The best phone system for a remote team depends on whether you need a business number with call forwarding, a cloud PBX with extensions and routing, or a broader communications platform with messaging and meetings. Five services worth comparing are RingCentral, Nextiva, Dialpad, Zoom Phone, and 8×8—but they serve different needs, and there is no universal winner.
How to choose a phone system for remote workers
Remote-phone services range from basic virtual numbers to cloud PBX and unified communications or customer-experience platforms. A virtual number may be enough for a solo owner who needs calls forwarded to an existing phone. A cloud PBX adds capabilities such as extensions, auto-attendants, call queues, and shared administration. Broader suites can combine calling with messaging, meetings, integrations, analytics, or contact-center functions.

Before comparing providers, decide which functions your team will actually use. Also identify the countries where staff need numbers or calling access, the destinations they call, and any relevant compliance requirements. Availability and terms can vary by geography and plan, so confirm them directly with each provider.

- Team size and administration: How many seats do you need, and who will manage users, business hours, and call routing?
- Call workflow: Do you need extensions, queues, an auto-attendant, voicemail delivery, or after-hours routing?
- Collaboration: Will staff use the same service for messaging, meetings, SMS, CRM integrations, or analytics?
- Worker devices: Can employees take calls through desktop and mobile apps, or does the workflow depend on desk phones?
- Total cost: Compare the required tier and seat count, billing term, contract, taxes, fees, add-ons, international use, and hardware—not just a headline starting price.
Five phone systems to compare
This is a use-case shortlist, not a test-based ranking. The July 2026 BizStack comparison frames these providers around different needs; TechRadar’s 2026 guide separately highlights Dialpad for remote working. Those are publishers’ evaluations, not independently verified product test results here.

| Provider | Consider it if | What to verify |
|---|---|---|
| RingCentral | Your distributed team wants calling alongside messaging, meetings, integrations, and centralized administration. | Whether you need the full suite, which features require add-ons, and the cost for your actual seats and plan. See the RingCentral pricing page. |
| Nextiva | You want a small-team phone plan with a potential path toward customer-engagement features. | Which capabilities are included at the tier you need; advanced customer-experience functions may be in higher tiers. Confirm current terms and geographic availability. |
| Dialpad | AI-assisted calling and transcription are important to your remote workflow. | Transcription terms, plan availability, and whether its video capabilities suit your team. See the Dialpad pricing page. |
| Zoom Phone | You are considering a cloud VoIP phone service and want to review its current offering directly. | Current pricing, plan inclusions, and whether the service covers your routing and administration needs; those details are not established by the comparison evidence summarized here. See Zoom Phone’s official product page. |
| 8×8 | Your requirements include international operations or contact-center capabilities. | Coverage for the specific countries and calling destinations you need, feature tiers, and a full quote. Quote-led pricing makes it especially important to compare total costs on the same basis. |
When a virtual phone number is enough
A full communications suite can be excessive for a solo owner or lean team that only wants a business number routed to existing phones. BizStack’s July 2026 comparison presents Grasshopper as a simpler virtual-number option for that case. It should not be treated as equivalent to a full UCaaS platform with desk-phone administration, video meetings, queues, and analytics. If those functions matter, compare cloud PBX or broader suite options instead.
How remote employees can use the service
Desktop and mobile apps let employees handle work calls without requiring a physical desk phone. Whether desk phones are worthwhile depends on the team’s workflow and equipment preferences. A USB headset may be useful for calls, but it is an optional accessory, not a universal requirement.

- Ooma has been rated the top phone service by Consumer Reports.
Before committing, use the buyer test suggested in BizStack’s July 2026 guide: try calls over home Wi-Fi and mobile data, check a headset handoff if employees will use one, confirm voicemail delivery, and test after-hours routing. These checks help reveal whether the service fits your real working conditions; they are not results from tests conducted for this article.
Compare the full cost and terms
Price comparisons only mean something when they cover the same team size and requirements. Work out the cost of the tier that includes your necessary functions, then check whether the quote changes with seat count or billing term. Ask about contract requirements, taxes, fees, add-ons, international calling, and any desk-phone or other hardware costs. The July 2026 BizStack guide says its vendor-page checks were made on July 14, 2026; prices and terms can change, so confirm current details with providers before choosing.

For a broad communications suite, assess whether the additional tools replace services you already use. For a basic virtual number, make sure you are not paying for capabilities your team does not need. For international or contact-center use, request a quote that explicitly covers your countries, destinations, and required features.

- Calling plus collaboration and administration: Start with RingCentral and compare the required tier against alternatives.
- Small-team phone service with customer engagement in view: Check Nextiva’s current plan path and the tier that includes the functions you need.
- AI-assisted calls and transcription: Evaluate Dialpad’s terms and feature availability for your intended use.
- A cloud phone service to assess directly: Review Zoom Phone’s current product and plan details.
- Global or contact-center requirements: Ask 8×8 about coverage and request a quote for the exact scope.
- A business number with basic forwarding: Consider whether a virtual-number service such as Grasshopper is more appropriate than a full platform.
Make the final choice against your call workflows, team geography, required features, and complete quote—not a general “best” label. The source comparisons disagree on which provider leads, reinforcing that the right option depends on the team and criteria.
