Most Chromebook screenshot failures come from using the wrong key combination, a shortcut conflict, an unavailable save location, or too little local storage. Use the Screen capture control in Quick Settings to separate a key-input problem from a saving problem, then check the destination and free space.
On a standard Chromebook, press Ctrl + Show windows for the full screen, Shift + Ctrl + Show windows for a selected area, or Ctrl + Shift + Show windows to open the capture toolbar. Tablets use Power + Volume down. The steps below cover external keyboards, customized shortcuts, missing files, managed school devices, and storage cleanup.

Use the shortcut that matches your Chromebook
The correct command depends on the hardware. “Show windows” is the Chromebook key marked with a rectangle and two vertical lines. It is usually on the top row, where a Windows keyboard would have function keys.
Full-screen screenshot
Press Ctrl + Show windows. The entire visible display is captured. A thumbnail or notification normally appears, and the image is saved in the configured screenshot folder.
Partial screenshot
Press Shift + Ctrl + Show windows. When the selection cursor appears, drag around the area you want and release. If you press the keys but see no selection interface, try the Screen capture toolbar described below; that distinguishes a shortcut issue from a broader capture issue.
Open the screenshot toolbar
Press Ctrl + Shift + Show windows. The toolbar offers three capture modes:
- Full screen: captures the entire display.
- Partial: lets you draw a rectangle around the required area.
- Window: captures a single application window.
The toolbar also exposes capture settings, including the destination folder. Screenshots and recordings use the same destination controls.

Chromebook tablet
On a Chromebook tablet, press Power + Volume down at the same time. Hold both briefly rather than pressing one after the other. A case or accessory that prevents either physical button from registering can make this appear to be a software failure; use Quick Settings to test capture without the buttons.
External keyboard without a Show windows key
Some external keyboards do not include the Chromebook-specific key. Use Ctrl + Shift + F5 instead. On a keyboard with an F5 media or brightness function, you may need the keyboard’s function-layer modifier so that ChromeOS receives F5 as a function key.

Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Bypass the keyboard with Quick Settings
Quick Settings is the fastest way to determine whether the capture service works.
- Select the status area at the bottom-right of the screen to open Quick Settings.
- Choose Screen capture.
- Select full-screen, partial, or window capture in the toolbar.
- Complete the selection if you chose partial or window capture.
- Open the Files app and check the configured screenshot folder.
If Quick Settings captures an image, the screenshot component is working and the problem is limited to the keyboard shortcut, key layout, or shortcut customization. If Quick Settings also fails to produce a file, continue with destination and storage checks instead of repeatedly trying different key combinations.
Every capture is copied to the clipboard automatically. Press Ctrl + V in a compatible editor or document to test the image immediately. Clipboard success with no visible file points to a save-location or storage problem, not a capture problem.

Repair a changed or conflicting shortcut
ChromeOS lets some actions be customized in the Shortcuts app. A shortcut can stop working after it is reassigned, or ChromeOS can report a conflict when another action already uses the same combination.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems- Open the launcher and start the Shortcuts app.
- Search for the screenshot or screen-capture action.
- Read the currently assigned key combination rather than assuming the factory shortcut is still active.
- If the assignment is wrong, choose the option to restore the default shortcut.
- If ChromeOS reports a conflict, assign a combination that is not already used by another action.
- Test the new combination, then test Quick Settings once more to confirm that saving also works.
Some shortcuts are locked. A locked entry cannot be edited from the Shortcuts app; do not treat the unavailable edit control as a failed permission request. Use the displayed shortcut, Quick Settings, or ask the device administrator if the Chromebook is managed.
Find the screenshot and verify its destination
Default location
Google Chromebook Help states: “Screenshots and recordings get saved to your ‘Downloads’ folder.” Open the Files app, select Downloads, and sort by date or look for the newest image file. A recent capture may have a generated filename rather than a descriptive name.
A different folder may be configured
Open the capture toolbar and its settings to see the current screenshot location. A previous user, a customized setup, or an administrator can change it. Search the Files app’s locations after noting the folder shown in those settings.
Use the clipboard when the file is urgent
Press Ctrl + V in an editor, document, or message field immediately after capturing. This is useful when a destination is unavailable or when you need to send the image before repairing storage. Pasting does not make the file durable by itself; save or move the pasted image to a reliable location afterward.

Free space when saving fails
ChromeOS can capture the screen but fail while writing the image if local storage is nearly full. Google documents that low disk space can cause problems downloading files and changing or saving settings. The same limitation can affect a new screenshot.
Check the storage breakdown
- Open Settings.
- Choose System preferences.
- Select Storage management.
- Review the categories for Downloads, offline files, browsing data, Android storage, and other users.
This view identifies where space is being consumed instead of requiring guesswork. If the bar is nearly full, remove or move files before testing another screenshot.
Free space safely
- Delete obsolete items from Downloads, then empty the Files app’s trash if your version presents one.
- Move photographs, videos, installers, and old screenshots to Google Drive, a shared drive, or supported external storage.
- Remove offline files that you can download again when needed.
- Clear browsing data through Chrome’s privacy settings when cached data is unusually large. Review the choices before confirming so that you do not remove data you still need.
- Uninstall unused Android or ChromeOS apps.
- Remove extra local user accounts only when you are certain their files are no longer needed and you have authority to do so.
Google’s guidance is direct: “If your Chromebook is running low on disk space, we recommend deleting files you don’t need anymore.” Free at least enough room for the screenshot and for ChromeOS to update its settings; the exact amount varies with the image and the device, so no universal percentage is a reliable target.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Understand why Downloads is not permanent storage
Downloads is a temporary local folder. Google warns: “Your Chromebook’s hard drive has limited space, so your Chromebook will sometimes delete downloaded files to clean up space.” A screenshot that existed yesterday can therefore disappear later if local space becomes limited.
For images you need to retain, open the Files app, select the screenshot, choose Move or Copy, and place it in Google Drive, a shared drive, or supported external storage. Confirm that the destination contains the file before deleting the local copy. An external drive or USB flash drive is useful when cloud access is unavailable; verify that its connector is compatible with your Chromebook before transferring files.

Check school and work Chromebook policies
A managed Chromebook can behave differently from a personal device. Administrators may force screenshots to Google Drive or OneDrive and may restrict local storage. Chrome Enterprise and Education Help says: “Google recommends that you set Download location and Screenshot location to Force Google Drive or Force OneDrive.”
That policy can explain a missing file in Downloads even when capture succeeded. Check the Files app for the organization’s configured cloud location and look for the screenshot there. If the capture toolbar does not let you change the destination, or the Shortcuts app shows a locked action, the restriction may be intentional.
Contact the school or employer administrator with these details:
- The Chromebook’s asset or user name, if your organization uses one.
- Whether the capture toolbar opened.
- Which capture mode you selected.
- Whether an image was copied to the clipboard.
- The exact folder or cloud location you checked.
- Any “failed to save” message and the approximate time.
Do not attempt to bypass a forced destination or remove a management profile. The administrator must change a policy that controls screenshot storage or locked shortcuts.
Fixes by symptom
Nothing happens with every keyboard shortcut
- Use Quick Settings > Screen capture.
- If that works, identify the Show windows key or use
Ctrl + Shift + F5with an external keyboard. - Open the Shortcuts app and restore the screenshot action’s default assignment if it was changed.
- If the action is locked, use the displayed shortcut or ask the administrator.
The toolbar opens, but no file appears
- Paste with
Ctrl + Vto determine whether capture completed. - Check the toolbar’s destination setting and the corresponding Files app folder.
- Inspect Storage management for low local space.
- On a managed device, check Google Drive or OneDrive and ask the administrator about forced storage.
The image saves once, then later disappears
Move it out of Downloads immediately. Downloads is temporary, and ChromeOS may remove downloaded files when local space is limited. Use Drive, a shared drive, or supported external storage for retention.
Only partial or window capture fails
Open the toolbar directly and choose the mode instead of relying on a customized key combination. If full-screen capture saves but a selection does not, record which mode failed and whether the selection interface appeared; that information helps an administrator diagnose a policy or ChromeOS issue.
A “failed to save screenshot” message appears
Treat this as a destination or storage issue first. Check free space, verify that the destination folder still exists and is writable, and test a different permitted destination in the capture settings. If the destination is forced by policy, only the administrator can change it.

After the fix: a reliable screenshot workflow
- Capture with the shortcut appropriate to your hardware, or use Quick Settings.
- Paste once with
Ctrl + Vif the image is time-sensitive. - Open Files and confirm the new file in the configured destination.
- Rename the image with a useful date or subject description.
- Move or copy important images to Google Drive, a shared drive, or supported external storage.
- Periodically review Downloads and Storage management so temporary files do not consume the space needed for future captures.
What to tell support when none of these steps works
Support can resolve the issue faster when the report separates input, capture, and storage. Include the Chromebook model or form factor (laptop, tablet, or external keyboard), the exact shortcut attempted, whether Quick Settings opened Screen capture, the selected mode, whether Ctrl + V pasted an image, the destination shown in toolbar settings, the Storage management categories using the most space, and whether the device is managed by a school or employer. This evidence identifies whether the failure occurs before capture, during file creation, or after the file has been saved somewhere unexpected.
