Can Antivirus Stop Threats Hidden in Incoming Documents and Links?

Yes, often—but not by itself. Modern antivirus and email-security systems can scan attachments before delivery, detonate suspicious files in a virtual environment, inspect links when a message arrives and again when you click, and scan files as they are downloaded or opened. Browser warnings and cloud-service filtering add further checks. None of these layers guarantees detection: password-protected archives, brand-new malware, compromised legitimate websites, exploitable documents and a user who ignores a warning can still defeat the controls.

What antivirus can check before you open anything

“Antivirus” now describes several controls operating at different points in the delivery chain. A traditional endpoint engine is only one of them. The strongest setup checks a message in the mail service, checks a destination when a link is clicked, and checks the file again on the device.

Attachments can be scanned and detonated before delivery

Email security gateways can inspect an attachment with signatures, reputation data, machine-learning models and static analysis. More advanced services perform detonation: they open the file in an isolated virtual environment and observe what it tries to do. Microsoft Defender for Office 365 Safe Attachments, for example, adds this virtual-environment step after anti-malware scanning. Microsoft says the attachment check is intended to happen before delivery; its documentation says processing typically completes within 15 minutes, an operational estimate rather than a guaranteed deadline.

The Cybersecurity and Infrastructure Security Agency (CISA) describes the same control in its email-security baseline: “The Safe Attachments feature will scan messages for attachments with malicious content.” If the service identifies malware, policy can block or quarantine the message rather than placing it in the recipient’s inbox.

Links can be checked when the message arrives and when you click

Link protection works in two different moments. At delivery, a mail gateway can rewrite or proxy the URL, compare its reputation with current blocklists and inspect a downloadable file. At click time, the service can resolve the destination again, detonate linked content and stop the browser if the reputation has changed since the email was delivered.

That second check matters because attackers can send a harmless URL first and redirect it later, or register a domain after the message has already passed through the gateway. Microsoft Safe Links documentation describes time-of-click reputation checks and URL or linked-content detonation. CISA also recommends URL inspection and real-time scanning of files obtained through links.

The endpoint scans files as they are used

On Windows, Microsoft Defender Antivirus runs in the background and scans files and processes that are opened or downloaded when real-time protection is enabled. This is the last major automated checkpoint before a document executes code or a downloaded program runs. If real-time protection is disabled, newly opened or downloaded items are not examined immediately; they may wait for a scheduled scan instead.

How the layered path works

A suspicious document or link may encounter several decisions rather than one pass/fail test. The exact sequence differs by mail provider and policy, but a typical path looks like this:

  1. Message filtering: The mail service evaluates the sender, authentication results, domain reputation, message text and attachment type.
  2. Attachment analysis: The service applies signatures and heuristics, then may open the file in a sandbox to observe child processes, network calls, scripts and other behavior.
  3. URL analysis: Links are compared with reputation lists and may be fetched or detonated in an isolated environment. Some systems rewrite the link so the check occurs again at click time.
  4. Delivery decision: The message is delivered, placed in junk, held in quarantine or rejected. Administrative policies can require an analyst or recipient to release it.
  5. Browser and endpoint checks: When a user clicks or downloads, the browser warning system and endpoint real-time engine make independent decisions. A file that was harmless at delivery can be blocked later if its reputation or behavior changes.
  6. Post-delivery response: Some managed email services can search for a newly identified malicious message and remove it from mailboxes after delivery. Whether this retroactive purge is available depends on the service and configuration.

Defense in depth is valuable because each layer sees different evidence. A gateway has message context; a browser sees the live destination; an endpoint sees what the file actually attempts on the computer.

Can a Word or PDF file infect a computer?

Yes. The file format alone does not determine safety.

Word documents and spreadsheets

Office files can contain macros, embedded objects, external links or exploit code that targets a vulnerability in the document application. CISA recommends blocking active content and macros by default unless there is a controlled business need. A document that asks you to click “Enable Content,” “Enable Editing” or a similar button is asking for a change in trust, not proving that the file is legitimate.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

PDF files

PDF readers process a complex file format that can include scripts, embedded files, forms and media. A maliciously crafted PDF may exploit an unpatched reader, although many attacks instead use the PDF as a lure that sends the recipient to a phishing page. Keep the reader and operating system updated, and treat an unexpected PDF as untrusted until the sender and purpose are verified.

Archives and password-protected files

ZIP and other archives can conceal executable files or several nested documents. Password-protected archives are a known blind spot because a gateway cannot inspect their contents without the password. CISA warns that attackers can use this technique to evade antivirus and email filters. A password supplied in the same email is not evidence of safety; handle the archive as a review case and obtain the password through a separate, trusted channel.

Why an antivirus product can miss a phishing link or document

  • New infrastructure: A newly registered domain or recently compromised legitimate site may not yet have a bad reputation.
  • Rapid changes: Redirect chains and geofenced pages can show benign content to scanners and malicious content to a particular victim.
  • Encrypted content: Password-protected archives prevent ordinary content inspection.
  • Unknown malware: Signatures cannot match code that has not been seen, and behavioral sandboxes do not reproduce every real-world condition.
  • Cloud links: A shared-file URL may require authentication or deliver different content to different users, limiting automated inspection.
  • Social engineering: A link can lead to a convincing fake sign-in page without containing a conventional virus. The user may surrender credentials even though no executable file is downloaded.
  • Warning bypass: Browser and email systems generally let a user continue after a warning. Google states that Safe Browsing shows a warning before a dangerous site or harmful download, but a warning is not a physical barrier if the user chooses to proceed.
  • Policy gaps: Disabled real-time protection, broad allowlists, outdated signatures, unsupported file types or an unmanaged personal device remove important checks.

CISA’s advisory on Emotet records Word documents and links as initial delivery vectors, illustrating why a malicious campaign may combine a familiar file type with a credential-stealing website.

Is Windows Defender enough for malicious documents?

Microsoft Defender Antivirus is built into Windows and provides real-time protection against viruses, malware and other attacks when its protections are enabled and current. It is an important endpoint layer, but it does not replace email-gateway controls, browser protection, application patching or safe handling of messages.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For an individual using a well-maintained Windows PC, Defender plus current Windows updates, a supported browser and cautious document handling can provide a solid baseline. A business that needs scanning before delivery, sandbox detonation, centralized quarantine, URL rewriting, audit logs or retroactive mailbox cleanup needs an email-security service configured for those functions; the endpoint engine alone cannot inspect a message that has never reached the device.

Effectiveness is configuration-dependent. There is no universal percentage for “threats stopped.” Results vary with threat novelty, policy settings, encryption, signature and blocklist freshness, and whether a person follows the warning.

Browser protection is a separate checkpoint

Google Safe Browsing warns users before they visit dangerous sites or download harmful applications. Its Enhanced Protection option adds real-time checks, deeper scans of downloaded files and stronger checks for links and attachments handled through Gmail. Google says Safe Browsing helps protect more than five billion devices every day; that is a vendor-reported reach figure, not an independent detection or prevention rate.

Keep browser protection enabled even if endpoint antivirus is installed. The browser can identify a phishing URL or a dangerous download using current reputation information that the endpoint engine does not have. Conversely, a browser warning does not prove that every unflagged page is safe, so verify unexpected requests independently.

Practical settings that close common gaps

  1. Keep real-time protection on. In Windows Security, open Virus & threat protection, choose Manage settings and confirm Real-time protection is enabled. Do not rely on a later scheduled scan for files you are opening now.
  2. Turn on browser Safe Browsing. In Chrome, open Settings, then Privacy and security, then Security, and select the protection level appropriate for your risk tolerance. Enhanced Protection performs more checks but sends additional security-related information to Google.
  3. Use attachment and link protection in the mail service. For organizational mail, enable a service that supports attachment sandboxing, URL inspection and time-of-click checks. Set suspicious messages to quarantine rather than relying on users to judge every warning.
  4. Restrict active content. Block macros from internet-sourced Office files by default, limit script-capable attachment types and prevent automatic execution of downloaded files. Create narrowly scoped exceptions for documented business workflows.
  5. Treat encrypted archives as exceptions. Do not automatically allow password-protected ZIP files. Ask the sender to use a managed file-sharing workflow or provide the password through a known, separate channel so the contents can be inspected.
  6. Update every component. Install operating-system, browser, PDF-reader and Office updates promptly. Detection cannot compensate for a vulnerability that is already exploitable on an unpatched machine.
  7. Verify unusual requests. Use a phone number from a saved contact or an official statement, a bookmark you already trust or an independent message channel. Do not use the contact details or link supplied in the suspicious message.
  8. Report instead of forwarding. Use your mail service’s phishing-report control or your organization’s security process. Microsoft advises users not to open suspicious links or attachments and to report them.

How to compare antivirus and email-security coverage

“Has antivirus?” is too broad a purchasing or configuration question. Compare the actual control points and failure modes:

Comparison axis Questions to ask Why it matters
Where scanning occurs Mail gateway, cloud-storage service, browser, endpoint—or all four? A control cannot protect a stage it never sees.
When decisions are made Before delivery, at click/download, on open/execute, and after delivery? Reputation and payloads can change after the first scan.
Analysis depth Signatures, reputation, static heuristics, machine learning or dynamic sandboxing? Different techniques catch different parts of the threat lifecycle.
Coverage gaps Encrypted archives, macros, active content, cloud links and newly registered domains? Attackers deliberately target the least-inspected format or stage.
User and administrator controls Quarantine, warning pages, macro policy, reporting, allowlists and independent verification? Good detection can be defeated by an easy bypass or an overly broad exception.

What to do if you clicked or opened something suspicious

  1. Stop interacting. Close the document or tab and do not enter credentials, approve a prompt or enable macros.
  2. Disconnect if a program ran. For a work device, disconnect from the network according to your incident procedure; do not erase evidence or keep experimenting.
  3. Report immediately. Tell your administrator or security team which message, file and link were involved and what you clicked.
  4. Change exposed credentials from a clean device. If you entered a password, reset it through the legitimate service and revoke active sessions where that service supports it. Use a different password anywhere it was reused.
  5. Run an updated scan. Allow the endpoint protection service to update, then perform a full scan if your security team instructs you to do so.
  6. Watch for follow-on signs. Unexpected sign-in alerts, mailbox forwarding rules, password-reset messages or new browser extensions can indicate account compromise and require prompt escalation.

The practical answer

Antivirus can stop many threats hidden in incoming documents and links, especially when email scanning, sandbox detonation, browser reputation checks and endpoint real-time protection operate together. It cannot promise that every malicious document, phishing page or newly created site will be identified. Keep every layer enabled, restrict macros and risky attachments, treat encrypted archives as suspicious, and verify unexpected requests through a channel the message did not provide.
