Make one complete inventory record for every Apple device, using the serial number as the join key between the hardware, receipt, coverage documents, photographs, and any insurance claim. A sale or trade-in record is not complete until your data is backed up, accounts are signed out, the device is erased, and Activation Lock is removed. An insurance or replacement record should preserve proof of purchase, value, condition, ownership, and coverage before the device is lost or handed over.
The checklist below works for iPhone, iPad, Mac, Apple Watch, and other Apple hardware. The exact erase and account screens vary by product and software version; the detailed handoff sequence and Apple statements cited here apply specifically to iPhone and iPad.

Start with one row per device
Do not keep a single household list with several serial numbers in one paragraph. Create a separate record for each device, even when two devices were bought on the same invoice. This prevents a receipt, repair, or claim from being attached to the wrong hardware.

| Field | What to record | Why it matters |
|---|---|---|
| Device family and exact model | For example, iPhone, iPad, MacBook, or Apple Watch, followed by the precise model designation shown in Settings or on the hardware record. | Distinguishes generations that can have different values, features, and coverage terms. |
| Serial number | Copy it exactly, preserving every letter and number. | It is the join key for the device, receipt, coverage proof, photographs, and a claim. |
| Capacity or configuration | Storage capacity and, for a Mac, the processor, memory, storage, and other configuration details shown for that unit. | Configuration is a major part of resale and replacement value. |
| Color | Use the manufacturer’s color name where it is available. | Helps identify the physical unit in photographs and at handoff. |
| Apple Account owner | The Apple Account currently associated with the device. | Shows who must authorize sign-out, erasure, and Activation Lock removal. |
| Find My status | Record whether Find My is on or off at the time of the inventory update. | Find My controls the device’s Activation Lock state. |
| Activation Lock status | Record whether the device is still linked to an Apple Account or ready for a new owner. | A buyer cannot properly activate a device that remains linked to the previous owner. |
Purchase and value evidence
| Field | What to record | What to keep with it |
|---|---|---|
| Purchase date | The date shown on the original transaction. | A legible receipt or invoice scan. |
| Seller or reseller | Business name and contact details as printed on the transaction record. | The original receipt, invoice, or order confirmation. |
| Receipt or invoice number | The complete reference number. | A scan that shows the number and transaction details together. |
| Purchase price | The amount paid, with the currency and any regional context shown on the document. | The receipt or invoice used to substantiate the amount. |
| AppleCare or other coverage | Plan name, agreement number, purchase date, and current status. | AppleCare Proof of Coverage or equivalent coverage document. |
Apple Support’s receipt guidance, published March 20, 2025, says a useful receipt has a clear device description, purchase date, invoice or receipt number, price, reseller contact information, and the device serial number when the reseller normally prints serial numbers on receipts. Keep the original paper and a readable digital copy; a cropped image that omits the seller or serial number is weaker evidence.

- Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
- Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
- Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
Condition and ownership history
- Current condition: describe the working state, battery or power behavior, display, cameras, ports, keyboard, trackpad, speakers, and biometric hardware as applicable.
- Visible damage: list cracks, dents, scratches, liquid indicators, missing parts, or cosmetic wear. Note where each mark is located rather than using only a grade such as “good.”
- Repair history: record the date, problem, service provider, parts replaced, and whether any repair remains unfinished. On supported devices, review Parts and Service History and resolve any item marked Finish Repair before trade-in.
- Included accessories: list the charger, cable, power adapter, keyboard, bands, cases, boxes, or other items that will travel with the device.
Take a dated photograph of the front, back, sides, ports, and any damage. Photograph the serial-number screen as a separate image. These pictures establish the device’s condition before a sale, shipment, theft, or claim and make it easier to identify the unit if several look alike.
Assemble an evidence packet that can be checked independently
Store the record and its files together under a neutral name such as the device model plus the last four characters of the serial number. The minimum packet is:
- the inventory row with every identity, purchase, condition, coverage, and account field;
- a device photograph set, including a dated condition image;
- a screenshot showing the serial number;
- a receipt or invoice scan;
- AppleCare Proof of Coverage or another coverage document;
- repair documentation and a list of included accessories.
Keep a backup in a location that is not the device itself. Before a sale, verify that the backup opens and that the serial number in the filename, inventory row, photograph, receipt, and coverage document all match. This matching exercise is more persuasive than a loose folder of unrelated screenshots.

- Back up the device. Create a current backup using the method you normally use, and verify that the important data is present.
- Transfer your data. Move information to the replacement device with Quick Start, iCloud, Finder, or another supported method. Check the replacement before erasing the old device.
- Review repair status. Open Parts and Service History where available and finish any repair labeled Finish Repair. A repair that is still awaiting completion can complicate a trade-in inspection.
- Unpair an Apple Watch. If the iPhone is paired with a watch, unpair it before the handoff so the watch is not left associated with the old phone.
- Remove payment items. Remove cards and passes from Apple Pay as applicable to the device and your situation.
- Sign out of Apple services. Sign out of iCloud, the App Store, iMessage, FaceTime, and other Apple services as applicable. This prevents personal data and service sessions from remaining on the hardware.
- Remove the device from trusted devices. Review the Apple Account’s trusted-device list and remove the device being transferred.
- Erase the hardware. Open Settings > General > Transfer or Reset iPhone/iPad > Erase All Content and Settings. If the hardware uses an eSIM, erase the eSIM profile when prompted and follow the carrier instructions for the replacement line.
- Check the handoff screen. The device should restart to the Hello/setup screen. Do not give it to a buyer who sees your account, your data, or a request for your credentials.
Apple states in its June 12, 2026 guidance, “When you erase your iPhone or iPad, Find My [device] and Activation Lock will turn off.” Activation Lock is enabled automatically when Find My is turned on. Apple also explains that the Apple Account password is required before anyone can turn off Find My, erase the device, or reactivate it.
What the buyer should see
A buyer should be able to begin setup without entering the previous owner’s Apple Account password. If setup asks for that password, the device is still linked to the previous owner and the transaction should pause. The correct state is the Hello screen followed by a clean setup flow. Record the date and method of the final erase in your inventory row after you have confirmed this state.
If the device has already left you, or was lost or stolen
Act from another trusted device or from iCloud.com. Use Find My to erase the missing hardware, then remove it from your account when the ownership transfer or loss process genuinely requires that action. Change the Apple Account password and remove the device from the trusted-device list.

Do not remove it merely because a buyer says an erase is inconvenient. Remove it only when the device has actually transferred ownership or you are following the appropriate lost-or-stolen handling process. Record the time, method, and result of the remote erase in the inventory record.

Use the record for insurance and replacement claims
Keep the purchase and identity evidence together before anything goes wrong. A useful claim packet contains the serial number, purchase date, purchase price, reseller details, receipt or invoice number, AppleCare agreement number, proof of coverage, and photographs. Add the dated condition photograph and repair history so the pre-loss state is clear.
Apple’s Theft and Loss support says claim assistance may require the AppleCare purchase date, Apple Account details, and product serial number. Those details should be copied exactly from the account and coverage documents, not reconstructed from memory. If the device is replaced, retain the old record and add the replacement’s serial number as a new row; never overwrite the original hardware entry.
What makes evidence persuasive
- Identity: the same serial number appears on the device screenshot, inventory row, receipt when listed, and coverage proof.
- Ownership: the receipt identifies the purchaser or the transaction can otherwise be tied to the Apple Account owner.
- Value: the purchase price and exact capacity or configuration are documented.
- Condition: dated photographs and repair records show what was present before the incident.
- Coverage: the plan and agreement number are current for that device and region.
Understand AppleCare transfer limits
Some AppleCare plans may be transferred to a new owner. Apple’s transfer process calls for the agreement number, device serial number, proof of coverage, original receipt, and the new owner’s name, address, email address, and phone number.
Eligibility depends on the specific plan and region. Monthly or annual plans linked to an Apple Account cannot be transferred. Verify the terms for the exact plan before advertising coverage as part of a sale; otherwise describe the device and its remaining coverage without promising that the plan will follow the buyer.

Choose the right checklist emphasis
| Purpose | Most important evidence | Privacy or security completion | Handoff test |
|---|---|---|---|
| Sale or trade-in | Exact model, configuration, serial number, receipt, condition photographs, repair history, accessories, and coverage status. | Backup, data transfer, service sign-out, trusted-device removal, Apple Pay cleanup, erase, and Activation Lock removal. | Device reaches the Hello/setup screen and does not request the previous owner’s credentials. |
| Insurance | Serial number, receipt, purchase date and price, reseller details, coverage proof, dated condition photographs, and repair history. | Preserve account and Find My details; do not remove Activation Lock from a device that is still missing unless the loss process requires it. | An insurer can match the claim to one device and independently check the ownership and coverage documents. |
| Replacement after loss or theft | Serial number, Apple Account details, AppleCare purchase date, proof of coverage, receipt, and photographs taken before the incident. | Use Find My for remote erase, then change the Apple Account password and review trusted devices. | The record documents the missing unit separately from any replacement hardware. |
Common mistakes and how to correct them
Recording only the model name
“iPhone” or “MacBook” cannot identify a claim or prove the value of a particular configuration. Add the exact model, capacity or configuration, color, and serial number.
Photographing the device but not the paperwork
A clean photograph does not establish purchase date, price, reseller, or coverage. Scan the receipt and proof of coverage and keep them with the image set.
Erasing without confirming the backup
An erase is irreversible for local data. Open the backup or verify the transfer on the replacement device before selecting Erase All Content and Settings.
Stopping after the erase animation
The required end state is the Hello/setup screen with no previous-owner credential request. Keep the device powered on long enough to verify that screen.

Removing Find My too early
Removing a device from Find My also removes Activation Lock. Wait until ownership has genuinely transferred or the documented lost-or-stolen process calls for removal.
Promising AppleCare transfer
Plan type, billing method, and region determine eligibility. Gather the agreement number and documents, but confirm the specific plan’s terms before telling a buyer that coverage can be transferred.
