A work or school account needs an eligible Microsoft 365 base subscription and an assigned Microsoft 365 Copilot license (Microsoft’s current name for the Copilot add-on). That license covers OneDrive Copilot and Everyday Copilot in SharePoint at no additional per-user charge. Without it, you still have keyword-based Microsoft Search, and some users may have Microsoft Copilot Chat through an eligible base plan, but those are different experiences.

What “AI search” means in OneDrive and SharePoint
Microsoft uses several similarly named experiences. Classic Microsoft Search matches words, metadata and other indexed information. Copilot Search is an AI-powered search tab in the Microsoft Copilot app. It can interpret a natural-language question and return an answer grounded in Microsoft 365 sources instead of only displaying a list of matching links.

OneDrive Copilot is focused on your files. A licensed user can ask questions about a document, request a summary or continue with follow-up questions in chat. Everyday Copilot in SharePoint applies a comparable conversational model to SharePoint content and can also help create and organize content.

Do you need a Copilot license to search OneDrive with AI?
Work and school accounts
Yes. Microsoft’s OneDrive Copilot FAQ states that a work or school user needs an active Copilot license, along with an eligible Microsoft 365 subscription, to use Copilot file questions, summaries and chat answers. A base plan by itself does not turn on OneDrive’s AI file features.
If the license is removed or expires, the files remain in OneDrive and ordinary search continues, but Copilot-specific questions and summaries are no longer available to that user.
Microsoft 365 Personal and Family
Personal and Family subscribers receive OneDrive Copilot through a qualifying subscription rather than by purchasing a separate work-style add-on. On Family, the Copilot benefit is limited to the subscription owner. Other people sharing the Family subscription should not be assumed to receive the same OneDrive Copilot entitlement.
What you can still do without the license
Users without a Copilot license can continue to search OneDrive with classic Microsoft Search, browse folders, filter results and open files they are permitted to access. They do not receive the licensed Copilot layer that answers questions about file contents or produces AI summaries.

Can SharePoint AI search work with Microsoft 365 Business Premium alone?
Not for the licensed Copilot experiences. Microsoft 365 Business Premium can satisfy the qualifying base-subscription requirement, but Everyday Copilot in SharePoint requires an active Microsoft 365 Copilot license assigned to the user. The Copilot capability is included at no extra charge once that license is active; it is not included merely because the organization owns Business Premium.
The same distinction applies to Copilot Search. A user with only a qualifying base plan continues to see classic Microsoft Search. Assigning the eligible Copilot license is what makes the Copilot Search tab and its AI-grounded experience available.
What administrators should check
- Confirm that the tenant has an eligible Microsoft 365 base subscription.
- Confirm that the individual user has an assigned, active Microsoft 365 Copilot license rather than only a base-plan license.
- Check that the user is signed in to the intended work or school account; a personal account and a business account can expose different entitlements.
- Verify that Microsoft Copilot and SharePoint are available for the organization’s region, cloud environment and service configuration.
- Review permissions and information-governance policies, because Copilot can only ground answers in content the user is allowed to access.

Microsoft’s Copilot Search FAQ explicitly says that users without an assigned and eligible Microsoft Copilot license continue to see classic search in Microsoft 365. Therefore, seeing a search box does not prove that Copilot Search is enabled. The decisive test is whether the account has the eligible Copilot license and whether the Copilot app presents its Search tab.
How licensing works in practice
1. Start with the base subscription
A Copilot license is not a standalone replacement for Microsoft 365. Work and school users still need a qualifying Microsoft 365 subscription that provides the underlying services, identity and content repositories. In many organizations, Microsoft 365 Copilot is purchased as an add-on to an existing plan.

2. Assign the Copilot license to each user
Licensing is generally user-specific. An organization can own Copilot seats without every employee receiving the AI features. The people who need OneDrive Copilot, Copilot Search or Everyday Copilot in SharePoint must have an active license assigned to their accounts.
3. Allow service propagation
After assignment, sign-out and sign-in, app refreshes or a short propagation delay may be needed before the Copilot interface appears. If a user still sees only classic search, an administrator should recheck the assignment, account identity and service availability before treating the behavior as a content or indexing problem.
4. Apply governance before broad rollout
Administrators control availability, permissions and governance. They should review SharePoint sharing, old sites, overshared libraries, retention rules and sensitivity controls before enabling AI search widely. Copilot can surface information that is technically accessible but unfamiliar to a user, so correcting permissions is part of a safe deployment.

Does SharePoint Copilot cost extra?
Everyday Copilot in SharePoint is included with the Microsoft 365 Copilot license. There is no separate per-user fee for those everyday capabilities once the required license is active.

More advanced SharePoint work can be different. Automation and work at greater scale may use usage-based billing and Copilot Credits in addition to the user license. Credits are metered capacity, not a promise that every Copilot action is unlimited. An organization should establish budgets, monitor consumption and identify which automated scenarios are allowed before enabling high-volume workloads.
When to ask about credits
- You are designing automated processing of large libraries or many sites.
- A workflow repeatedly invokes AI instead of answering an occasional user question.
- Administrators see usage-based billing or Copilot Credit controls in the tenant.
- You need predictable monthly spend for a department or project.
Ordinary questions, summaries and organizing actions covered by Everyday Copilot should not be described as automatically consuming a separate credit charge. The exact metering behavior depends on the feature and workload, so confirm the service’s current billing documentation and tenant reporting before estimating a budget.

Copilot Search does not require a special end-user setup action, but administrators decide whether the service is available and how it is governed. A particularly important control is Microsoft Copilot for SharePoint. Disabling that control disables Copilot in both SharePoint and OneDrive. An administrator who intends to remove only the SharePoint surface should therefore check the scope of the setting first; it is not an isolated switch for one app.

Disabling Copilot does not delete files, change SharePoint permissions or remove classic Microsoft Search. It removes the AI layer while leaving the underlying Microsoft 365 content and standard search services in place.
Troubleshooting missing OneDrive or SharePoint Copilot
The user sees classic search only
- Open the Microsoft 365 admin center and verify that the user has an active Microsoft 365 Copilot license assigned.
- Confirm that the user also has a qualifying base subscription.
- Check that the user is signed in to the licensed work or school identity, not a different personal or guest account.
- Refresh the browser or app, sign out and back in, and allow time for the assignment to propagate.
- Review tenant settings that disable Microsoft Copilot or SharePoint Copilot.
Copilot opens but cannot answer about a file
- Confirm that the file is in a supported, indexed Microsoft 365 location and that indexing has completed.
- Check the user’s permission to open the file directly. Copilot cannot bypass access controls.
- Try a precise question naming the document or topic, then verify the answer against the source file.
- Check whether the file type, sensitivity label, retention rule or organizational policy limits processing.
Only one Family member sees OneDrive Copilot
That behavior is expected when the subscription is Microsoft 365 Family: the Copilot benefit is limited to the subscription owner. The other family members may still use the storage and productivity benefits assigned to them, but they should not be assumed to have the owner’s Copilot entitlement.
SharePoint works for one employee but not another
Compare the two users’ license assignments, account types, group-based licensing and site permissions. Copilot availability follows the user’s entitlement and access, not simply membership in the same SharePoint site.

Important date and naming context
Microsoft’s documentation uses “Microsoft 365 Copilot” as the current name for the Copilot license discussed here. Microsoft’s Copilot Search FAQ was last updated on August 31, 2026, and the Copilot license-options page was last updated on September 30, 2026. Microsoft’s SharePoint Copilot general-availability rollout begins September 30, 2026. These dates describe documentation and rollout status; they are not guarantees that every tenant receives every capability simultaneously.
Features can also vary by region, cloud environment, account type and staged rollout. When a tenant’s portal labels differ, administrators should follow the current license and service descriptions shown for that tenant rather than relying on an older screenshot or plan name.
