To get started, choose a bounded task, explain the outcome and limits, provide only the context and access it needs, follow its progress, and check both the deliverable and any consequential actions before relying on them.
ChatGPT Work versus a quick Chat request
OpenAI describes ChatGPT Work as an agent for longer, more involved tasks. It can research and analyze information, work with connected apps and files, and create documents, spreadsheets, presentations, reports, and Sites. The July 16, 2026 desktop update distinguishes Chat for quick questions and conversational help from Work for end-to-end tasks. OpenAI’s release notes describe these product changes.

| Use case | Best fit | What to expect |
|---|---|---|
| Quick question or conversational help | Chat | An immediate answer or a back-and-forth exchange. |
| Longer task with several steps | Work | Progress toward a defined outcome, potentially using connected context or tools and producing a finished deliverable. |
The distinction is about the task, not simply how long you type. If you need a short explanation, a conversational request is usually enough. If you need information gathered, organized, and turned into a report or another complete output, describe the whole outcome and use Work when it is available.

In practice, agentic AI means delegating a goal and a bounded set of steps, rather than asking for just one response. It does not mean handing over judgment without oversight.

How to use ChatGPT Work for a first task
- Choose a bounded outcome. Start with a task such as preparing a research brief or turning supplied material into a report. Be clear about what would count as done.
- Describe the goal and useful output. Include relevant context, the boundaries of the task, and what the deliverable should contain. Name any sources or files it should use.
- Provide only necessary access. Attach relevant files or connect the apps and tools the task needs. What is available depends on workspace configuration and permissions.
- Follow the work as it proceeds. Review progress, answer questions, and redirect the task if it is moving away from the goal. OpenAI says users can follow progress, change direction, and approve important actions.
- Review before using or sharing. Check the deliverable for accuracy and completeness, and inspect consequential actions or approval requests before proceeding. An agent’s finished output is not a guarantee that it is correct.
Work also supports Scheduled Tasks that can run once, recur, trigger, or monitor for changes, according to the release notes. Treat scheduling as a separate decision from trying a task once: first establish that the workflow and its access are appropriate, then consider whether it should run again.

- Begin with one bounded task. A clear goal and concrete output make it easier to spot when the agent has misunderstood the assignment.
- Give relevant context. Supply the information needed to do the work and state which files or sources are in scope.
- Set limits explicitly. Explain what the agent should not do, as well as what it should produce.
- Match tools to the task. Use only the connectors and tools the work actually requires; availability alone is not a reason to grant access.
- Keep a person involved in important decisions. Use available approvals and action controls rather than treating consequential actions as automatic.
- Check the output. Inspect the result for accuracy and completeness before relying on it or sharing it.
- Learn from a trial run. Notice where the instructions produced a useful result or fell short, then refine them.
- Test reusable agents on representative examples. Preview how an agent responds before publishing or scheduling it.
- Share only repeatable workflows. A workspace agent makes sense when teammates benefit from consistent instructions and outputs, not merely because a task can be automated.
- Recheck access over time. Plan availability, workspace permissions, connected accounts, and product features can change.
When to create a workspace agent instead
A single Work task is usually the natural starting point for a one-off assignment. Consider a workspace agent when the workflow recurs and a shared setup can help people follow the same instructions, use the relevant connected apps, and create consistent outputs. Workspace agents may also support schedules, Slack, or API triggers where those options are enabled.

Build and preview the workflow
The current OpenAI Help Center guide to workspace agents says builders can start from a template or describe a task to the builder. Review the draft plan, refine it, and preview it with a sample prompt before creating the agent. Depending on workspace availability and permissions, configuration can include tools, apps, custom MCPs, skills, files, access, and schedules.

Check connections and sharing before rollout
OpenAI’s sales-meeting preparation example uses calendar, SharePoint, web research, and a brief-writing skill. It is an example configuration, not a promise that those apps are enabled in every workspace. Before following that kind of setup, confirm builder and sharing permissions, agent access, and which apps are enabled.
Connector authentication affects who can reach connected resources. With end-user accounts, each person uses their own account. With an agent-owned account, the connection is shared and can expose connected resources to everyone who can use the agent. Choose the connection model with that access difference in mind.
For a broader enterprise rollout, OpenAI’s administrator quickstart recommends setting workspace policy, checking role permissions and Work Local or Work Cloud access, setting model defaults, and reviewing enabled apps and data connections before onboarding people widely.

Availability and what to verify
ChatGPT Work access was rolling out when OpenAI announced it in July 2026; that launch description is not a guarantee of current eligibility. Check your account and workspace for availability. Plan access, region, enabled connectors, workspace settings, and administrator permissions can affect what you can use, and those details may change. The Help Center’s workspace-agent instructions describe setup, but an administrator may control access.

The release notes say Cloud Work conversations sync across web, mobile, and desktop, while local conversations remain on the computer. Check which mode you are using if conversation availability across devices matters.
OpenAI’s July 17, 2025 announcement reported model evaluation results for ChatGPT agent, including 41.6% pass@1 on Humanity’s Last Exam, 44.4% on that evaluation using a parallel strategy of up to eight attempts and selecting by highest self-reported confidence, 27.4% accuracy on FrontierMath with tool use, and 68.9% on BrowseComp. These are vendor-reported results on named evaluations, not evidence that a particular Work task will succeed. They do not replace reviewing the output or keeping human oversight for important actions. OpenAI’s announcement explains the evaluations and conditions.
