You may not need a dedicated accounts receivable (AR) automation product. For many small businesses, invoicing in an accounting platform is enough; others need a payment service or specialist AR app alongside it. A manual tracker can work for a simple workload if someone owns follow-up and payment reconciliation. Choose by identifying which step is failing—not by buying the broadest software category.
What does accounts receivable automation include?
AR is the process of collecting money owed to a business. “AR automation” can refer to several separate tasks, and a product that handles one does not necessarily handle them all:

- Creating and sending invoices
- Tracking due and overdue balances
- Reminding customers or managing invoice follow-up
- Accepting payments
- Matching payments to invoices and updating accounting records
Start by naming the task that consumes time or causes errors. If the problem is simply accepting card or bank payments, a payment processor may help; if invoices are going overdue because nobody follows up, payment processing alone does not address the cause. Xero’s marketplace describes AR apps as extending built-in invoicing with functions such as reminders and synchronization (Xero’s AR apps collection).
Four alternatives to a dedicated AR automation product
| Approach | What it can cover | What to verify |
|---|---|---|
| Accounting software with built-in invoicing | Invoice creation and tracking in the accounting system; some platforms also support online payment | Whether it covers your reminder, payment, reconciliation, and reporting needs, and whether the required features are in your plan |
| Accounting platform plus payment service | Payment acceptance linked to invoices while you keep your accounting platform | Supported payment methods and regions, fees, integration, and how payments appear in your books |
| Accounting platform plus specialist AR app | Additional invoice chasing, reminders, direct debit, or synchronization, depending on the app | Integration behavior, control over reminders, customer experience, availability, and total cost |
| Manual tracking in existing tools | A staff-managed record of invoices, follow-ups, and payment status | Who owns follow-up, how records are reconciled, and whether the process remains reliable as work changes |
Use invoicing built into your accounting platform
This is the simplest place to start if you want to issue ordinary invoices and keep the related records in your accounting system. Xero describes invoicing as part of its accounting platform, while QuickBooks describes invoice creation, online payments, and organizing financial records in its invoicing workflow. These are vendor descriptions, not independent comparisons of product quality or coverage (Xero’s invoicing guide; QuickBooks invoicing).

Before relying on built-in invoicing, check whether the particular plan and region support the steps you need: sending invoices, tracking overdue amounts, prompting customers, taking payment, and recording or matching that payment. A platform may cover some of these steps without covering all of them in the way your business requires.
Add payment processing when collecting money is the gap
A payment service can let customers pay an invoice through supported methods, while the accounting platform remains the place where you manage the books. Xero describes online invoice payments and identifies Stripe among the available options (Xero online payments).

Payment acceptance is only one part of AR. Do not assume a processor also handles overdue reminders, collections, aging reports, or reconciliation unless its current product documentation confirms those specific functions. Check payment methods available to your customers, regional support, fees, and how transactions sync to your ledger. The provider’s current terms and integration details matter more than the general label “payment processing.”

Add a specialist AR app when invoice follow-up is the gap
If invoices are issued successfully but reminders, chasing, or customer debits still take too much staff time, an app connected to your accounting platform may fill that gap without replacing the ledger. Xero’s marketplace collection describes specialist tools for functions such as invoice reminders and automatic customer bank debits (Xero’s AR apps collection).
Rank #3
Evaluate a specific app against your workflow rather than assuming that a marketplace listing guarantees a fit. Confirm that the integration supports your accounting platform and plan, which records sync and in which direction, where the service is available, and how much control you have over reminder timing and customer communications. Also test how you would correct a failed sync or a payment matched to the wrong invoice.
Use manual tracking only when you can keep it controlled
A spreadsheet or another existing record may be adequate for a small, straightforward receivables workload. There is no established universal invoice-count threshold at which manual tracking becomes unsuitable, so decide based on the complexity and reliability of your own process—not an invented volume rule.

- Manage Your Finances Effectively: Undated accounting books with number, date, description, account, payment or deposit amount, and total balance. You will be able to easily analyze your financial activities and quickly prepare accurate financial statements
- Ideal For Small Business or Personal Use: An accounting log journal can track your business or personal financial status. With a clear record of transactions, you can find unnecessary expenses or fraudulent charges
For each invoice, record at least:
- Invoice number and customer
- Issue date, due date, and amount
- Status, such as sent, due, overdue, partially paid, or paid
- Payment date and amount received
- The person responsible for the next follow-up
Set a regular review and reconciliation routine so the tracker agrees with payments received and the accounting records. Manual tracking becomes harder to trust when ownership is unclear, follow-ups are missed, payment records diverge, or invoice terms and exceptions vary. Those are practical warning signs, not a research-backed cutoff.
How to choose the least complicated reliable workflow
- Map the process. Write down how an invoice moves from creation to sending, follow-up, payment, and recording. Mark where delays or errors actually occur.
- Check what your current platform already does. Review its invoice, reminder, payment, and reconciliation features for your specific plan and region before adding another service.
- Fill only the missing step. Consider payment processing for payment acceptance, a specialist app for follow-up or other AR tasks, or manual tracking for a simple process with clear ownership.
- Test the handoffs. Verify how invoices and payments enter the accounting ledger, how mismatches are corrected, and who can access or change the records.
- Compare the full operating cost. Include subscriptions, transaction fees, staff time, migration, and the effort of fixing sync or reconciliation problems. Current prices and plan limits are not established here, so compare providers’ current terms for your actual usage.
For Xero, QuickBooks, Stripe, or a marketplace app, confirm current features, integrations, plan restrictions, and geographic availability directly with the provider. The available product descriptions support feature-level examples, not a neutral ranking of these options.
