Cloud storage vs. file sync: What happens when you edit files on multiple devices?

Cloud storage is where a remote copy of your files lives; file sync is the process that copies changes between that cloud copy and your devices. Edit a synchronized file on your laptop and, after synchronization completes, the change normally appears on your phone and other computers. The important exception is simultaneous editing: if two devices save different states before either receives the other’s update, the service may create a conflict copy, retain both versions, or hand the problem to an application-specific merge tool.

Sync protects against having isolated, outdated copies, but it is not the same as real-time document collaboration and it is not a substitute for backup. Understanding where each working copy lives, when a device is offline, and how your provider handles conflicts determines whether an edit is propagated, duplicated or recoverable through version history.

Cloud storage and file sync do different jobs

Cloud storage is the remote repository: a provider holds files on its servers so they can be reached from multiple devices. File synchronization is the delivery mechanism. A desktop or mobile client watches a local folder, uploads changed file contents, downloads changes made elsewhere and updates the local copy.

That distinction explains why a “cloud file” can still occupy disk space. A synchronized file may be represented in three ways:

  • Get NVMe solid state performance with up to 1050MB/s read and 1000MB/s write speeds in a portable, high-capacity drive(1) (Based on internal testing; performance may be lower depending on host device & other factors. 1MB=1,000,000 bytes.)
  • Up to 3-meter drop protection and IP65 water and dust resistance mean this tough drive can take a beating(3) (Previously rated for 2-meter drop protection and IP55 rating. Now qualified for the higher, stated specs.)
  • Use the handy carabiner loop to secure it to your belt loop or backpack for extra peace of mind.
  • Help keep private content private with the included password protection featuring 256‐bit AES hardware encryption.(3)
  • Easily manage files and automatically free up space with the SanDisk Memory Zone app.(5). Non-Operating Temperature -20°C to 85°C
  • Cloud-only: the authoritative working copy is online; the device downloads content when you open it or explicitly mark it for offline use.
  • Local-plus-cloud: a complete local copy remains on the device while another copy is maintained online.
  • Selectable: the client lets you choose cloud-only or local availability per folder or file.

Synchronization normally moves file states, not individual sentences, spreadsheet cells or image layers. If a file changes from version A to version B, the service generally attempts to make every connected device display version B. It does not automatically understand that one person changed paragraph two while another changed paragraph five unless the application and service provide a collaboration protocol.

What happens when you edit on a laptop and phone?

Assume a document is synchronized to both devices and the laptop has a complete local copy.

  1. The laptop writes a new local state. When you save, the sync client detects the changed timestamp and content, then queues an upload. The edit can be visible locally before the upload finishes.
  2. The client uploads the changed file. The cloud repository records the new state. If the laptop is offline, the upload waits in a queue.
  3. The phone checks the service. Once it has connectivity and the provider has processed the upload, the phone downloads the newer state or refreshes its cloud-only view.
  4. The phone opens the synchronized state. With a normal one-device-at-a-time workflow, the phone shows the laptop’s edit rather than an independent copy.

The practical rule is to wait until the client reports that synchronization is complete before opening or editing the same file elsewhere. A status icon that says “up to date,” a completed upload indicator or an equivalent provider message is more reliable than assuming that a save operation has already reached the cloud.

If the phone was offline, it may continue showing the older state. Any edit made there is a second branch. When it reconnects, the service must decide whether that branch can replace the server state, be preserved alongside it or be merged by the application.

Why a conflicted copy appears

A conflict occurs when overlapping edits cannot safely be represented as one ordinary file state. Common triggers include:

  • Two people save the same file while both are online.
  • One device edits while offline and another device edits the online copy.
  • A file remains open on another computer while autosave produces a newer save.
  • A laptop resumes from sleep with an old local state after the cloud copy has changed.

The provider usually cannot infer which changes you intended to keep. Automatically choosing one could silently destroy work, so the service preserves an additional copy or invokes a conflict-resolution screen.

Dropbox’s conflicted-copy workflow

Dropbox’s help documentation, updated May 15, 2025, defines a conflicted copy as a file created when multiple people edit the same file at the same time. It specifically identifies offline editing and a file left open on another computer while autosave creates a new edit as causes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Dropbox states that the last version saved appears as the conflicted copy. That label describes save order, not which version is more complete or correct. The original and the conflicted copy can therefore contain different useful changes.

The safe response is to preserve both files, open them separately and compare their contents. Dropbox recommends merging them manually. For work that genuinely requires simultaneous changes, it points users toward real-time tools such as Dropbox Paper or Microsoft Office Online, or toward coordinating who edits at a given time.

OneDrive for work or school

Microsoft’s documentation for OneDrive for work or school distinguishes Office files from other file types. Opening an Office file can start an Office conflict-resolution experience, where you can save a copy or discard changes through the application’s choices.

For non-Office files, OneDrive keeps both versions automatically. The online copy retains the original filename, while the local copy receives the device name as a suffix—for example, Report-JOHNS-SURFACE.txt. You can compare and merge the files, rename them or keep both. Microsoft says OneDrive for work or school creates up to five conflict versions for non-Office file types, so repeated conflicts should be resolved rather than allowed to accumulate.

Google Drive’s handling of different local and cloud states

Google Drive for desktop supports streamed and mirrored files. Google states that changes made to either type on one device reflect everywhere after synchronization. When local and cloud content differ while switching from streaming to mirroring, Drive keeps both files instead of silently deleting one.

  • Secure it to your belt loop or backpack for extra peace of mind thanks to the tough rubber hook.
  • From Sandisk, a brand professional photographers trust to take on assignments.

That behavior is especially relevant during migration or a change in storage mode. Before changing modes, let pending uploads finish and inspect any duplicate files that Drive creates. Treat each retained copy as potentially valuable until you have compared them.

Does file sync merge two edits?

Ordinary file sync generally replicates complete file states; it is not an automatic document merge engine. A plain-text file, image, archive or many proprietary project files has no universal way for the sync client to determine whether two simultaneous changes are compatible.

Real-time collaboration editors work differently. They track operations or structured document changes and can apply multiple users’ edits while they are working. That is why a shared online document may show both people’s typing, while two independently saved copies of a downloadable file produce a conflict.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For formats that support a deliberate merge workflow, combine copies in the application that understands the format. Source-code tools can compare lines, a document editor may compare revisions, and an image editor may let you inspect layers. If no suitable merge tool exists, create a new combined file manually and retain the originals until the result has been checked.

How the main sync choices compare

Service or mode Where the working copy lives Offline and disk behavior When edits overlap Recovery approach
Dropbox folder sync Local synchronized copy plus cloud copy Files in the synchronized folder are local; offline edits queue for upload Creates a conflicted copy; the last version saved is labeled as that copy Compare both files and merge manually; real-time tools or turn-taking reduce conflicts
Google Drive streaming Primarily cloud; local content is cached or explicitly made offline Uses little local space; offline availability must be selected Changes made on a streamed file reflect everywhere; differing content is retained if mode switching exposes both states Use Drive revision history to inspect or revert a recorded version
Google Drive mirroring Full local copy and cloud copy Consumes local disk; files remain available offline Changes reflect everywhere; Drive keeps both files if local and cloud content differ during a switch to mirroring Use retained duplicate files and revision history before deleting anything
OneDrive for work or school, Office file Local and server copies managed by the sync client and Office Local availability depends on the file’s sync status Office can open a conflict-resolution experience with options such as saving a copy or discarding changes Follow the Office prompt, then compare copies before removing one
OneDrive for work or school, non-Office file Local and online copies Offline edits synchronize when the device reconnects Keeps both versions; the local filename can receive a device-name suffix Compare, merge, rename or retain both; up to five conflict versions are created for non-Office types

These behaviors are provider- and account-specific. Desktop clients, operating systems and work-or-school policies can change the labels or available controls, so verify the current help documentation for the service and edition you use.

Google Drive streaming versus mirroring

Google Drive’s two desktop modes make the storage-versus-access trade-off explicit.

Streaming

  • Files are primarily stored in the cloud.
  • The mode uses little local disk space.
  • You must explicitly make files available offline when you need them without a connection.
  • It suits devices with limited storage and workflows that usually have reliable internet access.

Streaming can be inconvenient for applications that expect a complete local filesystem or for travel where connectivity is uncertain. A cloud-only placeholder may appear in the file browser, but opening it still requires the content to be available locally.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Mirroring

  • Files are stored on the computer and in the cloud.
  • The complete set remains available offline.
  • Local disk usage grows with the amount of mirrored data.
  • Google notes that applications involving extensive writing, video editing or high-resolution photo editing are faster when files are mirrored.

Mirroring is a better fit for large local applications, long offline periods and files that must open without waiting for a download. If the internal drive cannot hold the mirrored set, a portable external SSD can provide additional local capacity or a second local copy; it does not change the provider’s conflict rules.

Recovering an older version after a sync mistake

When an unwanted edit reaches the cloud, do not immediately save over the file again. First stop editing it on every device so another synchronization cycle does not obscure the state you want to recover.

Google Drive maintains an automatic history of modifications. Its revision history lists changes chronologically and supports reverting to a specific version, subject to the service’s retention and purge rules. Open the file’s version or revision history, identify the timestamp and content you need, and restore only after checking that the revision belongs to the correct file.

Version history is different from a conflicted copy. A revision records successive changes to one file; a conflict copy is a separate file created because two states competed. Check both places when recovering: the provider’s history for the primary file and the synchronized folder for renamed or conflicted copies.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

After recovery, allow synchronization to finish and verify the restored content on a second device. If the file is business-critical, export or archive the recovered version before resuming normal edits so a later mistake cannot remove your only usable copy.

A safe workflow for editing across devices

  1. Choose one authoritative workspace. Put the file in the provider folder or cloud workspace that all required devices can access. Avoid editing detached copies in Downloads, email attachments or temporary folders.
  2. Check status before opening. Confirm that the device has finished downloading the latest state and that no upload is pending. If another person is editing, coordinate a handoff or use a real-time collaboration editor.
  3. Save and wait. After editing, close the file where practical and wait for the client’s completed-sync status before opening it elsewhere. Large videos, photo projects and archives may take longer than small documents.
  4. Keep offline work intentional. Mark only the files needed for travel or unreliable connectivity as available offline when using streaming. Record which device has offline changes so you can reconcile them promptly after reconnecting.
  5. Preserve conflicts. If a duplicate or conflict notice appears, do not delete either version. Rename copies only after you know which filename is the online original and which is the local or device-specific copy.
  6. Compare in a suitable application. Use a format-aware comparison or merge tool when available. For unsupported formats, inspect both copies and create a new combined file.
  7. Verify the result everywhere. Open the merged or restored file on at least one other synchronized device, then remove obsolete copies only when the final state and any required history are confirmed.

Troubleshooting common symptoms

The other device still shows the old content

Check whether the editing device completed its upload, whether the receiving device is online and whether the file is cloud-only and still downloading. Close applications that keep an older file open, then allow the client to rescan. Do not make a second edit on the stale device until you know which state is current; doing so can create a new conflict.

The service created several duplicates

Stop editing all copies and identify their timestamps, filenames and device suffixes. One may be the server’s original, another the last offline save and a third an autosave generated while a file remained open. Preserve them outside the synchronized folder if necessary, compare them, and place only the intentionally merged result back into the workspace.

An offline edit was replaced after reconnecting

Look for a conflict copy or a retained local version before assuming the work was destroyed. For the primary cloud file, inspect revision history where the provider offers it. If neither location contains the edit, check the application’s own recovery or autosave area; sync services cannot restore data that was never written to a retained local or cloud state.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Switching Google Drive to mirroring produced two files

Google documents this outcome when local and cloud content differ during the switch. Keep both files, compare their modification times and contents, and select a single authoritative result. Delete the extra only after confirming that the chosen file is synchronized and opens correctly offline.

OneDrive names a file with the computer name

For non-Office conflicts in OneDrive for work or school, a device-name suffix indicates that the local copy was retained alongside the online file. Compare the suffixed and unsuffixed files rather than treating the longer name as an error. Merge or rename the survivor after verifying its contents.

Choosing a setup for your devices

Choose streaming or cloud-only access when

  • Internal storage is limited and most work happens online.
  • You can identify a small set of files that must be available offline.
  • Your applications work well with online placeholders and downloaded-on-demand files.

Choose mirroring or a full local sync when

  • You regularly work without internet access.
  • Applications perform better with local files, especially heavy writing, video editing or high-resolution photo editing.
  • You have enough disk capacity, or you can add an external SSD for local storage.

Use real-time collaboration when

  • Several people must edit the same document simultaneously.
  • The application can show concurrent changes and resolve them at the document level.
  • Manual file comparison would be slower or riskier than working in one shared editor.

No mode eliminates every conflict. The reliable pattern is to keep one synchronized workspace, wait for status confirmation, use a collaboration editor for simultaneous work, and treat every conflict copy as evidence to compare rather than a file to discard.
