refer to that content. Training means using examples to change or improve a foundation model for future interactions.

- Retrieval: Copilot checks sources your account is allowed to use, such as a OneDrive document.
- Generation: the model uses the retrieved passages, along with your prompt, to compose an answer.
- Training policy: Microsoft’s stated policy determines whether that prompt, response or retrieved content can be added to foundation-model training. For Microsoft 365 Copilot, Microsoft says it cannot.
Therefore, the fact that Copilot can quote, summarize or reason over a private document does not mean the document becomes part of the model’s permanent knowledge. It is processed to answer your request under the service’s privacy and security commitments.
Work and school accounts: Microsoft’s no-training commitment
For Microsoft 365 commercial services, Microsoft states that “prompts, responses, and data accessed through Microsoft Graph aren’t used to train foundation LLMs, including those used by Microsoft 365 Copilot.” Microsoft Graph is the layer through which many work and school sources are made available, including files, messages, meetings and calendar information.
Microsoft’s minimum-requirements documentation gives the same promise in plainer terms: “Microsoft will never use your files or communications with Copilot to train models or share with other customers.” The statement covers customer files and communications with Copilot, not just a particular OneDrive folder.
This does not remove your organization’s normal access rules. A user with permission to a confidential file may be able to retrieve it; a user without permission should not. Tenant security boundaries, sharing settings and compliance policies continue to determine what Copilot can see.

What the commercial statement does and does not mean
- It means Microsoft says the content is not used to train the foundation LLMs used by Microsoft 365 Copilot.
- It does not mean Copilot ignores the content. Authorized retrieval is the feature’s purpose.
- It does not grant access to documents that your account cannot already open.
- It does not make an incorrectly shared or over-permissioned document safe. Copilot can expose information to anyone who already has the underlying access.
Personal and Family Microsoft 365 apps
Microsoft publishes a separate privacy statement for home use. It says: “Prompts, responses, and your file contents when using Copilot in Microsoft 365 apps aren’t used to train foundation models.” Microsoft also says personal data collected from connected experiences is not used to train large language models.
That wording applies to Copilot in Microsoft 365 applications for personal and Family subscriptions. It is narrower than a promise about every Microsoft-branded AI product. To interpret it correctly, identify the app and account you are using before assuming that the same rule applies elsewhere.
What personal grounding looks like
When you ask Copilot about a document in your personal OneDrive, the service can use the file as grounding for that interaction. The file may be your own document or another document your account can access. Microsoft’s stated policy still excludes the prompt, response and file contents from foundation-model training in Microsoft 365 apps.

Microsoft also documents a separate consumer Copilot experience. Its rules include user-controlled choices about whether conversation activity can be used for model training, and some consumer conversations may be used for training unless the user is excluded or opts out under the available controls.

That is not the same surface as Microsoft 365 Copilot in Word, Excel, Outlook, OneDrive or Microsoft 365 Search. Microsoft’s consumer documentation also says Microsoft 365 Copilot conversations remain read-only and are not used to train Copilot models. The safest conclusion is not “all Copilot data is treated identically,” but rather “the policy follows the product surface and account type.”

The table is a product-surface comparison, not a statement that one account can bypass another account’s permissions. A work tenant and a personal Microsoft account have different commitments and administrators, so always identify which one supplied the sign-in session.

- Identify the account. Open the account or profile menu in the Microsoft 365 app and determine whether you are signed in with a work or school identity or a personal Microsoft account. If both identities are present, check which one owns the open file.
- Identify the Copilot surface. Note whether the request is being made in Microsoft 365 Search, OneDrive, Word, Excel, Outlook, another Microsoft 365 app or the separate consumer Copilot app.
- Check the source. Determine whether the answer could come from Microsoft Graph, a OneDrive or SharePoint file, a web result, an uploaded file or your conversation history. Different sources can have different controls.
- Check the file permission. Open the document normally with the same account. If you cannot open it, do not assume Copilot can. If you can open it, treat that permission as the relevant access boundary.
- Review available privacy controls. Personal consumer Copilot offers choices concerning conversation activity and training. Work or school users should also follow their administrator’s tenant and compliance guidance.
Practical privacy checks for users and administrators
Audit sharing before blaming training
If a sensitive document appears in an answer, the first question is usually whether the requesting account had permission to read it. Review direct shares, group membership and inherited access. Copilot can make an existing permission easier to discover, but it does not turn an unauthorized user into an authorized one under the documented Microsoft 365 behavior.

Use least privilege
Give files access only to people and groups that need it. Remove stale shares and verify that confidential folders are not broadly accessible. This protects information from ordinary browsing and from permission-aware AI retrieval alike.
Separate “not trained” from “not processed”
The no-training statements answer whether content is used to improve foundation models. They do not promise that a file is never processed by Microsoft’s service: processing is necessary to search, summarize or answer questions about it. If your concern is retention, logging, auditing, legal hold or regional processing, consult the applicable Microsoft 365, OneDrive and organizational compliance documentation rather than treating the training statement as a complete data-lifecycle description.
Set an organizational rule for AI use
Work and school administrators should communicate which Copilot surfaces are approved, which repositories contain restricted information and how users should report unexpected results. Existing tenant security and compliance controls remain the governing mechanisms for access.
Common questions answered precisely
Can Copilot see my private OneDrive documents?
It can use a private document when the signed-in account has permission to access it. “Private” normally means other people cannot access it; it does not mean the owner’s own authorized Copilot features are barred from reading it for a requested task.

Microsoft says Microsoft 365 Copilot prompts, responses and the data it accesses through Microsoft Graph are not used to train its foundation LLMs. For personal Microsoft 365 apps, Microsoft likewise excludes prompts, responses and file contents from foundation-model training.
Does the no-training promise cover every Microsoft AI chat?
No. Microsoft documents separate controls for the broader consumer Copilot service. Use the policy for the exact account and app involved instead of applying the Microsoft 365 statement to every Copilot conversation.
Is there a published percentage of OneDrive files used for training?

What to remember
Microsoft 365 Copilot Search can retrieve a private OneDrive file when your signed-in account is authorized to read it. That is grounding: temporary, permission-controlled use to answer your request. Because broader consumer Copilot has different controls, check the account and product surface before drawing a conclusion about any particular conversation.
