Before connecting an account to ChatGPT, verify the exact provider identity and workspace, inspect every requested service and permission, and decide whether the connection needs read-only retrieval or the ability to create, edit, send, share, move or delete information. Start with Always ask for a new or sensitive connection. Provider authorization, ChatGPT’s enabled app actions, approval prompts and your organization’s policies are separate controls; approving one does not automatically grant the others.
Disconnecting later stops future access through that account, but it does not automatically erase conversations, saved files or memories that already contain the data. Treat the connection as an access and action decision, not as a harmless sign-in.

What “app permissions” means in ChatGPT
When ChatGPT connects to Gmail, Google Drive, Slack, GitHub, Outlook, Teams, SharePoint or another service, several permission systems operate at once. Confusing them is the main reason people overestimate or underestimate what the connection can do.
| Control | What it decides | What it does not decide |
|---|---|---|
| Provider authorization | Which account, tenant or organization ChatGPT may access, and which OAuth or API scopes that provider approves. | It does not automatically connect every member’s account or make every ChatGPT action available. |
| ChatGPT app permissions and enabled actions | Which supported operations the connected app can use, such as search, reading, creating, editing, sending, sharing or deleting. | It cannot reach records that the provider account itself cannot open. |
| Action-approval setting | When ChatGPT must ask you before an operation runs. | It does not add provider scopes or revoke an existing connection. |
| Workspace policy | Whether an administrator allows the app or particular actions in a managed ChatGPT workspace. | It does not replace the provider administrator’s consent or the individual user’s account authorization. |
OpenAI’s Connected apps guidance states: “App permissions do not grant an app new access.” In practical terms, ChatGPT can use only the data and operations allowed by the connected provider account, the approved scopes, the app’s supported actions and any workspace restrictions. The same app can therefore behave differently for two people because their accounts, organizations, plans, regions or enabled actions differ.

The pre-connection checklist
Use this sequence on every new connection. It is especially important when the account contains customer records, confidential documents, health or financial information, source code, or messages sent on behalf of an organization.
1. Confirm the exact account and workspace
- Check the email address shown in the provider sign-in window.
- Verify the tenant, organization, domain or workspace when the service supports more than one.
- Confirm which ChatGPT workspace is active before approving the app.
- Do not assume a personal identity inherits work-account files, channels, mailboxes or records. It does not.
Select the provider account that already has access to the information you need. If the wrong identity is selected, ChatGPT will not gain access to the intended data merely because you are also a member of that organization elsewhere.
2. Inspect the requested services
Consent screens sometimes group several services under one connection. Read the list rather than accepting a broad bundle by habit. If the flow permits it, deselect services you do not need. For Google connections, OpenAI says you can select fewer apps, but you must still approve every permission associated with the apps you keep selected.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteFor example, a task that only searches Drive does not automatically require Gmail or Calendar access. If the consent screen does not let you narrow the request, treat that limitation as part of the risk decision and ask your administrator whether a narrower configuration is available.
3. Map the data scope
Ask what the connected account itself can open. ChatGPT cannot search a private file, channel, repository, mailbox or record that the provider account cannot access. Existing provider sharing rules remain relevant, including membership, folder permissions, repository visibility and tenant boundaries.
- Which mailboxes, folders, drives, channels, repositories or sites are visible?
- Can the account open data belonging to other people or teams?
- Does the account have access inherited through a group, shared drive or organization role?
- Would a search result reveal titles, snippets, metadata or comments that you did not intend to expose in a chat?
4. Separate reading from changing
Reading a message or file does not by itself authorize creating, editing, sending, moving, sharing or deleting it. Look for action language in the app description and consent flow, not only a general label such as “access your account.” A retrieval connection and an action-capable connection should receive different scrutiny.
5. Choose the approval mode
For a new or sensitive connection, choose Always ask when that option is available. It keeps each supported operation behind an explicit confirmation.

Allow read actions is a useful middle setting when the purpose is search or reference and changes must remain gated. It can reduce prompts for retrieval while preserving a checkpoint before write operations.
Allow low-risk actions trades fewer interruptions for automatic approval of operations classified as low risk. Higher-risk operations may still require confirmation or may be blocked, but the classification is important: an action that seems routine can still affect shared information or an external audience.
Allow all actions is an elevated-risk choice. It may be available only for an individual app or connected account, rather than as a universal workspace setting. Use it only when you understand the complete action surface and have a reason to remove confirmation prompts.
6. Check the administrator boundary
In a managed workspace, two administrators may be involved. The ChatGPT administrator controls whether an app or action is available in the workspace. The provider administrator may control OAuth, Microsoft Graph or other organization-level consent. Approval by one administrator does not substitute for approval by the other, and neither approval connects an individual user’s account automatically.
7. Review privacy and retention separately
App permissions answer what ChatGPT may access; they do not answer how long resulting content remains in your account or whether it is saved to Memory. Review Memory, chat retention and model-improvement controls as separate decisions.
OpenAI’s Google app data FAQ says: “We do not train our generalized models on data directly from connected Google apps.” The statement has listed exceptions, including feedback, content you copy or upload, and content included in a response. Do not interpret the statement as a promise that every derivative or user-provided copy is excluded from every processing path; review the applicable settings and policy for your account.
8. Plan the exit before you approve
Know where the connection appears in Settings > Apps or, where the interface uses the older label, Settings > Plugins. Confirm that you can identify the connected account and disconnect it. If the data is sensitive, plan a separate review of existing chats, saved files and memories because disconnecting will not clean those up automatically.

Read, create, edit, send, share, move and delete are different capabilities
Use this capability map when evaluating an app. The labels are intentionally separate because a connection that is appropriate for one category may be excessive for another.
| Capability | Typical operation | Questions to ask before enabling it |
|---|---|---|
| Search or read | Find a document, retrieve a message, summarize a channel or inspect a repository file. | Which records can the account open? Could snippets or metadata reveal confidential information? |
| Create | Draft a document, open a ticket, create a calendar item or add a repository issue. | Where will the new object appear, who will see it and what naming or notification effects will it have? |
| Edit | Change a file, record, issue, event or message draft. | Is version history available? Can the previous state be restored? |
| Send or post | Send email, publish a message, comment, invite someone or trigger a notification. | Who is the audience, and can the action create a legal, customer-service or reputational commitment? |
| Move or organize | Move files, change labels, alter folders or update status fields. | Could moving the item break a workflow, retention rule or another person’s access? |
| Share or change access | Change sharing links, memberships, permissions or security settings. | Does the change expose sensitive data or weaken an organization’s control boundary? |
| Delete | Remove a file, record, message, event or issue. | Is deletion reversible, and does it affect collaborators, retention or legal holds? |
OpenAI identifies several classes of actions that may need additional review: sending an email, message, comment or invitation; creating, editing or deleting a file or record; changing account, access, sharing or security settings; making a purchase or other financial transaction; and sharing sensitive personal, financial, health or identity information. Treat these as high-consequence even when the individual click appears small.
How approval prompts change the experience
An approval mode changes the timing of confirmation, not the underlying authorization. Selecting “Always ask” does not add a missing OAuth scope, and selecting “Allow read actions” does not revoke write access that has already been authorized. Conversely, turning prompts down does not let ChatGPT access data that the provider or workspace blocks.
Use Always ask for first use and sensitive data
This mode is the clearest way to learn what an app is trying to do. Read the proposed operation, target and audience before confirming. If the target is ambiguous, cancel and restate the request with a specific file, channel, mailbox, repository, recipient or account.
Use Allow read actions for retrieval-focused work
This setting fits a connection whose purpose is answering questions from documents, messages or records while keeping changes behind a prompt. Confirm that the app’s definition of “read” does not include side effects such as marking mail read, changing labels or triggering a workflow.

Automatic handling can be convenient for routine operations, but “low risk” is a policy classification, not a guarantee of harmlessness. Check which actions remain automatic and which still require confirmation. Shared drives, team channels and customer-facing systems deserve more caution than a private scratch document.
Treat Allow all actions as an exception
Before choosing this mode, list every operation the app can perform, identify the account and workspace, and decide how you would undo an error. If you cannot explain the blast radius of a mistaken action, keep confirmation enabled.

Provider-specific points to verify
Google Drive, Gmail and Calendar
Google connections can involve different services. Drive may expose actions involving Docs, Sheets and Slides. Gmail and Calendar actions can require additional OAuth scopes. Review each selected app and every permission attached to it; selecting fewer apps narrows the services, but it does not let you approve only some permissions for an app that remains selected.
For a work Google Workspace account, ask the administrator to review the ChatGPT or OpenAI app’s trusted status and requested scopes. A personal Google account should not be treated as a shortcut to organizational files or calendars.
Outlook, Teams and SharePoint
Microsoft Graph permissions for Outlook, Calendar, Teams and SharePoint may require consent from a Microsoft Entra administrator. That organization-level consent allows the application to request the approved Graph permissions; it does not itself connect an individual member’s account or enable every ChatGPT action. The user still needs to authorize the intended account, and ChatGPT workspace controls may further restrict use.
Slack
Slack retrieval and event-triggered use cases remain bounded by the connected member’s access, the app’s permissions, workspace controls and Slack’s authorization. Check whether the connection can see private channels, shared channels, message content, files or only selected locations. A bot or app’s presence in a workspace is not evidence that it can read every channel.
GitHub
GitHub-connected use is similarly limited by the authorized account, repository visibility, organization policies and the app’s enabled operations. Distinguish searching or summarizing code from creating issues, editing files, opening pull requests or changing settings. For organization repositories, confirm whether an organization owner must approve the application or repository access.

| Account and data scope | Identity, tenant, workspace, repositories, drives, mailboxes, channels and records reachable. | The narrowest account and service set that answers the task. |
| Capability | Read, create, edit, send, move, share, change security or delete. | Read-only where possible; enable writes only for a defined task. |
| Approval frequency | Always ask, read-only automation, low-risk automation or all-action automation. | Always ask for new, external-facing or sensitive work. |
| Administrative constraints | ChatGPT workspace policy, provider OAuth or Graph consent and organization restrictions. | Confirm both administrator boundaries before troubleshooting a blocked action. |
| Aftercare | How to disconnect, and what chats, files or memories may remain afterward. | Document the exit path and review retained content when the data is sensitive. |
This framework explains why two people can connect what appears to be the same app and receive different prompts or results. Account, workspace, plan, region and enabled actions can all change the effective permission set.

A safe connection walkthrough
- Define the task. Write down whether you need retrieval only or a specific change, such as creating a draft, updating a record or sending a message.
- Open the connection flow. In ChatGPT, go to the app-management area shown in your account, then choose the provider. Use the current label, such as Settings > Apps; some accounts may still display Plugins.
- Select the intended identity. Check the provider email, tenant, organization and the active ChatGPT workspace before continuing.
- Read the service list. Remove unneeded Google apps or other services when the consent flow permits it. Do not approve a broad bundle simply because one service is useful.
- Read every scope and action description. Mark each item as read, create, edit, send, move, share, security change or delete. Stop if the requested capability exceeds the task.
- Check administrator requirements. If the provider asks for organizational consent, confirm who grants it and what it covers. Separately verify that the ChatGPT workspace allows the app and desired actions.
- Choose approval behavior. Select Always ask for the first run or for sensitive data. Use a less interruptive mode only after you understand which operations it automates.
- Approve and test narrowly. Start with one non-sensitive file, message or repository and a read request. Confirm the result comes from the intended account.
- Test a proposed write without confirming it. If you need an action, inspect the target, content, recipients and side effects in the approval prompt. Cancel when any detail is wrong.
- Record the exit path. Note where the connected account appears in settings and who can disconnect or revoke it if the connection is managed by an organization.
Common failure modes and what they mean
ChatGPT cannot find a file, message or channel
First verify the connected identity and provider permissions. The account may not have access, the item may be outside the selected service, or an administrator may have restricted the app. Switching approval modes will not create access that the account lacks.
A requested action is unavailable
Check whether the app supports that operation, whether the workspace disabled it and whether the provider scope includes it. A successful sign-in proves authentication, not that create, edit, send, share or delete actions are enabled.
An administrator approved the app but a user still cannot connect
Organization-level consent and individual authorization are separate. The provider administrator may have approved the application while the user still needs to select and authorize the correct account. ChatGPT workspace policy can add another independent restriction.

ChatGPT asks for confirmation too often
Review the approval mode and the app’s risk classification. Allow read actions can reduce prompts for retrieval while preserving confirmation for changes. Do not switch to Allow all actions merely to avoid interruptions; first determine which operation is generating the prompt.
You disconnected the app but sensitive content remains
OpenAI’s Help Center states: “Disconnecting stops future access through that account.” It does not promise deletion of material already present in conversations, saved files or memories. Review and remove those items separately according to your retention needs.
Disconnecting and cleaning up
- Open ChatGPT settings and the Apps area, or Plugins where that label is still shown.
- Identify the exact provider account and workspace connection.
- Choose Disconnect and complete any confirmation step.
- If the provider offers its own connected-app or OAuth management page, review and revoke the authorization there when your organization requires it.
- Search existing chats for copied messages, file excerpts, links or generated summaries that contain sensitive information.
- Review saved files and Memory separately; delete material you no longer want retained.
- For a work account, notify the relevant administrator if the connection was approved centrally or if a security incident may have occurred.
Disconnecting is therefore an access-control step, not a data-erasure workflow. Keep those decisions separate so that you know both whether future retrieval has stopped and where prior content still exists.
When a connection is appropriate
A connection is usually easier to justify when the account is narrowly scoped, the task is retrieval-focused, read actions are approved automatically only when necessary, and every consequential write remains behind confirmation. It needs a higher bar when the account can reach confidential repositories, external recipients, shared permissions, financial transactions or security settings.
