Contact Form 7 mail can fail at three different points: the form’s Mail settings, WordPress’s wp_mail() handoff, or delivery after the message leaves your site. A red-border failure means the send attempt failed before delivery. A green success message means only that WordPress accepted the handoff; it does not prove the message reached an inbox. Check the Mail tab first, then server logs and spam filtering, and move to another SMTP or mail server when the host’s sending path is unreliable.

Start by identifying where the message stops
“Contact Form 7 says sent but no email” describes a different problem from a form that displays a red error. The visible result tells you which evidence to collect next:

The WordPress developer reference cautions that “A true return value does not automatically mean that the user received the email successfully.” Treat a successful form response as a processing result, not a delivery receipt.
Check the Contact Form 7 Mail tab before changing servers
Open WordPress Dashboard → Contact → Contact Forms, edit the affected form, and select the Mail tab. The primary Mail template must be internally consistent before any SMTP change can help.

Use a real address in the To field
To must contain a complete mailbox, such as [email protected]. It cannot be a display label, a URL, a blank value, or a mail-tag that sometimes resolves to nothing. If several recipients are needed, use valid addresses in the syntax accepted by your mail setup and test each destination separately.
Set From to a same-domain mailbox
The From field should use an address on the same domain as the website, for example [email protected]. This is the address that identifies your site to the sending server; it is not merely decorative text. Contact Form 7 maintainer Takayuki Miyoshi put it plainly: “The From field is not a label or decoration; it must be a valid email address that is in the correct syntax.”

Avoid putting the visitor’s address directly in From. Use a stable, domain-based sender and put the visitor’s address in Reply-To instead. That lets you reply without presenting an unverified outside domain as your site’s sender.
Make Reply-To, Cc and Bcc valid headers
Additional headers are entered one per line. Each header needs a valid name, a colon, and a valid mailbox value. A typical arrangement is:
Reply-To: [your-email]Only use that pattern when [your-email] is guaranteed to contain an email address. Check every Cc and Bcc line for misspellings, missing values, or accidental line breaks. One malformed header can cause the entire handoff to fail.

Ensure address mail-tags can never be invalid
Mail-tags are replaced with submitted form values when Contact Form 7 builds the message. A tag used as a mailbox must resolve to a non-empty, syntactically valid email address on every submission path.

A required email field such as:
[email* your-email]forces the visitor to provide an email value that Contact Form 7 validates as an address. The corresponding [your-email] tag can then be used in Reply-To.
Understand the risk of optional or generic fields
An optional field such as [email your-email] may be empty. A text field can contain a name, punctuation, or a sentence rather than a mailbox. An optional select field may also submit no value. If any of these tags appears in To, From, Reply-To, Cc, or Bcc, the generated header may be invalid.
Keep visitor-controlled addresses out of To unless your workflow explicitly requires that behavior and the field is required and validated. A safer design sends every enquiry to a fixed site mailbox and uses the validated visitor address only for replies.
Run Contact Form 7’s Configuration Validator
In the form editor, open the configuration-validation control and run it after saving the Mail settings. The validator can identify problems that are easy to miss in a visual inspection, including:

- Empty required Mail-tab fields.
- Invalid mailbox syntax.
- A sender address that is not on the website’s domain.
- Malformed Cc, Bcc, or Reply-To headers.
- Attachment files that do not exist.
- Attachments stored outside
wp-content. - Attachment sizes that exceed the permitted limit.
- Unsafe or otherwise invalid email configuration.
Correct every reported issue, save the form, and submit a fresh test. Do not assume that an old successful submission proves the current template is valid; a later field or header change can introduce a new failure.
Check attachments and message size separately
Forms that include file uploads have another failure path. Confirm that the attachment mail-tag points to the intended upload field, that the file exists when the message is generated, and that its location and size meet Contact Form 7’s validation rules. Test the form without an attachment first. If a text-only submission succeeds but an upload fails, the attachment configuration or size is the likely boundary, not the recipient mailbox.
Test the handoff without confusing it with delivery
After correcting the template, submit the form with a known-good address in the required email field and a small, ordinary message. Record:
- The exact time of submission and the site’s time zone.
- Whether the visitor sees a red failure or green success state.
- The destination mailbox and its spam or quarantine folders.
- Any error text shown by Contact Form 7, WordPress, PHP, or the hosting control panel.
Use more than one receiving domain when possible. A single mailbox can have a local rule, quota problem, or quarantine policy that makes a site-wide diagnosis misleading.

A red border indicates that Contact Form 7 attempted to send through wp_mail() and the attempt failed. The official Contact Form 7 troubleshooting guidance identifies several possible causes: invalid mail setup, a mail server that is down or inaccessible, or another server-side problem.

Recheck the generated addresses
Look at every address after mail-tags are substituted. A valid-looking template can still generate an empty Reply-To, an invalid From, or a malformed recipient when a field is optional. Temporarily remove nonessential Cc, Bcc, Reply-To, and attachment lines, then test the simplest valid message. Add them back one at a time after the basic path works.
Ask the host for the matching logs
Give hosting support the submission timestamp, destination address, form URL, and the exact error shown to the visitor. Ask them to inspect PHP and mail logs for the same minute and to confirm whether the outgoing mail service was:
- Down or inaccessible.
- Rejecting the sender or recipient.
- Rate-limiting the site.
- Requiring authentication that the host’s default mail path does not provide.
- Returning a connection, DNS, or policy error.
Do not rely on a generic “mail is enabled” statement. You need the result for the specific message and time, because an intermittent server fault may not appear during a later support test.

If the form shows success but no email arrives
A green success message means the form processing path completed and WordPress accepted the message for its mail function. It does not prove the receiving server accepted, filtered, quarantined, or delivered it.
Search spam, quarantine and mailbox rules
Check the recipient’s spam folder and any organization-wide quarantine. Review rules that automatically archive, forward, delete, or label messages from the site. If the mailbox is full or disabled, the receiving service may reject or silently quarantine new mail.
Compare the receiving server’s evidence
For a business or hosted mailbox, an administrator can search inbound logs by sender, recipient, and timestamp. The result should show whether the receiving server accepted the message, rejected it, deferred it, or quarantined it. A WordPress success state cannot supply that information because the downstream server acts after the WordPress handoff.
Inspect sender identity and authentication
Use a same-domain From address and keep the visitor’s address in Reply-To. If the domain has sender-authentication policies, ask the host or mail administrator whether the message passed or failed those checks. A message can be accepted by one destination and filtered by another when sender identity or authentication is inconsistent.

When changing the mail server is the right escalation
If the Mail tab passes validation but the host cannot provide a reliable outgoing path, a different SMTP or transactional-mail server can be a legitimate fix. It changes the route used to submit and track messages; it does not guarantee inbox placement. Select a service that supports an authenticated, same-domain sender and provides delivery or rejection logs.
Before switching, preserve the evidence from the host: timestamps, error messages, and any server response. Configure the new service in a staging or low-risk window, send tests to multiple recipient domains, and verify that replies still go to the intended visitor address.

A practical recovery sequence
- Record whether the visitor sees a red failure or green success response.
- Open the form’s Mail tab and replace the To value with a known-good mailbox if necessary.
- Set From to a valid address on the website’s domain.
- Make the visitor email field required with
[email* your-email]when it is used for replies. - Check every Cc, Bcc, and Reply-To line for valid syntax and one header per line.
- Temporarily remove optional headers and attachments, then run the Configuration Validator.
- Submit a small test and record the exact time, destination, and result.
- If it fails, ask the host to match the timestamp in PHP and mail logs.
- If it succeeds but is missing, check spam, quarantine, mailbox rules, and receiving-server logs.
- If the host path is down, inaccessible, rate-limited, or opaque, evaluate an authenticated SMTP or transactional-mail route and retest across recipient domains.
Common fixes that do not solve the underlying problem
- Changing only the subject line: It does not repair an invalid mailbox or unavailable mail server.
- Putting the visitor in From: It can create an unauthorized or malformed sender. Keep a site-domain address in From and use Reply-To.
- Trusting the green message: WordPress’s successful return is not proof of receipt.
- Installing SMTP before validating the form: A new transport cannot make an empty or invalid mail-tag valid.
- Testing only one mailbox: A local spam rule, quota, or quarantine policy can mimic a site-wide failure.
- Ignoring intermittent failures: Give support timestamps for both successful and failed submissions so they can compare server events.
Prevent future Contact Form 7 mail failures
- Keep a fixed, monitored destination mailbox in To.
- Use a real same-domain sender in From, not an arbitrary visitor address.
- Make any email field used in a header required and type-validated.
- Review the Mail tab after changing form fields, headers, or upload behavior.
- Run the Configuration Validator after edits and before publishing a new form.
- Keep attachment sizes conservative and verify upload paths.
- Maintain a written test procedure with at least two recipient domains.
- Know where your host exposes PHP and mail logs, or choose a mail service that supplies delivery events.
What to give hosting support
A precise support request is more useful than “WordPress mail is broken.” Include the form URL, the destination mailbox, whether the visitor saw a red or green result, the exact timestamp with time zone, the sender address configured in the Mail tab, and whether a text-only test without optional headers or attachments behaves differently. Ask for the corresponding mail and PHP log entries and for confirmation of any outage, rate limit, rejection, or authentication requirement.
If support confirms that the host’s mail server is unavailable or unsuitable, ask whether an alternate authenticated server is available. If not, an independent SMTP or transactional-mail service is the next infrastructure decision, evaluated for domain authorization, logging, regional availability, and ongoing cost rather than promises of universal inbox placement.
