Digitizing Business Assets for Live Streaming: A Practical Guide

Paper, digital graphics, and legacy video each need a different path into a live stream. Identify the source, digitize it safely, prepare the scene, and verify the encoder feed before going live.

Start by identifying what you have: paper documents and photographs need a scanner or camera workflow, existing digital files can be prepared for direct use, and old video needs a working playback device plus a compatible capture path. Once each asset is digitized and approved for broadcast, add it to a prepared scene in streaming software and check the result before going live.

1. Inventory assets and confirm they are suitable for broadcast

Make separate groups for paper documents and photographs, existing digital graphics or media, and legacy video. Their capture routes differ, so identify the format before choosing equipment or software.

  • Paper and photographs: Decide whether you need a scan or a camera/phone capture, and note any cropping or legibility work required.
  • Digital files: Locate the approved logo, product images, banners, overlays, lower-thirds, and prerecorded clips in their existing file locations.
  • Legacy video: Identify the tape or playback format, the playback device, its available output connectors, and the computer and capture hardware you intend to use.
  • Rights and privacy: Confirm you have permission to display each asset. Remove or conceal personal, confidential, or otherwise inappropriate information before it reaches the live scene.

2. Digitize paper documents and photographs

Use a scanner for a clean, repeatable capture

Use the scanner manufacturer’s software and drivers, following its setup guidance for your model. Adobe documents importing from a camera or scanner into Photoshop and recommends saving scanned images as TIFF before opening them there. See Adobe’s Photoshop camera and scanner import guidance. Scanner software and driver support come from the scanner manufacturer, so check the model’s documentation if the device is not detected.

Use a camera or phone when scanning is not practical

Capture the page or photograph square-on, with even lighting and enough detail to read the material at the size it will appear on stream. Keep the original unaltered and make a working copy for cropping, rotation, or contrast adjustments. Review small text on the actual streaming layout; a sharp full-resolution file can still be unreadable when reduced to a corner overlay.

Prepare the image for its on-screen role

Crop unnecessary borders, orient the image correctly, and check that any names, account details, signatures, or other sensitive information are not exposed. Keep a clean approved master separate from the stream-ready version so later edits do not overwrite the source.

3. Bring in existing digital graphics and media

For already-digital assets, transfer the approved files to the production computer and organize them before opening the streaming application. Use descriptive filenames and a clear folder structure for logos, product visuals, backgrounds, lower-thirds, and prerecorded clips. Check each graphic at its intended size and against the scene background. Verify spelling, logo proportions, contrast, and safe placement so overlays do not cover important content or platform controls. Keep text concise enough to remain legible on smaller screens.

4. Capture legacy or external video only with a compatible signal path

A tape or external playback device is not digitized merely by plugging an arbitrary capture card into a computer. The playback device must work, its video output must match an input supported by the capture device, and the capture device must have compatible drivers and application support for your operating system.

  1. Confirm the source format and test that the tape or external video plays reliably on its playback device.
  2. Check the playback device’s actual output connectors and signal format.
  3. Choose a capture device with a matching supported input, and verify its drivers, operating-system compatibility, and support in the streaming application.
  4. Connect the playback device to the capture hardware, then connect that hardware to the computer as its manufacturer specifies.
  5. Add the capture hardware as a video-capture source and test picture and audio before using it in a public broadcast.

YouTube documents encoder workflows using external video hardware, and OBS lists capture cards and other devices as video-capture sources. Those broad workflows do not establish that a particular card supports every tape format, connector, operating system, or playback device. Check YouTube’s encoder guidance and the OBS video-capture source documentation, then confirm the exact compatibility details with the hardware manufacturer.

5. Assemble and test the live scene

In OBS, add each asset as the appropriate source: image for a logo or still, text for a label, media for a prerecorded clip, and video capture for a connected device. OBS documents these source types in its Sources Guide.

  1. Create a scene for the broadcast layout and add the required image, text, media, camera, or capture-device sources.
  2. Resize and position each source. Check that logos are not distorted, text is readable, and overlays do not obscure the important part of a document, product, or video.
  3. Set the source order deliberately: sources higher in the list appear over sources below them.
  4. Preview transitions and prerecorded clips, including their audio, before the live session.
  5. Review the complete scene at the output size and on a smaller display if available. Correct cropping, unreadable text, unexpected black frames, or audio problems before publishing.

6. Connect the encoder to YouTube and verify the stream

YouTube supports webcam, mobile, and encoder routes. An encoder workflow can use external audio and video equipment; for YouTube, configure it with the platform’s server URL and stream key, then monitor the preview and stream status. The exact interface and eligibility requirements can change, so use YouTube’s current live encoder instructions when configuring a broadcast.

  1. In YouTube Studio, create or select the live stream and retrieve the server URL and stream key using the current platform instructions.
  2. In the encoder’s stream settings, choose YouTube or the appropriate custom service option, then enter the server URL and stream key as directed by YouTube and the encoder.
  3. Keep the stream key private. Anyone who obtains it may be able to send video to the associated stream; reset it through YouTube if it is exposed.
  4. Start the encoder output and check YouTube’s preview and status indicators. Confirm the correct scene, picture, and audio before making the stream public or announcing it.
  5. Recheck YouTube’s current live-stream rules and any account eligibility requirements before publishing.

7. Common problems and fixes

  • Scanner is not detected: Check the scanner manufacturer’s driver and software instructions, cable or network connection, and model support for the computer’s operating system.
  • Scanned page looks fuzzy or is difficult to read: Recapture it with better focus and lighting or use the scanner; then check the final image at its on-stream size.
  • Capture device shows no picture: Verify that the playback device is powered and playing, the cable is connected to the correct output and capture input, and the signal format is supported by the capture device and application.
  • Video appears but audio does not: Check whether audio uses a separate connection, select the correct audio source in the encoder, and test playback before going live.
  • Graphic is cropped, stretched, or hidden: Correct its transform and source order in the scene, then review the full output preview.
  • YouTube receives no encoder feed: Recheck the selected service, server URL, and stream key against the current YouTube live setup. Keep the key private and replace it if it may have been disclosed.
  • A prerecorded clip does not play as expected: Test the file in the selected media source before broadcast and confirm its picture and audio within the scene.
