What a WordPress workflow plugin should control
WordPress gives you basic post statuses and user roles, but a multi-author publication usually needs more explicit control. A workflow plugin turns an informal hand-off into a repeatable process: a writer submits work, a named reviewer receives it, an editor requests changes or approves it, and the post moves to the next stage without relying on chat messages or memory.

Evaluate a plugin against seven practical questions:
#1 Best Overall
- Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
- Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
- Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
- Routing: Can a post go to the correct person or role at each stage, including different routes for different content types?
- Collaboration: Can people comment, suggest changes or co-edit without leaving WordPress?
- Governance: Are statuses, permissions, checklists and calendars visible to the people who plan and publish?
- Approvals: Can the system record who approved what and when?
- Editor fit: Does it work with the Gutenberg editing experience your authors use?
- Scale: Does the model fit one site, several sites, or a larger organization with many roles?
- Commercial terms: Are the price, site allowance, update period and support terms clear for the plan you need?
Do not confuse a status label with an approval. “Ready for review” only describes a state; an approval process identifies the responsible person, records the decision and defines what happens next.

| Plugin | Best fit | Documented strengths | Choose it when… |
|---|---|---|---|
| Oasis Workflow | Visual routing and formal approvals | Drag-and-drop designer; role-based routing; Assignment, Review and Publish tasks; custom statuses; inbox sign-off; process history; reassignment; due dates; email reminders; single- and multi-level review templates | You need accountable hand-offs, deadlines and an auditable history. |
| Multicollab | Gutenberg collaboration and sign-off | Configurable workflow stages; role permissions per stage; optional stages; co-editing; inline comments; suggestions; approvals inside WordPress | Your team wants a Google Docs-style editorial experience without moving drafts and discussions elsewhere. |
| PublishPress | Editorial operations and planning | Documentation for writing, reviewing, publishing, multi-step workflows, editing and reviewing, university departments and two-person approvals; broader coverage of authors, permissions, editorial calendars, checklists and scheduling | You need a planning and governance layer around the whole publication, not only an approval gate. |

Oasis Workflow: best for visual, accountable routing
Oasis Workflow is the clearest fit when your main problem is moving a post through named tasks and proving that each step happened. Its documented building blocks are Assignment, Review and Publish tasks, assembled in a visual drag-and-drop designer.

- Role-based routing: Send work to a role rather than a single person, which is useful when several editors can handle the queue.
- Inbox sign-off: Give assignees a defined place to accept, reject or complete their task.
- Custom statuses: Represent your own states instead of forcing every team into the default WordPress vocabulary.
- Process history: Retain a record of the workflow activity for accountability and later review.
- Reassignment: Move a task when the original assignee is unavailable.
- Due dates and email reminders: Attach a deadline to a task and alert the responsible person.
- Review templates: Start with single-level or multi-level review patterns when a post needs one approver or several layers.
Example Oasis route
A practical route for a regulated or audit-sensitive site could be: Assignment to the author, Review by a subject editor, a second Review by compliance, then Publish by the publishing desk. If compliance rejects the draft, the process can return to the author or editor instead of silently ending in a comment thread. The exact branch should reflect your written policy; the plugin supplies the task and routing model.

How to configure an Oasis workflow
- List every hand-off that must be recorded. Separate a real decision (approval or rejection) from an informational check.
- Define the WordPress roles that own each step. Use roles where coverage matters; use named users only when the responsibility cannot be shared.
- Open the visual workflow designer and place Assignment, Review and Publish tasks in the required order.
- Set the route for each task and add custom statuses that your staff will understand at a glance.
- Add due dates to steps that affect publication timing and enable email reminders where a missed hand-off would block the queue.
- Choose a single-level or multi-level review template, then adapt it to your actual approval chain.
- Run a test post through approval, rejection, reassignment and completion. Check the process history after each action.
- Document who can alter a route. A workflow is only auditable if changes to the workflow itself are controlled.
Oasis pricing and support terms
The vendor pricing page currently lists the following figures. They are vendor-listed prices and may change, so recheck the page immediately before purchase:

The supplied pricing information does not establish comparable current prices for Multicollab or PublishPress. Treat those figures as “not stated,” not as evidence that either product is free or paid.
Multicollab: best for Gutenberg-first collaboration
Multicollab is designed for teams that want the collaborative feel of a shared document while keeping drafts, comments and sign-off in WordPress. Its workflow documentation allows administrators to create as many stages as the process requires, rename those stages, assign role permissions to each stage and enable or disable stages.

Workflow patterns Multicollab documents
The simple example is Draft → Review → Approval → Publish. A more demanding route is Draft → Editor Review → SEO Review → Legal Check → Final Approval → Publish. The second pattern is useful when different specialists must make a recorded decision rather than merely leave advice.

Where collaboration changes the decision
- Co-editing: Multiple contributors can work in the Gutenberg context instead of passing downloaded files around.
- Inline comments: Feedback stays attached to the relevant content location.
- Suggestion mode: Editors can propose wording changes for review rather than silently overwriting the author’s text.
- Role permissions by stage: The people who can act during a legal or final-approval stage do not have to be the same people who edit the draft.
- Optional stages: A route can include checks that are enabled only for content requiring them.
How to design a Multicollab route
- Start with the shortest route that protects quality: Draft, Review, Approval and Publish.
- Add a specialist stage only when it has a defined owner and a decision to record. “SEO review” and “legal check” should each have a clear completion rule.
- Rename stages to match the language your staff already uses. Familiar labels reduce misrouting.
- Assign the minimum role permission needed at each stage. A person who comments on a draft does not automatically need approval authority.
- Mark non-universal checks as optional when only some content types require them.
- Use inline comments and suggestions for discussion, then use the approval action for the final decision.
- Test the route with a Gutenberg post containing a proposed edit, an unresolved comment and an approval. Verify what each role can see and do.
Multicollab’s documented material emphasizes keeping the working conversation and sign-off inside WordPress. That is especially valuable when your team’s main friction is context switching between the editor, email and a separate document tool.
PublishPress: best for broader editorial operations
PublishPress is the better starting point when workflow is only one part of a larger publishing operation. Its official documentation covers writing, reviewing, publishing, multi-step workflows, editing and reviewing, university departments and two-person approvals.
Operational controls to look for
A comparison published by Multicollab characterizes PublishPress as covering authors, permissions, an editorial calendar, checklists and scheduling. Those controls address the questions that surround an approval: what is due this week, who is allowed to edit it, which pre-publication checks are mandatory and when should the approved post go live?
When a PublishPress model fits
- A publication has recurring assignments and needs a calendar view as well as a status.
- Different author, editor and publisher permissions must be administered centrally.
- Every post needs a repeatable checklist, such as source review, image rights and metadata completion.
- Two people must approve sensitive content before publication.
- Scheduling is part of the workflow rather than a final, manual step.
- A department, campus or business unit needs a documented multi-step process.
How to implement a PublishPress process
- Define the editorial calendar views your team actually uses: assignment planning, review queue or publication schedule.
- Create statuses that distinguish planned, in progress, awaiting review, changes requested, approved and scheduled work.
- Set author and editor permissions before adding exceptions. Broad permissions make a process difficult to audit.
- Build checklists around verifiable actions, not vague reminders. Each item should have a clear owner or completion test.
- Configure the required workflow stages and the two-person approval path for content that needs independent sign-off.
- Schedule a test post and confirm that the calendar, checklist and permissions agree with the workflow state.
- Review the process after one publishing cycle and remove steps that never change a decision.

How to choose for your team
Choose Oasis Workflow if accountability is the bottleneck
Select Oasis when missed hand-offs, unclear ownership or audit requirements cause more trouble than editing itself. Its visual task model is suited to organizations that need to show the route a post took, who held it, when a deadline was missed and who approved the final version.

Choose Multicollab if editing friction is the bottleneck
Select Multicollab when authors and editors are already comfortable with Gutenberg but lose time translating comments, suggested wording and approvals between tools. Its value is highest when feedback must stay attached to the draft and stage permissions matter.
Choose PublishPress if planning and governance are the bottleneck
Select PublishPress when the editorial calendar, recurring checklists, permissions and scheduling are as important as the approval itself. It is the natural fit for a publication managing many assignments rather than only a small number of formal reviews.
Use more than one only with a clear ownership model
Combining plugins can create overlapping statuses, duplicate notifications and uncertainty about which approval is authoritative. If you deploy more than one, designate a system of record for workflow state, comments, scheduling and audit history. Write down which plugin owns each function before enabling it on production content.

Build a workflow before installing anything
- Map the current process. Follow three recent posts from assignment to publication and record every real hand-off, including informal approvals.
- Separate mandatory gates from helpful advice. A legal sign-off may block publication; a peer suggestion may not. Model them differently.
- Name the owner of each gate. “Editorial team” is not an accountable assignee. Use a role with a backup or a named person where necessary.
- Define rejection behavior. Decide whether rejected work returns to the author, the previous editor or a correction queue.
- Set service levels. Add due dates only where the team can act on them. A deadline without an owner or escalation path becomes background noise.
- Choose the minimum number of statuses. Every status should answer a question a colleague actually asks.
- Decide what must be retained. If you need to demonstrate approval later, ensure the selected plugin records the relevant action and history.
- Pilot with one content type. Run a complete cycle, including a rejection and reassignment, before migrating every post.
Common implementation problems and fixes
Too many stages
Long routes feel thorough but often create idle queues. Remove a stage unless it has a distinct owner and a decision that changes the publication outcome. In Multicollab, optional stages can keep specialist checks available without forcing them onto every post.

Roles that are too broad
If everyone can approve, no one is clearly responsible. Assign approval rights to the smallest practical role group and document who covers absences. Oasis reassignment is useful when the original assignee cannot complete a task, but reassignment should remain visible to the team.
Comments mistaken for approval
A comment can explain a problem without authorizing publication. Require a formal approval action for gates that affect release, and reserve comments or suggestions for the discussion leading to that decision.
Notifications that become noise
Enable reminders for blocked or time-sensitive tasks, not every status change. During the pilot, note which messages cause action and disable the rest.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →Calendar and workflow disagree
A scheduled date is not proof that editorial review is complete. In a PublishPress-led process, make the approval state and scheduled state distinct so that a calendar entry cannot be mistaken for a cleared post.
Audit requirements discovered too late
Ask what a reviewer must be able to reconstruct six months after publication. If the answer includes task ownership, dates, decisions and reassignment, verify those records in a test process before buying or deploying.
Pricing assumptions
Oasis plan prices and site allowances are vendor-listed and can change. The supplied material does not establish current Multicollab or PublishPress pricing, so obtain a current quote or plan page for those products and check whether support and updates renew annually.
A practical selection checklist
- We can draw the route from assignment to publication on one page.
- Every approval stage has one accountable role and a backup.
- Rejection and return paths are defined before launch.
- We know whether collaboration happens in Gutenberg or in a separate tool.
- We know which statuses, checklists, calendar views and scheduling actions are essential.
- We have tested permissions with an author, reviewer, approver and publisher account.
- We have run at least one overdue task, rejection and reassignment.
- We know what history must be retained and where it will be viewed.
- We have checked current site limits, updates, support and renewal terms.
Verdict
For formal, traceable routing, start with Oasis Workflow. For Gutenberg-native co-editing and inline editorial discussion, start with Multicollab. For a broader publishing operation built around calendars, checklists, permissions and scheduling, start with PublishPress. A short pilot using your real approval chain is more reliable than choosing from a feature list: the best plugin is the one your team can follow consistently and whose records answer your accountability questions.
