Google says personal Gmail and Workspace data are not used to train foundational AI models without permission; access is scoped to the task, your account permissions and any separately authorized services.
What “read” means in Gmail AI
The word read describes two different activities. A feature may retrieve selected messages to answer a prompt, or a provider may use stored messages to train a general-purpose model. Gmail’s published privacy commitments distinguish these activities.

When you ask Gemini in Gmail to summarize a long thread, locate an old message or answer a question about your mail, the service can process relevant Gmail content for that request. Google’s Workspace Privacy Hub says Gemini retrieves relevant Workspace content that the user is allowed to access in order to contextualize the prompt and ground the response. It does not retrieve content that your account cannot access.
That task-based retrieval should not be described as Gemini silently scanning every message. Google has not published a percentage for how much of a typical inbox is examined during a query, so claims that it reads a fixed share of all mail are unsupported.

What Google says about personal Gmail
In a Gmail privacy post dated April 7, 2026, Google vice president of product Blake Barnes wrote: “Google does not train its foundational AI models, including Gemini, on your personal emails.” The same statement says that access granted to Gemini in Gmail is for isolated tasks, such as summarizing a lengthy email, and that the data is not retained after the task.
In practical terms, a consumer Gmail user can invoke an AI feature, have Gemini fetch the messages needed for that request and receive a generated answer. The published Gmail-specific commitment is that the content is processed for that isolated task rather than added to training data for Google’s foundational models, and that it is not retained after the task.
Feature availability and exact behavior can vary by country, account type and rollout stage. A feature shown in one Gmail account may not yet be available in another, and Google can change product settings over time.
How Workspace accounts differ
Google Workspace adds organizational permissions and administrator controls. Workspace Help states: “We do not use your Workspace data to train or improve the underlying generative AI and large language models that power Gemini, Search, and other systems outside of Workspace without permission.” The same documentation describes Workspace content as belonging to the customer.
Gemini still uses content to answer a user’s prompt. It can draw on mail, documents or other Workspace items that the requesting user is permitted to access. A user’s inability to open a message or file remains a permission boundary for Gemini; the feature is not a way to bypass Drive, Gmail or shared-resource access rules.

Retention is more configurable in Workspace than in the consumer Gmail statement. Workspace documentation says prompts and generated outputs are not stored without permission, while the Workspace Privacy Hub documents administrator-managed retention for Workspace Gemini conversation histories. Your organization’s edition, retention policy and administrator settings therefore determine how long conversation records may remain.
Can Gemini see attachments and old messages?
It can process older messages or attachments when they are relevant to the request and available to the account or feature making the request. Relevance is determined by the task: a prompt asking for a contract from a particular year may cause Gemini to retrieve matching mail, while an unrelated prompt should not require that entire mailbox.

Google Cloud’s Gmail connector documentation says the connector requests the gmail.readonly OAuth scope and can search and read Gmail messages, threads, drafts, labels and attachments. That connector is a separately authorized enterprise integration, not a description of every Gmail account’s normal behavior.
Older mail is not automatically excluded merely because it is old. If the service can access it, the query matches it and the feature supports the relevant message or file type, it may be used to ground the answer. Google does not publish a universal age limit or a guaranteed percentage of mailbox coverage for Gemini searches.
Is Google using your emails to train Gemini?
Google’s current published commitments say no for personal Gmail and for Workspace data unless permission is provided. The Gmail statement specifically excludes personal emails from training Google’s foundational AI models, including Gemini. Workspace Help separately says Workspace data is not used to train or improve underlying generative AI and large language models outside Workspace without permission.

This assurance concerns model-training use. It does not mean Gemini never processes email: an AI answer requires the service to handle relevant message content while generating the response. Training a model on a broad corpus and temporarily using an authorized message to answer one prompt are different operations.
A separate sharing choice can change the governing terms. If you share Workspace data with Gemini Apps or Search services for Personal Intelligence, that data is handled under those services’ terms and privacy policies and may be used for model training or improvement. The distinction is important: the Workspace commitment does not automatically cover data that you deliberately export or share with another Google service.
Could Google keep your prompts or email text?
For consumer Gmail, Google’s April 7, 2026 statement says data used for an isolated Gemini task is not retained afterward. Workspace has a more detailed, administrator-controlled model. Documentation says prompts and generated outputs are not stored without permission, while the Privacy Hub allows administrators to manage retention of Workspace Gemini conversation histories.
That means two employees can see different retention behavior depending on their organization’s plan and policy. An administrator may permit conversation history for compliance or operational reasons, or configure a shorter retention period. Consumer and Workspace statements should not be merged into one universal rule.
Retention of an AI conversation is also distinct from retention of the original Gmail message. Deleting a generated response does not necessarily delete the email that supplied its context, and Gmail’s normal retention, legal-hold and administrator policies continue to apply to the underlying mailbox.

How Gmail’s security protections fit in
AI processing sits on top of Gmail’s normal account and message protections; enabling Gemini does not remove those baseline controls. Google’s Safety Center reports that Gmail blocks more than 99.9% of spam, phishing attempts and malware. It also reports that AI-enhanced spam filtering blocks nearly 10 million spam emails every minute.
Gmail uses Safe Browsing warnings for dangerous links, monitoring for suspicious sign-ins and confidential mode features. Messages are encrypted at rest and while they move between Google data centers. These protections do not make Gmail end-to-end encrypted: Google’s systems must be able to process mail for delivery, filtering, search and any AI feature you authorize.
Encryption protects data in storage and transit; it does not answer whether a particular Gemini request may retrieve a message. That question is governed by the prompt, the account’s permissions, the feature’s design and any administrator or connector authorization.
How to prevent AI from searching Gmail
Personal Gmail users
- Do not invoke Gemini actions that search, summarize or answer from Gmail when you do not want mail used for that task.
- Review the Google services and third-party applications connected to your account. Revoke access for any Gemini-related or enterprise connector you no longer recognize or need.
- Check whether you have enabled a Personal Intelligence sharing option that sends Workspace or other data to Gemini Apps or Search services. Disable that sharing if you do not accept those services’ separate terms.
- Remove unnecessary mailbox access from connected applications and use a separate account for integrations that do not need your full mail history.
Google’s account and product labels can change, so the exact menu names may differ by device, country and rollout. The key check is the OAuth or connected-app permission, especially any permission that includes Gmail read access.

Workspace administrators can enable or disable Gemini features for the organization and can stop Gemini from actively searching specific applications, including Gmail. If you are an employee, ask your administrator whether Gmail search is enabled for your organizational unit and what conversation-retention policy applies.
Administrators should review both feature availability and connected services. Disabling a Gemini feature does not necessarily revoke an independently authorized Gmail connector, and revoking a connector does not necessarily disable Gemini features built into Workspace. Those are separate control surfaces.
Questions to ask before trusting a Gmail AI feature
- Which account is involved? Personal Gmail and managed Workspace are governed by different documentation and controls.
- Who initiated access? A prompt you submit is different from a background connector or an app you authorized.
- What scope was granted? A connector requesting
gmail.readonlycan cover more than one message and may include drafts, labels and attachments. - Where does the data go? Workspace protections may not apply when you share data with Gemini Apps, Search or another service under separate terms.
- How long is it kept? Consumer Gmail’s isolated-task statement differs from Workspace’s administrator-managed conversation history.
- Can an administrator change it? In Workspace, organization policy can enable, disable or restrict active app searching.
What Google’s statements do not prove
These are provider commitments and product documents, not an independent audit of every account configuration. They do not establish that every Gemini rollout, Workspace edition or connector behaves identically. Availability, retention defaults and administrator controls can vary by plan, geography, account type and current product rollout.
They also do not establish a universal rule that Gemini can never process email. The documented feature behavior requires relevant content to be processed when you ask for an answer grounded in Gmail or Workspace. The defensible conclusion is narrower: Google says it does not train foundational models on personal emails or Workspace data outside Workspace without permission, while authorized features may retrieve permitted messages for a specific task.
Bottom line for privacy-conscious users
Gmail AI search does not mean Google is automatically training Gemini on your entire inbox. In personal Gmail, Google describes access as isolated, task-based processing and says the data is not retained afterward. In Workspace, Gemini is limited by your existing permissions, organizational settings and administrator-managed retention. Separately authorized connectors and Personal Intelligence sharing can create different access and policy arrangements, so review those permissions rather than treating every “Gmail AI” feature as the same product.
