Instead of every member being able to publish immediately, messages from non-moderators require approval (or are restricted) based on how you configure moderation.
This is especially useful for announcements-style channels, community support channels, regulated environments, and internal channels where quality control matters. Microsoft introduced and rolled out the capability across Teams starting in the 2021–2022 timeframe, and it has been refined since then through ongoing updates to the Teams experience.

Below is a practical, end-to-end reference for setting up moderation, assigning moderation roles, and diagnosing the most common “I can’t find the option” problems.
What channel moderation is (and why it matters)
In a moderated channel, Teams applies a workflow to how messages appear. Depending on your configuration, non-moderator members may have their messages held for review, while moderators approve or reject content. This keeps high-volume or high-stakes channels usable and consistent.

Channel moderation typically helps with:
- Quality control: reduce spam and off-topic posts.
- Compliance workflows: enforce review for sensitive announcements.
- Operational clarity: ensure only approved updates reach the audience.
- Brand and tone: standardize how people communicate in your organization.
Prerequisites and permissions
Before you start, confirm you have the right role assignments and the right Teams update. Channel moderation is not something every user can enable.
Owner/admin permissions you typically need
- Channel setting access: you must be a Team owner to configure channel moderation in most tenant setups.
- Policy/control alignment: your tenant admin may need to enable or allow channel moderation so owners can use it.
- Moderator assignment capability: the people you choose as moderators must be valid channel members (and not blocked by policy in ways that prevent moderation actions).
Client and account prerequisites
- Use the Teams desktop app, web, or mobile client where supported. The UI wording can differ slightly by platform.
- Be signed in with the account that has the required Team/tenant permissions.
- Update Teams if the UI doesn’t match current documentation. Microsoft regularly ships moderation improvements through normal client updates.
Decide how moderation should work in your organization
Channel moderation isn’t one universal rule—it’s a configuration. Before you enable it, decide what “moderation” should mean for your channel’s purpose.
Common moderation models
- Announcements-style: only designated moderators can post publicly; others submit requests that moderators approve.
- Community support: members can draft but approvals prevent noisy or incorrect answers from reaching the channel immediately.
- Limited posting: moderators approve certain message types while day-to-day discussion remains open (depending on how your tenant enables moderation behavior).
Pick moderators who can respond fast
The workflow is only as good as your approval turnaround time. If approvals take days, members will stop using the channel effectively. Use enough moderators to cover hours, weekends, and time zones.

Enable channel moderation in a Team channel (channel owner steps)
Start by turning moderation on for the specific channel. The option is configured at the channel level, not across an entire Team (unless your tenant uses standardized policies).
Step-by-step (Teams web or desktop)
- Open Microsoft Teams.
- Go to the Team that contains the channel you want to moderate.
- Select the channel name (for example, General or a specific shared channel).
- Click More options (usually …) next to the channel name.
- Choose Manage channel or Channel settings (wording varies by client version).
- Find the Moderation section.
- Toggle Channel moderation to On.
- Choose who the moderators are (if prompted during enablement).
- Click Save.
What to expect after you enable it
Once enabled, the channel’s message posting behavior changes. Members who are not moderators will experience a different posting flow—often their messages are held until approved, or posting is restricted based on your selected moderation options.
If you don’t see any behavior change right away, wait a few minutes and refresh the Teams client. Policy-driven changes can take time to propagate.

Configure who can post and who must approve
Moderation settings determine which users can post immediately and which posts require approval. You’ll usually do this by selecting moderators and choosing the channel moderation model offered in the UI.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesAssign moderators
- Open the channel’s Channel settings / Manage channel.
- Go to Moderation.
- Select Moderators (or a similar field such as Who can moderate).
- Search for and add users who should approve messages.
- Remove anyone who shouldn’t have approval rights.
- Click Save.
Confirm posting rules (the part that users notice)
Depending on your tenant’s configuration, moderation may affect:
- Posting permissions: non-moderators can post but their content requires approval.
- Visibility timing: non-moderator messages may not appear publicly until approved.
- Approval actions: moderators may approve or reject with a brief decision.
If your UI shows multiple moderation toggles, keep it simple: start with the strictest model that meets your need, then loosen later if you learn moderators can keep up.
Manage moderation behavior after it’s enabled
After channel moderation is on, maintain it like you would any other operational workflow. People leave teams, roles change, and approval capacity drifts over time.
Add or remove moderators
- Go to the channel’s Channel settings.
- Open Moderation.
- Update the Moderators list.
- Select Save.
Audit moderator coverage
Use rotation or coverage schedules. A practical approach is to keep at least 2–3 moderators so approval doesn’t bottleneck when someone is out.

Align moderation with your communications plan
For announcement channels, moderation should reinforce the channel’s purpose. If members repeatedly request approvals for content that’s not relevant, consider adding pinned guidelines or adjusting what you moderate.

Admin setup (Teams admin center) when owners don’t see moderation
If you’re a Team owner and the moderation option is missing, your tenant admin may need to enable or permit channel moderation. In many orgs, this is controlled by policy and messaging settings.
What to check in Teams admin center
Use the Teams admin center to confirm moderation-related policies allow channel moderation. Exact navigation names can vary as Microsoft updates the admin UI.
- Sign in to Microsoft Teams admin center.
- Go to Teams (or Teams settings).
- Look for sections related to channel or messaging policies.
- Find any setting named similarly to Channel moderation or Message moderation.
- Ensure the setting is enabled and applied to the relevant users/teams (policy assignment matters).
- Save changes, then wait for policy propagation.
Validate policy assignment scope
Policy controls can apply at different scopes (tenant-wide defaults, per-user assignments, or per-team configurations). If your policy is enabled at tenant level but not applied to your specific group, owners may still not see moderation.
Confirm license and feature availability constraints
Microsoft sometimes gates features based on licensing or tenant configuration. If you suspect gating, ask your tenant admin to check whether channel moderation is enabled for your environment and whether any related features are restricted by compliance or communication restrictions.
Supported channel types, limitations, and edge cases
Channel moderation works best when you understand what can be moderated and where the UI might not match expectations.
Edge cases to plan for
- High-traffic channels: moderator queues can become backlogged. Add moderators and set expectations.
- New channel creation: moderation may not be enabled by default. Enable it on each channel you want moderated.
- Changing roles: if a moderator is removed from the Team, approvals can stall. Keep moderator roles current.
- External users: if your organization allows external access, confirm how moderation behaves for messages from outside your tenant.
- Shared channels: moderation availability may depend on shared channel settings and tenant configuration.
Expect differences across clients
Teams Web, Windows/Mac desktop, and mobile clients can show slightly different wording. If you’re troubleshooting, try switching clients (for example, from mobile to web) to confirm the setting exists.

Troubleshooting: moderation options are missing or not applying
When it doesn’t work, don’t guess—diagnose. Most failures are caused by permissions, policy scope, or stale client state.
Crashes, No Sound, or Screen Glitches?

A free scan shows the junk files, broken settings and background clutter dragging Windows down - then fixes them in one click.Free scan · Windows 10 & 11Symptom 1: You can’t find Moderation in Channel settings
Try these in order:
- Confirm you’re a Team owner (not just a member). In many tenants, only owners can modify channel moderation.
- Ask your Teams admin whether channel moderation is enabled for your tenant/policy scope.
- Check the client: switch from mobile to desktop or desktop to web.
- Refresh and retry: sign out/in or restart the Teams client to force the UI to reload policy-controlled options.
Symptom 2: Moderation is enabled, but messages appear immediately
Common causes:
- The user sending the message is actually a moderator (moderators can bypass the hold workflow).
- Moderation policy hasn’t fully propagated yet.
- The channel isn’t the one you think it is (for example, you enabled moderation in a similarly named channel under the wrong Team).
Try: verify sender roles, refresh the channel UI, and confirm channel identity (Team + channel name) before concluding the configuration is wrong.
Symptom 3: Moderators can’t approve messages
- Check whether the moderator is still a member of the channel and Team.
- Confirm the moderator list in Channel settings matches what you expect.
- Look for tenant restrictions that limit approval actions (admin policy conflicts).
- Attempt approval from the Teams web app if desktop UI is failing.
Symptom 4: Approvals happen, but users don’t receive updates
Message notifications depend on the user’s notification settings and Teams’ notification delivery behavior. Check that:
- Users haven’t muted the channel.
- They have notifications enabled for Teams (within the Teams app and their device OS).
In troubleshooting sessions, reproduce with a test user who hasn’t changed notification settings.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Common mistakes to avoid
- Enabling moderation without defining moderation capacity: if approvals can’t keep up, members get frustrated and stop posting.
- Picking the wrong “moderator” pool: don’t assign approval rights to people who can’t consistently act.
- Assuming one setting applies everywhere: moderation is channel-level. Repeat the process for each channel you want moderated.
- Not communicating the workflow: members will wonder why posts don’t appear right away. Add a pinned post that explains how to submit content for approval.
- Ignoring external/shared channel complexity: test with a small group before rolling out broadly if your tenant uses external access.
FAQs
Can I enable channel moderation for every channel automatically?
Usually, channel moderation is configured per channel. Admin policy can standardize what’s allowed, but owners typically still need to enable moderation on each channel they want moderated.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Do moderators see their own messages immediately?
In most configurations, moderators can post without needing approval. If a moderator’s message is held, double-check that the person is actually listed under Moderators in that channel’s settings.

What happens when someone rejects a message?
Rejected posts won’t be published to the channel audience. Users typically see the result through the moderation workflow. If rejection reasons aren’t clear, consider adding a brief moderation guideline pinned to the channel.
Why do I still see moderation options on one channel but not another?
That usually indicates the other channel is missing the required configuration access or policy scope (or the UI hasn’t refreshed). Verify you’re editing the correct channel under the correct Team, and confirm policy assignment for that team/user grouping.
Does moderation affect replies inside threads?
Moderation behavior typically applies to messages posted in the channel, including those related to discussion threads. Exact user experience can vary by Teams client and tenant configuration, so test with a small group when rolling out.

Yes, but expect a behavioral change going forward. Members may notice that new messages from non-moderators are held for approval after you enable moderation. Plan a quick communications window and test first.
Bottom Line
Configuring channel moderation in Microsoft Teams is straightforward when you have the right permissions and policy support. Enable moderation at the channel level, assign the right moderators, and keep approval capacity adequate so the workflow stays responsive.
If the moderation option is missing, treat it as a tenant-policy problem first: confirm owner access, check Teams admin center policy scope, and test across web and desktop clients to rule out UI or propagation delays.
