AI Agents vs. AI Assistants: What’s the Difference and When Should You Use Each?

AI assistants support user-directed conversations; agents can plan and use tools across steps. Here’s how to choose between an assistant, agent, or fixed workflow.

An AI assistant helps you work through a request in an interactive exchange; an AI agent can pursue a goal across multiple steps, choosing tools or actions along the way. For repeatable tasks with known steps, a conventional workflow or function may be the better choice. The labels are not used consistently across products, so compare what a system actually does, what it can access, and how much control you keep—not just whether it is marketed as an “agent.”

What is the difference between an AI agent and an AI assistant?

An assistant is usually centered on a person asking for help and deciding what happens next. It can answer questions, draft or summarize content, and may use tools, while keeping the person involved in the exchange. An agent is given a goal and may plan intermediate steps, use tools, and adapt its approach as it works toward that goal.

That is a practical distinction, not a universal industry taxonomy. Google Cloud presents assistants as user-facing systems and also describes them as a designed application form of agent. Anthropic notes that “agent” is used for systems with differing levels of autonomy and structure. A product called an agent may therefore be tightly bounded, while an assistant may have access to tools. Look at the interaction pattern and capabilities rather than treating the name as a guarantee. Question Assistant-oriented use Agent-oriented use Fixed workflow or function
Who directs the work? The person prompts, reviews, and decides what to do next. The person sets a goal; the system may choose intermediate steps. The developer or operator defines the steps in advance.
What kind of task fits? Conversation, information, drafting, recommendations, or bounded help. Open-ended or multi-step work involving decisions and tool use. Repeated tasks with stable inputs and predictable steps.
How are tools used? Tools may be available, but interaction with the user stays central. The system selects tools to retrieve information or act toward the goal. Specified functions or services run in an explicit sequence.
How does it adapt? It responds to each new user prompt. It may change its next step as the task state changes. It follows its defined path, including any branches explicitly coded.
What oversight is needed? The user reviews suggestions and outputs. Permissions, guardrails, evaluation, and escalation matter, especially for consequential actions. Test the explicit logic and account for known exceptions.

When should you use an AI assistant?

Choose an assistant when the task benefits from a back-and-forth exchange, or when you want help finding, summarizing, or producing information but prefer to remain in charge of decisions. It is a natural fit when a person can review the result and decide what to do next.

For example, Microsoft describes Copilot as a built-in assistant in Microsoft 365 applications that can summarize an email or highlight key points in a meeting. These are useful forms of help without requiring the system to independently complete a larger process. (Microsoft Learn)

When should you use an AI agent?

Consider an agent when a task is open-ended or context-sensitive, has several steps, and benefits from retrieving information or taking actions through tools. The system needs enough discretion to decide what to do next; if every step is already known, that autonomy may add little value.

OpenAI identifies complex decisions, unwieldy rule sets, and heavy reliance on unstructured data as promising patterns for agent use. Examples include nuanced customer-service decisions, vendor security reviews, and extracting meaning from documents. These are candidates to evaluate in a specific setting, not a guarantee that an agent will perform reliably without domain-specific testing. (OpenAI)

Understand what an agent can actually do

An agent’s capabilities depend on its design and the tools and permissions it has been given. OpenAI describes three basic components: a model for reasoning and decisions, tools connected to external functions or APIs, and instructions that establish behavior and guardrails. Tools might retrieve information by querying a database or reading documents, change something by updating a record or sending a message, or coordinate work with other agents. The label “agent” does not mean a system has access to every tool or can act beyond its configured permissions. (OpenAI)

Choose autonomy in proportion to the consequences

If an agent can change records, message people, or trigger processes, define what it is allowed to do and what should happen when it is uncertain or fails. OpenAI recommends guardrails and describes returning control to the user when execution fails. Microsoft says developers remain responsible for testing applications for their use cases and reviewing data flows, permissions, quality, reliability, security, and trustworthiness. (OpenAI; Microsoft Learn)

When is a workflow or function better than either?

Use a deterministic workflow or function when the task has stable inputs and known steps that can be expressed as explicit logic. This gives the developer control over the execution path instead of asking a model to decide each step. Microsoft recommends agents for open-ended or conversational tasks that need autonomous tool use and planning, and workflows when the steps and their order need explicit control. Its Microsoft Agent Framework overview puts the rule succinctly: “If you can write a function to handle the task, do that instead of using an AI agent.” (Microsoft Learn)

Anthropic makes a related architectural distinction: in a workflow, an LLM and tools are directed through predefined code paths; in an agent, the LLM dynamically directs its process and tool use. A workflow can still include branches, but those branches are designed in advance. An agent can adapt its next move to the state it encounters. Anthropic advises starting with the simplest solution that meets the task’s needs. (Anthropic)

How to choose the right approach

  1. Decide whether the steps are known. If the inputs and sequence are stable, start with a function or workflow. If the task is mainly a conversation or request for help, an assistant may fit better.
  2. Ask whether the system must choose its next move. If it needs to select among tools or adapt to changing context to reach a goal, an agent may be useful.
  3. List the actions and permissions it needs. Separate information retrieval from actions that change data, contact people, or trigger a process. Grant only the access required for the task.
  4. Consider the cost of an error. Decide what outputs need human review, what actions require approval, and when the system should hand control back to a person.
  5. Compare with a simpler option against a quality target. Test whether an assistant, workflow, or function can meet the target before adding agentic complexity.

What trade-offs should you expect?

Agents can be more flexible when exceptions and rules are difficult to enumerate, but that flexibility comes with trade-offs. Anthropic notes that agentic systems may exchange greater latency and cost for improved task performance. OpenAI recommends establishing an evaluation baseline, measuring whether the system meets its accuracy target, and then optimizing cost and latency. The appropriate choice depends on measured performance for the task, not the appeal of a more autonomous design. (Anthropic; OpenAI)

Why do agent products work differently?

There is no single implementation behind every agent product. OpenAI’s API documentation compares a managed Agents API, an Agents SDK that runs in a developer’s application, and the Responses API for direct model use or custom orchestration. Those options differ in runtime and state management, integration effort, and tool execution. The relevant choice depends on how much of the system a developer wants the platform to manage. (OpenAI API documentation)

Microsoft offers another platform-specific example: declarative agents customize Copilot with instructions, data, and actions using Microsoft’s built-in infrastructure; custom engine agents allow more control over orchestration and models, while requiring additional hosting and security work. This illustrates a managed-versus-customizable trade-off on Microsoft’s platform; it is not a universal division across vendors. (Microsoft Learn)
