It can include company attributes, contact details, technology-use information, and buying-intent signals. The right provider is the one that delivers accurate, usable records for your target market and workflow—not necessarily the one with the largest database.
What B2B data includes
B2B data is not one uniform product. Providers may specialize in particular data types, so evaluate the information your campaign depends on rather than treating a broad database count as a measure of quality. Clay’s guide to B2B data describes four useful categories:

- Firmographic data: Company attributes such as industry, employee count, revenue, and headquarters location. Teams use these fields to screen accounts against an ideal customer profile (ICP). Some values may be inferred, so do not assume they are as dependable as verified contact fields.
- Technographic data: Information about the technologies a company uses. It can help identify organizations with a relevant software stack or a potential replacement need.
- Contact data: Names, job titles, work email addresses, and phone numbers used to identify and reach business contacts.
- Intent data: Signals that an account may be researching a topic or entering a buying process. Treat a signal as a prioritization clue, not proof that a specific person is ready to buy.
A provider that performs well on contact records may be less useful for technographics or intent. Match the evaluation to the data layer that drives your use case.

Check coverage in your target segment
Ask providers to report how many records match the same filters your team uses: geography, industry, company size, seniority, job function, and any important account attributes. A headline database count does not reveal how many records fit those filters. Compare match rates and note which required fields are missing. Cleanlist’s selection guidance and Landbase’s 2026 framework both emphasize evaluating vendors against your actual target segment.

Define accuracy and freshness field by field
Set a practical definition of accuracy before comparing providers. For a contact record, that might mean the intended person still works at the stated company, the title is current enough for your campaign, and the email reaches that person rather than bouncing or belonging to somebody else. Score contact fields separately from inferred company attributes.
Ask what “verified” means for each field, when it was last checked, what triggers re-verification, and how outdated records are handled. Clay reports broad estimates of 22–70% annual contact-data decay and about 3.6% email decay per month; these are Clay’s published estimates, not universal or independently validated rates. The reviewed sources do not establish a common independent methodology for comparing provider accuracy claims. Use a matched test of your own rather than relying on vendor-wide percentages.
Ask whether enrichment fields are useful and traceable
List the fields you need before a demo: company attributes, technology information, buying signals, direct-dial numbers, email addresses, or relevant business events. An extra field is valuable only if it improves qualification or prioritization. Ask providers to distinguish observed, contributed, inferred, and externally sourced data where they can. Apollo’s data overview, updated June 1, 2026, is one example of provider documentation describing data categories.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsRequest evidence of sourcing and compliance practices
Ask how data is sourced and collected, what role the provider has in each processing activity, which regional restrictions apply, and how notices, opt-outs, deletions, data-subject requests, and retention are handled. Request field provenance and dates where available, plus the relevant contract and data-processing terms. A compliance badge alone does not establish that a particular dataset and use are lawful.

For UK B2B marketing, the Information Commissioner’s Office (ICO) guidance says UK GDPR applies when records include personal data, such as an identifiable person’s name or business contact details. PECR requirements depend partly on the communication channel and whether the recipient is a corporate or individual subscriber. The ICO’s data-broker guidance says that buyers remain responsible for their own compliance and should conduct due diligence rather than rely solely on a broker’s assurance. The ICO says that guidance is under review following changes made by the Data (Use and Access) Act, so check current regulator guidance before launching a campaign.
In California, the California Privacy Protection Agency (CPPA) says covered data brokers must access the Delete Request and Opt-out Platform (DROP) at least every 45 days and process consumer deletion requests, subject to limited exceptions, beginning August 1, 2026. The statutory definition depends on the business’s collection and sale of personal information about consumers with whom it lacks a direct relationship. Do not assume every B2B provider is either covered or exempt; establish the vendor’s facts and obligations. The CPPA announced its Delete Act regulations at this page.

Confirm integrations and day-to-day workflow fit
Check whether the service supports the CRM, sales-engagement, marketing, or data workflow your team already uses. Confirm which integrations are native, whether records sync one way or both ways, how updates and deletions propagate, and whether users will need exports, an API, or an in-product workflow. Have the people who will use the data perform the steps in a pilot; a feature list does not prove the workflow fits.
Compare the full cost and contract terms
Use the same unit for each provider, such as cost per verified, usable contact in your test. Include seats, credits, enrichment, overages, minimums, and any separate verification costs. Ask what happens when the service returns no match or a bad record, whether unused credits expire or roll over, and how data can be exported or deleted if you end the contract. A lower annual price can still mean a higher cost per useful result.

How to run a fair provider test
- Define the evaluation. Write down required fields, target filters, campaign use, and relevant regions before requesting samples.
- Give providers comparable input. Use the same ICP-matched test population or account list for each vendor. Choose enough records to make the result meaningful for your organization; there is no universally established minimum. Landbase suggests 500 records for its test, while Cleanlist describes a 100-record test file for RFPs. Those are vendor recommendations for different contexts, not an authoritative standard.
- Check records against ground truth. Verify a known subset against sources you trust. Score contact accuracy, company-field accuracy, match rate, completeness, record age, and duplicates separately. Capture source and last-verified dates where available.
- Calculate cost per usable record. Apply the plan’s actual credits, seats, overages, and rules for misses or bad records. A demo, database-size claim, or provider’s own accuracy percentage is not a substitute for this result.
- Test the workflow with intended users. Have sales or operations staff use the integration and document failures and the time needed to make records usable.
- Review evidence and contract terms in writing. Confirm sourcing, support for lawful use, opt-outs and deletions, geographic coverage, retention, and exit mechanics.
- Set weights before scoring. Prioritize criteria according to your use case. If a provider leaves an important gap, test whether a second source fills it economically rather than assuming that combining providers improves quality.
Build a comparison around your use case
Score each provider against the same test population and filters. Decide the relative importance of each criterion before looking at vendor scores, so a large database or polished demo does not quietly override the requirements that matter to your team.

| Data types and enrichment | Whether required contact, firmographic, technographic, and intent fields are available and useful. |
| Sourcing and governance | Provenance, collection explanations, rights handling, regional restrictions, and written contract terms. |
| Integration and workflow | Native connections, sync direction, update and deletion behavior, and user effort. |
