A study assistant can answer questions from class notes without sending those notes to a cloud AI—but only if document processing, retrieval, and model inference all stay on the device. “Stored locally” by itself is not enough. This build story explains the architecture a private study buddy needs, what “never uploads” would have to mean, and how to verify the claim without confusing another project’s promises for evidence about this app.
What “never uploads” has to mean
For a no-upload claim to be meaningful, the app’s entire path from imported file to answer needs to be accounted for. Keeping the original PDF on a laptop does not prove that extracted text, a question, or retrieved passages never leave it. Nor does a provider’s promise not to train on submitted content mean the content was not submitted.

- Local storage: where the original notes, extracted text, and any index are saved.
- Local processing: where text extraction or OCR, search, and model inference happen.
- Network activity: whether setup, model downloads, updates, telemetry, or optional integrations contact a service—and whether any document content is included.
- Other copies: whether logs, backups, exports, or crash reports retain note content.
To describe a particular app accurately, its maker needs evidence for those behaviors. The available project examples show that local document Q&A is a workable architecture, but they do not verify this friend’s app or establish that it passed a network-isolation test.
How a local study buddy can read notes
A local document assistant can use a pipeline rather than asking a model to absorb an entire notebook at once. A typical flow imports the material, makes its text searchable, finds relevant passages for a question, and gives those passages to a language model running on the same device.

- Import: select a PDF or other supported study file. The app should make clear where it stores the file.
- Extract: read selectable text from the document. Scanned pages may need optical character recognition (OCR); establish whether that happens locally or through a remote service.
- Prepare for search: divide the extracted text into smaller sections and build a local index, often using embeddings, so a question can retrieve relevant passages.
- Retrieve: search the index for sections related to the student’s question.
- Answer: send the question and retrieved sections to a local language model, then return an answer with passage or page references where possible.
That design can reduce how much text the model must handle and lets a student check an answer against the notes. It does not guarantee accuracy: the retrieved passage can be incomplete, the model can misread it, and a citation is useful only if it points to the relevant source material.
What public local-assistant examples establish
Two public projects document versions of this approach. The ScholarOS repository describes a PDF assistant that parses and chunks documents locally, creates embeddings in a local vector store, and uses a local language model for questions, flashcards, and summaries. It describes laptop deployment, including low-resource machines, but those are project-maintainer statements—not independent performance benchmarks or evidence about this build.

The Kiosk-Scholar repository describes a desktop PDF assistant using local Ollama inference, page-linked summaries, passage explanations, and offline text-to-speech. Its statements about local inference and data staying on the machine describe that project; they do not prove how another app behaves.

Local storage is not the same as local AI
Product disclosures illustrate why the distinction matters. Microsoft says its Study and Learn Agent processes uploaded messages and documents in real time within the Microsoft 365 tenant. It says the content and conversations are not used to train the underlying models, while basic usage telemetry may be collected. The agent can cite uploaded material in grounded answers. That is a cloud-processing privacy model: tenant boundaries and a no-training commitment do not mean documents were never uploaded. See Microsoft’s Study and Learn Agent privacy and responsible AI description.
StudyCraft’s privacy policy describes another mixed path: notes and study materials are stored in browser IndexedDB, but content a user asks an AI feature to process is sent to its AI provider. The policy was last updated November 3, 2025; it is a vendor disclosure, not an independent audit. It demonstrates why browser-local notes alone cannot establish that AI processing stays local. See the StudyCraft privacy policy.

How to check an app’s data path
Do not infer privacy from a product label such as “offline,” “private,” or “local.” Check each step and state the limits of what was verified. If you are evaluating an app yourself, distinguish what you observed from what its developer promises.

- Check network behavior: where possible, observe requests during import and AI use. Note whether checks occurred after setup, because initial model downloads and updates may require a connection.
- Test offline operation: after setup, disconnect the device and try importing notes and asking a question. This can show whether those actions work without a connection; it does not by itself prove that no earlier or background transfer occurred.
- Review data handling beyond answers: check logs, crash reporting, backups, telemetry, exports, and optional integrations for possible note content.
- State the scope: distinguish “the question-and-answer workflow worked offline after setup” from the broader claim “the app never uploads notes.” The latter needs evidence covering all relevant paths and app behavior.
No particular inspection, offline test, code review, or network capture is established for the friend’s app here. Therefore, its “never uploads” promise should be treated as the intended design, not as a verified result.

Choosing between local and cloud-assisted study tools
The right choice depends on the trade-off you need. A local workflow aims to keep document processing and inference on the device, while cloud-assisted tools may offer grounded answers without keeping inference local. Compare the actual data path and capabilities rather than treating “private” and “local” as interchangeable.
| Question | Local-first assistant | Cloud-assisted assistant |
|---|---|---|
| Where do documents and questions go? | They can remain on the device if import, extraction, retrieval, and inference are genuinely local; verify the specific app. | May be sent to a provider for processing. Microsoft says its Study and Learn Agent processes uploaded content within the Microsoft 365 tenant. |
| Does no model training mean no upload? | Not applicable if no content is sent; network behavior still needs checking. | No. Microsoft says content and conversations are not used to train underlying models, while describing real-time processing of uploaded material. |
| Can answers be checked against notes? | Possible when the app returns source passages or page references; confirm the feature and inspect the cited material. | Microsoft says its agent can cite uploaded material in grounded answers. |
| Does it work offline? | Potentially after setup, if the model and processing components are present locally. Downloads, updates, telemetry, or optional features may still need a network connection. | Do not assume offline access; the service’s documented processing involves uploaded content. |
| What device is required? | Depends on the actual model and workload. The cited project descriptions are not independent benchmarks for this build. | Device needs depend on the service and client; the cited Microsoft description does not establish a general hardware requirement. |
What to say about a privacy promise
A careful description separates design from proof. If an app uses local parsing and inference, say which components run on-device and disclose any setup downloads or optional network features. If its behavior has been checked, describe the exact test and its limits. Without that evidence, call “never uploads” an intended property rather than a verified guarantee.
