Can I Repeat Rows in Excel When I Print? Yes—Here’s How

Use Excel’s Print Titles setting to repeat selected rows at the top of each printed page. Here are the desktop steps, Mac path, and common fixes.

Yes. In desktop Excel, use Page Layout > Print Titles, then set Rows to repeat at top to the row or rows containing your labels. For the first row, enter $1:$1; for the first two rows, enter $1:$2. Check Print Preview before printing.

Repeat rows on every printed page in Excel for Windows

  1. Select the worksheet you want to print.
  2. Open Page Layout > Print Titles.
  3. On the Sheet tab in Page Setup, enter the row range in Rows to repeat at top. Use $1:$1 for row 1 or $1:$2 for rows 1 and 2. Alternatively, use the range selector to select the rows on the sheet.
  4. Select OK, then open print preview and check that the repeated rows and page breaks look right.

These are the desktop Excel steps described by Microsoft’s instructions for repeating rows or columns. Interface details may vary by Excel version.

Use the Mac-specific Page Setup path

In Excel for Mac, go to Page Layout > Page Setup > Sheets, choose the rows to repeat, and confirm. Then use File > Print to preview the pages. See Microsoft’s Excel for Mac instructions.

Keep row labels visible on wide printouts

If a worksheet spans multiple printed pages horizontally, use Columns to repeat at left in the same Page Setup area to repeat the relevant label columns on each page. This is separate from repeating rows at the top; use whichever direction matches how the printed pages divide. Microsoft documents both options in its repeat-rows-and-columns guidance.

Excel for the web: use desktop Excel to repeat headers

Microsoft says Excel for the web cannot currently repeat column headers when printing. For that operation, open the workbook in the desktop app. This limitation concerns repeating column headers; it does not establish that every printing feature is unavailable in the web version. See Microsoft’s platform and printing guidance.

Print titles are not row numbers or column letters

Print titles are your worksheet’s own data rows or columns—such as a table’s labels—that you want repeated on each printed page. The row numbers and column letters around the sheet are built-in row and column headings; they have a separate print setting and are not printed by default. Turning on those headings will not repeat your table’s labels. Microsoft explains the distinction in its Page Setup documentation and heading-printing instructions.

If Print Titles is dimmed or the repeat fields are unavailable

  • You are editing a cell: finish or cancel the edit, then try again.
  • A chart is selected: select a worksheet cell rather than the chart.
  • No printer is installed: Microsoft lists this as another reason the command may be dimmed.
  • Several worksheets are selected: ungroup the sheets and select a single worksheet; the repeat-row and repeat-column fields are unavailable while multiple sheets are selected.

These troubleshooting causes are listed in Microsoft’s print-titles guidance and its printing help.
