Schools, universities and governments are using AI for lesson planning, quiz writing, differentiated materials, meeting notes, policy analysis and parent communications. This article walks through 17 reported examples. Almost none come with independently measured learning gains. Most of the evidence is vendor-written, ministry-reported or self-reported, and England’s inspectorate says robust outcome evidence is still limited.

A note on the count: 14 entries are single institutions or districts (eight in the US and Canada, six in Europe). The other three are different in kind. One is a university-system rollout, one is a cohort of early-adopter providers, and one is a national teacher-training program. They are included to show the range, not as a like-for-like tally.

How to read these examples

The cases come from different sources and are not a controlled comparison or a representative survey. Sorting them by who is speaking tells you how much weight to give each claim.

Source type Examples What it can tell you
Vendor-authored case stories (Google for Education) Entries 1–14 What institutions say they do with the tools. Not independently validated.
Vendor announcement (OpenAI) Entry 15 Access scale and intended uses. Not measured use or outcomes.
Government inspectorate research (Ofsted) Entry 16 Implementation practice in England among early adopters. Qualitative, not representative.
Ministry-reported figures (China) Entry 17 Reach of pilot programs. Not independently evaluated outcomes.

United States and Canada: eight institution cases

These accounts were published by Google for Education on 20 March 2025 and attributed to the institutions. See Google’s March 2025 case roundup.

1. University of California, Riverside

Students use NotebookLM to debate interpretations of assigned readings and test their arguments against course material.

2. Wake Forest University

Administrative staff use Gemini in Meet for note-taking. The provost’s office uses NotebookLM for document analysis and Gemini in Sheets for data work.

3. San Diego State University

Students use Gemini and NotebookLM for study support, writing, research and interactive learning. Faculty use them to support lectures, engagement and research.

4. Boise State University

Campus communications and marketing staff use Gemini for idea generation and content work.

5. Chicago Public Schools

Staff build Gems as curriculum reviewers that check material against district evidence guides and rubrics. They also use NotebookLM to understand district guidance. This is a governance-flavoured use: the AI is checking work against the district’s own standards.

6. Miami-Dade County Public Schools

Educators use Gemini to create quizzes and answer keys. Students create personalized study material and ask for explanations when the teacher is busy with others.

7. Albuquerque Public Schools

Teachers use Gemini for lesson planning and grant work. Google reports one teacher’s comparison of planning that took about four hours on a Sunday and about 20 minutes on a workday. It also reports four grants totaling $100,000. Both are examples from the vendor’s case story, not audited findings, and the time claim shouldn’t be generalized to all teachers.

8. Ottawa Catholic School Board (Canada)

Teachers use Gemini to create differentiated resources for learners with varied needs. Students use it for simpler explanations and support.

Europe, Middle East and Africa: six institution cases

These vendor-authored cases were published on 16 June 2025 in Google’s EMEA case roundup. They describe institutional uses and do not supply independently measured educational outcomes.

9. Helsingborg, Sweden

Teachers use Gemini to generate and adapt learning materials for student groups, including example texts and refreshed resources.

10. Barton Peveril Sixth Form College, UK

The college invested in Workspace with Gemini for staff. Its approach centres on staff preparation: regular training, cross-department sharing and dedicated AI inset days.

11. LEO Academy Trust, UK

School leaders use AI to draft parent communications. A vice principal reports faster turnaround.

12. University of Jaén, Spain

The university reports providing free Gemini access to its community. It describes uses including exam and assessment creation, organization of teaching services, thesis review support and governance work.

13. Università di Cassino e del Lazio Meridionale, Italy

The account describes NotebookLM mind maps supporting dyslexic students, plus document querying for administrative work.

14. University of Ferrara, Italy

Staff and faculty use Gemini, and the university frames AI literacy as a shared responsibility. Its account stresses integration with existing Google services and privacy and intellectual-property protections.

System and program examples

15. California State University system, US

OpenAI announced on 4 February 2025 that ChatGPT Edu access would extend across 23 campuses to more than 460,000 students and over 63,000 staff and faculty. Stated uses include curriculum development, course-specific GPTs, student tutoring and study guides, AI coaching and certifications, and workforce readiness. Both the scale and the use cases come from OpenAI’s announcement, which says nothing about measured outcomes.

16. England’s early-adopter schools and colleges

Ofsted’s spring-term 2025 study interviewed leaders at 21 schools and further education providers that had used AI for at least 12 months. They reported using it for planning, resource creation, administrative work and parent communications. Nearly all had an AI champion. It is a small qualitative study, not a prevalence estimate.

Ofsted says robust evidence on educational outcomes is limited and that most available work is “explorative, short-term and in limited domains.” Chief Inspector Sir Martyn Oliver said in the 27 June 2025 government announcement: “As the use of AI (artificial intelligence) in education increases, we need to better understand how schools and colleges are using this technology to take advantage of its potential, as well as manage the risks it poses for pupils, learners and staff.”

17. China’s teacher-capacity pilot program

China’s Ministry of Education reported, for its pilot projects, AI-literacy training benefiting 2.97 million teachers, 43,000 classrooms and offices equipped with 738 intelligent tools, and online courses benefiting 188,000 rural teachers. It also described AI-assisted lesson planning, student analysis, teaching evaluation and workforce management. These are reach and provision figures from the ministry, not evaluated outcomes.

What the 17 cases show

The work goes well beyond student chat

Most reported tasks are on the staff side: preparing lessons, writing quizzes and answer keys, adapting materials, taking meeting notes, reviewing documents against rubrics and drafting parent messages. Student-facing uses (debating readings, personalized study material, simplified explanations, dyslexia support) are present but fewer.

Rollouts take different shapes

Model Examples Feature
System-wide access CSU, University of Jaén Broad licences for large populations
Defined workflow or staff group Chicago, Boise State, LEO Academy Trust, Wake Forest AI tied to review, communications or administrative tasks
Staff-development led Barton Peveril, Ofsted cohort Training days, sharing across departments, AI champions
National capacity building China Teacher training and equipment at scale

Training and champions are mechanisms, not proof

AI champions and ongoing staff development appear in Ofsted’s early-adopter reporting and in vendor case accounts such as Barton Peveril’s. They describe how adoption is organized. They don’t show it works.

Practical risks are named

Ofsted’s account raises protecting student and staff information, bias, intellectual property, safeguarding and fitting tools to the school’s context. Ferrara’s emphasis on privacy and IP protections is an institutional version of the same concern.

Can AI improve student learning?

These deployments can’t answer that. They report adoption, access, reach and perceived time savings, which are different kinds of evidence from learning outcomes. Ofsted’s finding that outcome evidence is limited is the most reliable statement here. When you see a claim like “four hours to 20 minutes,” ask who measured it, over what period and for which tasks. Phrases such as “the institution reports” are the accurate way to cite most of these cases.

Questions to ask before copying a deployment

  • Which task is being supported, and who does it: teacher, administrator or student?
  • Is the tool integrated with systems staff already use?
  • What training, champions or inset time come with it?
  • What protects student and staff data, and who owns the content produced?
  • Is any claimed benefit self-reported, vendor-reported or independently evaluated?
