Your prompts, uploads, voice, screenshots, browser context and connected-app data may be stored, reviewed for safety, used to improve the service or—depending on the product and your settings—used to train models. Chatbots do not automatically browse unrelated private accounts; access expands when you connect an app, grant permissions or use an assistant feature.
What “private” means when you use an AI chatbot
A chatbot conversation is private from other users, but it is still data sent to the company operating the service. The provider’s systems must receive and process your content to generate a response. Its privacy policy and settings then determine whether that content is retained, reviewed, used for service improvement or included in model-training processes.

There are four separate questions to ask:
- Can the service process it? Yes, if you type, upload, record or otherwise authorize the content.
- Can employees see it? Sometimes, through limited safety, abuse, troubleshooting or feedback-review pathways.
- Is it used to train models? It depends on the provider, product, account type and settings.
- How long does it remain? Ordinary chat history, temporary processing copies, safety records and reviewed samples can have different retention periods.
Turning off a history or improvement setting reduces some uses; it does not make a message disappear instantly from every system.

- Files, photographs, videos and screenshots you upload.
- Voice recordings or transcripts from voice features.
- Screen contents or browser-page text when an assistant is allowed to view them.
- Imported conversations from another service.
- Device information, permissions and application context.
- Excerpts, summaries, generated media and inferences from connected applications.
Google’s Gemini documentation explicitly lists these categories, including browser content, imported chats, connected-app information and device permissions. The exact scope depends on the feature and permissions you grant. A chatbot cannot see an unrelated account merely because you have one; it gains that context when you connect the account, upload the material or enable an assistant capability that can access it.
Do providers use chats to train their models?
There is no single industry-wide rule. Consumer products commonly offer a privacy or activity control, while business and API products can have different contractual defaults. A training opt-out also may not cover every safety, abuse-prevention or feedback workflow.

These are product-specific statements, not a universal promise about every chatbot. Policies can differ by country, edition, age of account and feature.
OpenAI and ChatGPT: what the published controls mean
Consumer conversations and authorized access
OpenAI says it monitors and logs access to user content and requires authorized personnel to complete security and privacy training before accessing that content. This means a conversation is not exposed to every employee, but it is not technically inaccessible to the provider. OpenAI also states: “OpenAI does not sell your data or share your ChatGPT conversations with advertisers.”
Turning off ordinary model improvement
On an individual plan, turn off the setting labeled Improve the model for everyone in the account’s privacy or data controls. That setting addresses ordinary improvement use; it is not a guarantee that no copy will be processed for security, abuse prevention, support or legal obligations.

Feedback is a separate decision
OpenAI warns that sending thumbs-up or thumbs-down feedback may permit use of the entire conversation associated with that feedback, even if ordinary training has been disabled. Do not attach confidential content to feedback unless you accept that broader use.
Business and API defaults
OpenAI says data from its API, ChatGPT Business and ChatGPT Enterprise products is not used to improve model performance by default unless the customer explicitly opts in. An organization should still review its contract, retention controls, administrator settings and the way employees’ prompts are logged internally.

Anthropic and Claude: model improvement, Incognito and review exceptions
Model Improvement
Anthropic’s consumer policy separates ordinary use from an optional Model Improvement pathway. If you allow chats to improve Claude, Anthropic says it may retain data in de-identified form for up to five years in model-training pipelines.
Incognito chats
Incognito chats are not used to improve Claude, even when Model Improvement is enabled. Use that mode for a one-off sensitive question, but remember that the service still has to process the message and may retain limited records for safety or operational reasons.
Deleting a conversation
Anthropic says that deleting a chat from your history prevents it from being used to train future models. That statement concerns future training; it does not mean every transient system copy, safety record or previously created derivative disappears at the same instant.

Human access and feedback
Anthropic says employees cannot access conversations by default. Designated Trust & Safety personnel may access them on a need-to-know basis for policy enforcement or when you expressly share a feedback report. Conversations flagged for safety review may be analyzed to improve detection and enforcement systems, and feedback can cause the related conversation to be stored for up to five years.

Keep Activity controls
Google’s Gemini notice says Keep Activity determines whether chats are saved and used to improve services, including training generative AI models. If Keep Activity is off, future chats do not appear in activity and are not used to train Google’s AI unless you submit feedback.
The 72-hour processing window
Activity-off chats are retained for 72 hours so Google can provide responses, process feedback and protect Google, users and the public. “Not saved to activity” therefore does not mean “deleted immediately.”
Auto-delete choices and reviewer retention
Google documents an 18-month default auto-delete setting, with user-selectable periods of three or 36 months. Chats reviewed by trained human reviewers can remain for up to three years after they are disconnected from the account. A subset of conversations is reviewed to improve safety and service quality.
What Gemini may receive
Gemini can process prompts, files, videos, screens, photos, imported chats, browser-page content and device information such as permissions and app context. When Keep Activity is on, connected-app summaries, excerpts, generated media and inferences may support improvement and training. Google’s privacy guidance cautions: “Please don’t enter confidential information that you wouldn’t want a reviewer to see or Google to use to improve our services.”

Does a human employee read your chats?
Sometimes, under restricted circumstances. The documented pathways differ:
- OpenAI: authorized personnel can access content, with access monitored and logged and personnel trained in security and privacy.
- Anthropic: designated Trust & Safety staff may access conversations for policy enforcement or expressly shared feedback; employees cannot access them by default.
- Google: a subset of Gemini activity may be reviewed by trained human reviewers, including chats retained under the reviewer-specific period.
Human review is not the same as an employee casually browsing everyone’s conversations. It is also not zero access. If a message would cause harm if seen by a trained reviewer under a safety or quality process, do not submit it.

Chatbot tracking usually refers to records about activity and context rather than secret access to unrelated accounts. Examples include saved chat history, usage and security logs, feedback records, connected-app excerpts, device permissions, browser context and inferences generated from those inputs.
Tracking can continue for a limited period after you disable history. Google’s 72-hour window is an explicit example. Safety investigations, abuse prevention, legal requirements and feedback can also create retention paths that are separate from ordinary chat history. Review the provider’s policy for your country and account type before treating any setting as a complete deletion command.

- Identify the exact product surface. Confirm whether you are using a consumer app, an API, a business workspace, a browser assistant or a connected-app feature. The same company can apply different defaults to each.
- Open privacy and data controls before sharing sensitive material. Disable OpenAI’s Improve the model for everyone, Anthropic’s Model Improvement option, or Google’s Keep Activity when the available policy matches your needs.
- Choose a temporary mode for a one-off question. Use Anthropic Incognito or the equivalent temporary-chat option offered by the product. Temporary mode limits some uses; it does not remove the need for safety and abuse processing.
- Disconnect unnecessary apps and permissions. Remove integrations you do not need, and deny screen, browser, photo, microphone or application-context access unless the feature requires it.
- Minimize the content itself. Replace names, account numbers, addresses, secrets and identifying screenshots with redacted examples. Do not upload an entire document when a short excerpt answers the question.
- Be cautious with feedback buttons. A rating can attach the full conversation to a review or improvement workflow. Never submit confidential content with feedback unless that use is acceptable.
- Delete saved activity after the session. Remove chat history or account activity using the provider’s controls, while recognizing that safety, reviewer and legally required records can have separate lifetimes.
- For organizational data, use an approved business or API arrangement. OpenAI states that API, Business and Enterprise content is excluded from model improvement by default unless opted in, but administrators must verify the current contract, regional terms and internal logging.
Common misunderstandings and what to do instead
“I turned off history, so nobody can process the message.”
History controls whether a conversation appears in your activity and whether it is used for certain improvement purposes. Google still retains activity-off chats for 72 hours, and all services may need temporary processing for responses and safety.
“Deleted means erased from every backup immediately.”
Deletion can stop future training use while separate safety, feedback or reviewer records remain. Anthropic explicitly distinguishes deletion from future-model training, and Google documents retention periods for reviewed chats.
“The chatbot can see everything on my phone.”
It cannot automatically read unrelated accounts. It can receive data exposed through a connected app, uploaded file, screen-sharing feature, browser context or granted device permission. Audit those connections rather than assuming the text box is the only input.
“Business branding guarantees confidentiality.”
Business and API products can have stronger no-training defaults, but the organization still controls what it sends, how long it stores logs and which employees or integrations can access the workspace. Check the specific terms instead of relying on the plan name.

Questions to ask before sending confidential material
- Which company, product edition and account type will process this?
- Is model improvement enabled, and is the control global or limited to one feature?
- What temporary retention applies when history is disabled?
- Can safety or quality reviewers access samples, and for how long?
- Have I connected an app or granted screen, browser, microphone, photo or device permissions?
- Could feedback attach the complete conversation to a review process?
- Does my employer, school or administrator retain a separate copy?
The practical answer
AI chatbots do not possess a magical view into all of your private conversations. They can see and process the material you submit or authorize, and providers may retain or review it under documented safety, feedback, improvement and training rules. Treat consumer chats as provider-processed data, not as an invisible personal notebook. Disable improvement or activity controls where appropriate, use temporary modes, remove unnecessary connections, redact sensitive details and verify the retention terms for your exact product and region.
