For AI help inside the mailbox you already use, Gemini in Gmail and Copilot in Outlook are the closest matches for summarizing threads and drafting replies. Superhuman Mail is the more proactive option in this comparison: it applies inbox labels, can archive selected categories, prepares contextual drafts, and reminds you about unanswered messages. The right fit depends on your email provider, account eligibility, desired level of automation, and comfort with each vendor’s data practices.
Which AI email assistant fits your workflow?
| Assistant | Mailbox and interaction style | Documented help | Important qualification |
|---|---|---|---|
| Gemini in Gmail | Gmail; request help from within Gmail | Thread summaries, prompt-based drafting and editing, contextual reply suggestions, and questions about inbox information | Availability varies by plan, account, language, platform, and region. Google’s availability table lists some features for specific plans and locations. |
| Copilot in Outlook | Outlook; prompt-based help and email actions | Thread summaries, drafts, tone and clarity coaching, triage actions, and natural-language help with rules | Microsoft’s FAQ specifies a Microsoft Copilot work license for the listed features. Some protected or labeled messages are unsupported. |
| Superhuman Mail Email Assistant | Gmail or Outlook; proactive labels and follow-up support | Automatic message labels, optional archiving for selected low-priority categories, contextual reply drafts, and reminders for unanswered sent mail | Labels are not individually renameable or replaceable, and removing a label from one thread does not train the assistant to relabel similar messages. |
These are vendor-documented capabilities, not results from a hands-on comparison. The documentation does not establish that one assistant sorts more accurately, saves a particular amount of time, or suits every inbox. None of the described drafting features should be mistaken for permission to send replies without your review.

What each assistant can do
Gemini in Gmail: on-demand help with inbox content
Google documents Gemini features for summarizing long conversations, creating a message from a prompt, revising existing text, suggesting contextual replies, and answering questions about information in the inbox. This makes it a natural candidate if you want to ask for help with a specific conversation or compose a first draft without moving to another email provider.

Google’s Gmail Help availability table separates personal Gmail and eligible Google AI or Workspace plans, and notes language, platform, and regional differences. For example, the table lists AI Inbox for Google AI Plus, Pro, or Ultra in English in the United States, while conversation summaries have broader listed plan and language coverage. Check the current table for the exact feature and account you intend to use rather than assuming a feature is included with every Gmail account.

Copilot in Outlook: summaries, writing support, and email actions
Microsoft documents thread summaries that surface key points; on supported experiences, a summary may include numbered references to the messages it draws on. Its Outlook Copilot FAQ also describes prompt-based full-length drafts, coaching on tone, sentiment, and clarity, triage actions, and natural-language assistance with rules.
Microsoft’s FAQ specifies a Microsoft Copilot work license for these listed capabilities. It also says some features do not work with signed or encrypted email, email protected by Information Rights Management (IRM), or some messages with Microsoft Purview Information Protection (MIP) labels. If your work routinely involves protected messages, that limitation may matter more than the breadth of the feature list.

Superhuman Mail: proactive organization and follow-up
Superhuman’s Gmail assistant documentation describes six automatic labels: Respond, Waiting, FYI, Notifications, Promotions, and News. You can choose to have selected low-priority categories archived. The assistant can also prepare drafts using your context and preferences, and remind you when a sent message has not received a response. Superhuman publishes a corresponding assistant guide for Outlook.

Its controls are less like teaching a custom classification system: removing a label from one conversation does not teach the assistant to change similar classifications, and you cannot rename or replace individual labels. That trade-off may suit someone who wants a ready-made triage scheme, but is less suitable if you require a highly customized taxonomy.

Choose based on the job you need done
- For a long thread you need to understand: Gemini and Copilot both document conversation summaries. Copilot’s supported experience may include references back to source messages; protected message types can limit access.
- For drafting or polishing a reply: Gemini supports prompt-driven drafting and editing plus contextual suggestions; Copilot supports full-length drafts and coaching for tone, sentiment, and clarity. Superhuman offers contextual drafts based on your context and preferences.
- For sorting incoming mail: Superhuman is the option here with explicitly documented automatic labels and optional archiving. Gemini and Copilot describe inbox assistance and triage capabilities, but the material available here does not establish an equivalent fixed labeling scheme.
- For remembering to follow up: Superhuman documents reminders when sent mail has not received a response. Do not assume that summaries or draft suggestions in the other products provide the same follow-up workflow.
- For keeping your current mail setup: Gemini is the Gmail choice and Copilot the Outlook choice. Superhuman documents assistance for both Gmail and Outlook, so consider whether its proactive approach is worth adopting alongside your existing provider’s built-in tools.
Check access before choosing
- Identify your account type. Distinguish personal Gmail from an eligible Google AI or Workspace account, and personal Outlook use from the work-license requirement Microsoft lists for its Outlook Copilot features.
- Check the specific feature, not just the product name. Google’s availability table gives different eligibility for different Gmail features; language, region, and platform can also affect access. Microsoft’s FAQ describes the relevant Copilot work license and unsupported message types.
- Confirm the workflow in your own client. If you depend on summaries, protected mail handling, automatic archiving, or follow-up reminders, verify that the exact feature is available in your account and supported message types before relying on it.
- Review current vendor terms and workplace rules. Product availability and data policies can change, and an organization’s security or retention requirements may be stricter than a vendor’s general description.
What the vendors say about privacy
Google’s privacy explainer dated April 7, 2026 says Google does not train its foundational AI models, including Gemini, on personal emails. Google also says Gemini processes information to complete the specific requested task and does not hold onto that data afterward. These are Google’s statements about Gemini in Gmail; they should not be generalized to other Google products, account types, or every data-handling scenario.
Superhuman describes different retention for different AI features: its Help Center says Instant Reply and Auto Summarize queries and responses are stored for 90 days so they are available when a user reopens an email, while Write with AI queries and responses are not stored. The 90-day duration is a stated product-policy period, not a productivity measure.

For either service, read the current terms that apply to your account and follow your organization’s policies before using AI on sensitive or regulated correspondence. Vendor privacy descriptions are useful inputs to that decision, not a substitute for it.
What is—and is not—established about results
The product and support descriptions establish feature availability and stated behavior, but not comparative accuracy, user satisfaction, or a general amount of time saved. Google’s product page includes a testimonial from Jeff Johnson, Executive Director of Can Do Canines, who says Gemini gives staff basics for drafting that they can then make their own. That is an individual customer testimonial, not an independent productivity study.
