Treat a consumer chatbot as a hosted service that may retain, review, or use what you type according to its provider, account tier, country, settings, and current policy. Turning off model training can reduce one use of your data, but it does not guarantee zero retention, zero human access, legal privilege, or immediate deletion.
What “confidential” means in a chatbot
A confidential conversation normally implies that access is tightly limited, use is restricted to the stated purpose, and the information can be deleted or kept outside secondary systems. Consumer AI chatbots generally do not make that promise. Your prompt must reach the provider’s servers so the system can generate a response, and the provider may process it for service delivery, abuse prevention, security, troubleshooting, support, legal compliance, analytics, or model improvement.

That is different from saying every employee can read every chat. Providers commonly describe access controls and limited authorized personnel or service providers. The important point is that a personal chatbot account is not automatically a confidential channel, professional secret-keeping service, attorney-client system, doctor-patient record, or company-controlled archive.
Policies and controls can vary by country, age, subscription, app version, connected services, and whether the account is personal or managed by an organization. Check the provider’s current privacy and data-control pages immediately before using a chatbot for anything sensitive.

The risk depends on what you type and which account you use
Consumer and business products are not interchangeable
A consumer app and a business or enterprise deployment can have different default training rules, retention periods, administrator controls, contractual commitments, audit options, data residency, and support access. You cannot infer the protections of an organization’s managed plan from the same company’s free or personal app.
For regulated, high-impact, or commercially sensitive work, use only a service your organization has approved in writing. The contract should state whether prompts are used for training, how long they are retained, who can access them, where they are processed, how deletion works, and what breach, audit, and residency commitments apply.
Classify the material before opening the chat
Use this quick classification:
- Secret: passwords, API keys, private encryption keys, recovery codes, unreleased credentials, or security vulnerabilities.
- Regulated or identifying: government identification numbers, financial-account data, precise medical records, biometric information, or information that identifies a child.
- Privileged or restricted: legal advice, attorney work product, merger plans, confidential contracts, personnel investigations, or nonpublic strategy.
- Merely personal: a general question, a fictional scenario, or text that has been stripped of names and unique details.
Keep the first three categories out of consumer chats. Personal material may still expose you if it contains enough details to identify you or someone else.

The following comparison reflects provider documentation available in 2026. It is a practical guide, not a permanent safety rating; providers can change settings, retention, and product names.

Google’s own Gemini guidance says: “Please don’t enter confidential information that you wouldn’t want a reviewer to see or Google to use to improve our services, including machine-learning technologies.” Microsoft gives a similar warning that users should not provide confidential or sensitive personal data they would not want Microsoft to use for the purposes described in its privacy documentation.
What turning off training actually changes
“Do not use my chats to improve the model” addresses one downstream purpose. It does not necessarily stop the provider from processing the prompt to answer you, detecting abuse, investigating security incidents, handling support, complying with law, or preserving evidence of a serious incident.
Google documents a concrete example. When Keep Activity is off, future Gemini chats are retained for 72 hours for service response and protection. Temporary chats have the same 72-hour operational window, and Google says they are not used to train its AI models unless you submit feedback. Google’s default Gemini activity auto-delete period is 18 months, with controls for three months, 36 months, or indefinite retention when activity is enabled. Chats or feedback reviewed by human service providers can be retained for up to three years after being disconnected from the account.

These examples show why a single “training off” switch is not a universal deletion or confidentiality guarantee. Read the setting’s exact wording: it may cover future conversations only, exclude feedback, or leave safety and service logs intact.
Do humans see chatbot conversations?
Possibly. Providers use automated systems and may authorize employees, contractors, or service providers to inspect selected content for safety, abuse, quality, troubleshooting, legal requests, or improvement. Selection may be limited, but you generally cannot choose which operational review is necessary for the service.
Feedback deserves special caution. A thumbs-up, thumbs-down, report, or written comment can attach the conversation to a separate review process. Do not submit feedback that contains a secret or a full confidential exchange, even when ordinary chat training is disabled.

Disconnection from your account also changes what a reviewer sees; it does not mean the text was never retained. Google’s documented three-year period for reviewed Gemini data illustrates that separation from an account is not the same as immediate destruction.

Does encryption make a chatbot confidential?
Encryption in transit helps prevent interception while data moves between your device and the provider. Encryption at rest helps protect stored data on the provider’s systems. Neither form prevents the provider’s service from decrypting and processing content to generate a response, run safety checks, or perform other activities allowed by its policy.
End-to-end encryption would mean that only the communicating parties hold the keys needed to read the content. A typical AI chatbot cannot generate a useful answer under that model because the provider’s servers must process the prompt. Look for the provider’s stated access, retention, and training rules—not just a statement that data is encrypted.

Saved memory
Some chatbots can retain facts from earlier conversations to personalize later responses. Deleting one visible thread may not remove a separately stored memory. Review the memory panel, delete individual entries, and disable memory when a conversation does not need personalization.

Files and images
Uploaded documents, screenshots, voice recordings, and photos can contain hidden metadata, names, account numbers, or comments that are more revealing than the text you intended to ask about. Remove identifying information before upload and check whether the product stores files separately from chat history.
Connected services and extensions
Email, cloud-drive, calendar, browser, and other integrations can expand the data available to the chatbot. Access may persist through an authorization token even after you delete a conversation. Review connected-app permissions in both the chatbot and the external service, and revoke access you no longer need.
A safer workflow for sensitive questions
- Classify the material. Decide whether it is secret, regulated, privileged, identifying, or merely personal. If it belongs in one of the first three categories, stop and use an approved secure channel.
- Minimize before typing. Replace names, account numbers, exact dates, internal project names, addresses, credentials, API keys, and unique facts with neutral placeholders such as
CLIENT_AorPROJECT_X. Preserve only the details needed to answer the question. - Check the exact product and account. Confirm whether you are using a personal consumer app, a managed business workspace, or a connected third-party integration. Do not assume a paid personal tier has enterprise terms.
- Review privacy controls. Disable model-improvement use where available, choose temporary or incognito chat, limit memory, and inspect file and connected-app permissions. Record the date because controls can change.
- Keep feedback clean. Do not rate or report a conversation with its sensitive contents attached. If feedback is essential, rewrite it without the confidential text.
- Delete what you can. Remove the thread, uploaded files, saved memories, and connected permissions. Understand that deletion may not remove data already reviewed, preserved for legal or security reasons, or incorporated into a system under the provider’s policy.
- Escalate high-risk work. For medical, legal, financial, employment, security, or unreleased business matters, use an organization-approved service with written retention, training, access, residency, audit, and deletion terms.
Common mistakes and how to correct them
- “I turned training off, so the chat is private.” Correction: check retention, safety review, support access, feedback rules, and deletion scope separately.
- “I deleted the conversation, so every copy is gone.” Correction: inspect memories, uploads, exports, logs, and connected services; providers may retain operational or reviewed data.
- “It is harmless because the bot is not a person.” Correction: the provider’s systems and authorized reviewers may process the text, and unique details can identify real people.
- “The paid plan must have business confidentiality.” Correction: verify the account’s contract and administrator controls. Consumer and enterprise terms are not interchangeable.
- “I can paste the secret and ask the bot to forget it.” Correction: do not submit the secret in the first place. A later deletion request cannot guarantee that every derivative or review copy disappears.
Legal privilege and regulatory considerations
A chatbot’s privacy setting does not create attorney-client privilege, doctor-patient confidentiality, or a statutory financial-record protection. Whether a communication is privileged depends on the facts, the professionals involved, the purpose, and applicable law. Sending material to a consumer AI service can introduce a third party and undermine an organization’s confidentiality controls.
The U.S. Federal Trade Commission warned in 2024 that AI companies can face consumer-protection risk when they retain or reuse consumer data for other purposes without clear notice and affirmative express consent. That warning supports careful review of disclosures, but it is not a guarantee that any particular chatbot is safe for confidential work.
A comparative analysis published by AAAI in 2025 reviewed 28 documents from six chatbot developers and found material differences in training, retention, human review, and opt-out practices. The practical lesson is to compare the specific policy and setting, not rely on a category-wide reputation.
Which chatbot is safest for sensitive information?
There is no universal “safe” consumer chatbot rating, and no provider documentation cited here guarantees legal privilege. The safest option is not to place the sensitive information in a consumer chatbot. If you must use AI, the lower-risk pattern is a managed business service with a written no-training commitment, defined retention, restricted human access, suitable geographic processing, audit rights, deletion procedures, and controls for memory, uploads, and integrations.
For ordinary, nonconfidential questions, temporary or incognito modes, disabled improvement use, redaction, and minimal context reduce exposure. They do not turn a consumer account into a secret-keeping system.
