Are AI security tools safe for sensitive business data? FAQ

AI security tools are not automatically safe for sensitive business data. Safety depends on the specific product, plan, configuration, processing region and contract. Before uploading confidential material, verify whether it is used for model training, how long prompts and logs are retained, where processing occurs, who can access it, which subprocessors are involved, and what deletion and incident commitments apply. Then reduce exposure with classification, redaction, least-privilege access and monitoring.

What “safe” means for an AI security tool

Security is not a single feature or a badge attached to an AI product. A tool can encrypt traffic yet expose information through an over-permissioned connector, retain prompts in abuse-monitoring logs, or process data in a jurisdiction your contract does not allow. Conversely, a service with strong contractual and technical controls can still be used unsafely if employees paste secrets into the wrong workspace.

Evaluate safety across seven dimensions:

  • Training and secondary use: whether prompts, files and outputs are used to train or improve models, and whether you can opt out.
  • Retention and deletion: how long content, telemetry and abuse-monitoring records remain, and whether retention can be configured.
  • Encryption and keys: protection in transit and at rest, plus any customer-managed key options.
  • Identity and authorization: single sign-on, multifactor authentication, role-based permissions and tenant isolation.
  • Auditability: logs that show access, administrative changes, connector activity and deletion events.
  • Location and legal scope: processing and storage regions, subprocessors, data-processing agreements (DPAs), business-associate agreements (BAAs) and breach obligations.
  • AI-specific defenses: controls for prompt injection, poisoned retrieval sources, accidental disclosure and excessive tool permissions.

“Enterprise” is therefore a starting point for investigation, not proof that a particular deployment is compliant or confidential.

Can you upload confidential company information?

Only after your organization has approved the exact service, plan and configuration for that information class. A practical decision process is:

#1 Best Overall
Yubico - YubiKey 5C NFC - Multi-Factor authentication (MFA) Security Key and passkey, Connect via USB-C or NFC, FIDO Certified - Protect Your Online Accounts
  • POWERFUL SECURITY KEY: The YubiKey 5C NFC is the most versatile physical passkey, protecting your digital life from phishing attacks. It ensures only you can access your accounts
  • WORKS WITH 1000+ ACCOUNTS: Compatible with popular accounts like Google, Microsoft, and Apple. A single YubiKey 5C NFC secures 100+ of your favorite accounts, including email, password managers, and more
  • FAST & CONVENIENT LOGIN: Plug in your YubiKey 5C NFC via USB and tap it, or tap it against your phone (NFC), to authenticate. No batteries, no internet connection, and no extra fees required
  • MOST SECURE PASSKEY: Supports FIDO2/WebAuthn, FIDO U2F, Yubico OTP, OATH-TOTP/HOTP, Smart card (PIV), and OpenPGP. That means it’s versatile, working almost anywhere you need it
  • PRIMARY & SPARE KEYS: Just like having a spare house key, we recommend buying two YubiKeys - one for daily use and one as a spare. That way you’ll never get locked out of your accounts
  1. Classify the material. Mark it as public, internal, confidential, restricted or regulated under your company policy. Treat credentials, private keys, payment data, health information, unreleased source code and personal records as restricted until a security or privacy owner approves a workflow.
  2. Check the service boundary. Confirm whether you are using a consumer workspace, an enterprise workspace, an API project or a self-hosted component. Protections and contractual terms can differ between these products.
  3. Minimize the payload. Send only the fields needed for the task. Remove customer names, account numbers, secrets and unrelated document sections.
  4. Redact or tokenize identifiers. Replace names or IDs with consistent tokens when the model does not need the real values. Keep the re-identification map outside the AI system.
  5. Obtain written approval for regulated data. Confirm that the provider will sign the required DPA or BAA and that the selected region and retention settings meet your obligations.
  6. Test with synthetic records. Validate prompts, connectors, logging and deletion using fabricated data before introducing production content.

If any of these checks is unresolved, keep the material out of the service. A useful answer to “Can I safely upload this?” is conditional: upload it only when the data classification, approved product, settings and contract all match.

Do AI security tools train on your data?

“Not used for training” and “never retained” are different promises. A provider may exclude customer content from model training while retaining prompts temporarily for abuse detection, troubleshooting, billing or application logs. Ask for each data flow separately: prompts, uploaded files, generated responses, embeddings, support tickets, telemetry and security logs.

What OpenAI documents say

OpenAI’s security information says business products do not train on organization data by default, provide encryption in transit and at rest, and offer retention controls and compliance documentation. Its business-data information specifies AES-256 encryption at rest and TLS 1.2 or higher in transit. Configurable retention and regional data residency are available to qualifying organizations, subject to eligibility and configuration.

For the API, OpenAI documentation states: “As of March 1, 2023, data sent to the OpenAI API is not used to train or improve OpenAI models (unless you explicitly opt in to share data with us).” The same documentation says abuse-monitoring logs may contain customer content and are retained up to 30 days by default, unless an exception applies. That period is a documented default for the API, not a universal rule for every OpenAI product or customer.

What Microsoft documents say

Microsoft’s enterprise data-protection documentation says Copilot prompts and responses receive encryption, tenant isolation, inherited identity permissions, sensitivity labels, retention policies and audit support. It also states: “Your data isn’t used to train foundation models.” These protections still depend on the tenant, product, geography and policies your administrators configure.

Is enterprise AI safer than a consumer version?

Enterprise offerings may provide stronger governance, but the label alone does not establish safety. Compare the actual plan and settings rather than assuming that a business login changes every data path.

Control to verify Evidence of a stronger enterprise deployment Question for your provider or administrator
Training use A written default that organization data is excluded from model training, with an opt-in process if sharing is offered. Does the rule cover prompts, files, outputs, feedback and support interactions?
Retention Configurable retention for eligible customers and documented deletion behavior. What is the default period for application and abuse-monitoring logs, and which records are excluded from deletion?
Encryption AES-256 at rest and TLS 1.2 or higher in transit are documented for the relevant service. Are backups, embeddings and exports covered, and can we manage encryption keys?
Identity Tenant isolation, inherited identity permissions, role controls and multifactor authentication. Can a user or connector access only the files that the underlying identity already permits?
Audit Administrative, access and retention events are available to security teams. Can logs be exported to our monitoring system, and how long are they retained?
Residency Regional processing or storage options for eligible customers. Which regions handle prompts, backups, support access and disaster recovery?
Contract Applicable DPA, BAA, security addendum and subprocessor disclosures. What happens after an incident, termination or change in subprocessors?

A consumer product may lack some of these controls, but the decisive issue is the documented behavior of the service you will actually use. Do not infer compliance from a product name, a marketing tier or encryption alone.

How long are prompts and files retained?

There is no single retention period for “AI.” Retention can differ by product, account type, region, feature and legal exception. Separate the following clocks in your review:

Yubico - YubiKey 5C NFC FIPS (140-3) - Multi-Factor authentication (MFA) Security Key and passkey, Connect via USB, FIDO Certified - Protect Your Online Accounts
  • NIST Certification: FIPS 140-3 validated for government and regulated organizations (Overall Level 2, Physical Security Level 3).
  • Works with 1000+ Accounts: Supported by Google and Microsoft accounts, Identity Access Managers, password managers and 1000+ popular services. It works with operating systems and browsers including Windows, macOS, Chrome OS, Linux, Chrome, and Edge.
  • Fast & Convenient Login: Plug in your YubiKey via USB-C and tap it, or tap it against your phone (NFC), to authenticate. No batteries, no internet connection, and no extra fees required.
  • Most Secure Passkey: Supports FIDO2/WebAuthn, FIDO U2F, Yubico OTP, OATH-TOTP/HOTP, Smart card (PIV), and OpenPGP. That means it’s versatile, working almost anywhere you need it.
  • Built to Last: Made from tough, waterproof, and crush-resistant materials. Made in Sweden with the highest security standards.
  • Conversation or application history: what appears in a user interface and when users or administrators can delete it.
  • Abuse-monitoring records: security logs that may include content even when training is disabled. OpenAI documents a default of up to 30 days for API abuse-monitoring logs, with exceptions.
  • Backups and disaster-recovery copies: data that may persist after an interface deletion until backup cycles expire.
  • Connector and retrieval indexes: copied text or embeddings created when the service searches business files.
  • Support and legal records: tickets, exports or disclosures retained under separate obligations.

Set the shortest workable retention, document the deletion request path and test it. Ask for evidence that deletion covers source files, derived indexes and logs where applicable; deleting a chat window does not necessarily erase every downstream copy.

What encryption does—and does not—protect

Encryption in transit helps prevent interception between your device and the provider. Encryption at rest reduces exposure if storage media or a database snapshot is obtained. AES-256 at rest and TLS 1.2 or higher in transit are meaningful controls when they apply to the complete service boundary.

Encryption does not stop an authorized user from pasting confidential text into a prompt, an application from returning another employee’s document, or a malicious instruction from steering an agent toward an exposed system. It also does not determine the provider’s training policy, retention period, processing location or legal response. Pair encryption with data minimization, identity governance, monitoring and contractual review.

Identity, permissions and hardware security keys

Use your enterprise identity provider, single sign-on and least-privilege roles. Connect only the repositories and actions required for the use case. Review inherited permissions when an AI assistant searches files: the assistant should not become a shortcut around the source system’s access rules. Enable audit logs for sign-ins, connector changes, prompt activity where available and administrative actions.

A phishing-resistant hardware key can reduce account takeover risk. Yubico’s YubiKey 5C NFC supports FIDO2/WebAuthn and other protocols and can protect administrator and employee accounts used to access AI services. It changes how a person authenticates; it does not change model-training, retention, residency or contractual policies. Treat it as an account-control measure, not a data-governance control.

Where is business data processed and stored?

Ask for a complete data-flow map. “Regional storage” may not mean that every processing step, support interaction, backup or subprocessor stays in that region. Verify:

  • the region where prompts and files are processed;
  • the region for primary storage, backups and disaster recovery;
  • remote support access and administrative access locations;
  • all subprocessors that can receive content or metadata;
  • cross-border transfer mechanisms and contractual commitments; and
  • whether your selected plan is eligible for the residency option.

Microsoft’s public-sector guidance says enterprise AI data remains governed by contractual privacy commitments and that existing access controls continue to apply. That is a governance baseline, not a substitute for checking your own tenant, region and agreement.

AI-specific risks that remain after vendor controls

Prompt injection

Instructions hidden in a web page, email or retrieved document can try to override the user’s request, reveal system prompts or trigger an unauthorized action. Treat retrieved text as untrusted input. Separate instructions from data, restrict tools to read-only operations where possible, require confirmation before external actions and test adversarial documents.

Accidental disclosure

A model can include sensitive text in an answer, summary or ticket sent to the wrong audience. Apply output review for high-impact workflows, label generated material, restrict sharing and keep human approval for decisions involving customers, employees, finances or legal matters.

Overbroad connectors

An assistant connected to an entire drive or code repository creates a larger blast radius than one connected to a narrow project. Scope connectors by team and function, remove unused integrations and review permissions after organizational changes.

Untrusted or poisoned sources

Documents used for retrieval can contain malicious instructions or inaccurate data. Maintain ownership for source repositories, scan uploads, record provenance and give users a way to report a harmful result.

A deployment checklist for sensitive workloads

  1. Classify every proposed input and prohibit secrets or regulated data until approval is documented.
  2. Choose the exact product, plan, region and API project; record the version and date of the terms reviewed.
  3. Confirm training exclusion, secondary-use limits, retention defaults, deletion behavior and abuse-monitoring exceptions in writing.
  4. Sign the required DPA, BAA or security addendum and review the subprocessor list.
  5. Configure enterprise identity, phishing-resistant multifactor authentication, least privilege and tenant isolation.
  6. Enable audit logs and send them to your security-monitoring system; alert on new connectors, exports and privilege changes.
  7. Redact or tokenize identifiers and use synthetic data for testing whenever the task allows.
  8. Review every connected file source, retrieval index and external action; make write actions require explicit approval.
  9. Run prompt-injection, data-exfiltration, cross-tenant and misdirected-output tests before production use.
  10. Document incident, suspension and deletion procedures, including who can disable the integration and preserve evidence.
  11. Re-check policies after material product, model, region, subprocessor or contract changes.

How to govern the tool over time

Assign an owner for each AI use case, the data it handles and the connected systems it can reach. Review access when employees change roles, rotate credentials, remove dormant integrations and sample audit logs for unexpected searches or exports. Keep a record of approved prompts and workflows for high-risk uses so that a later model or policy change does not silently expand what the system can do.

NIST advises organizations to manage the new and modified cybersecurity and privacy risks created by AI adoption through standards, guidelines, tools and practices. Apply that risk-management approach to AI security tools just as you would to any other third-party system: identify assets and threats, set controls, test them, monitor performance and revise the assessment when the system changes.

Bottom line

AI security tools can be suitable for sensitive business data when a specific, approved deployment provides enforceable training limits, tested retention and deletion controls, appropriate encryption, strict identity and connector permissions, auditable activity, acceptable residency and contracts, and defenses against prompt injection and disclosure. Without those checks, assume that confidential data may be retained, exposed to more users than intended or processed outside your requirements, regardless of whether the product is called enterprise AI.
