To create one, open the list or library and choose … > Integrate > Quick steps > Create a quick step. You can also start with Add a new column > Quick steps.
What a Quick step does
A Quick step adds an action you can run in the context of a list item or library file. For example, it can run a flow on a selected item or draft an email using people in a specified column. Although one entry point is labeled “Add a new column,” a Quick step is an action, not a data field in which you enter or store values. See Microsoft’s Quick steps instructions.

Run and manage the Quick step
After creation, find the step on the Manage quick steps page. There you can enable or disable it, update it, or delete it. When enabled, it appears at the top of the Automate menu in the command bar or overflow menu when you select an item or file. Depending on the type of step, its name may also appear in the Integrate menu for a selected item or file, or for the whole list.

The permission to run a step depends on what it does. Microsoft specifies Read access for drafting an email, starting a Teams chat, and executing a flow; Set value and sending an approval request require Edit access. A person who cannot run the underlying flow will receive an error when trying to execute it.
Requirements for a flow-based Quick step
For an Execute a flow action, have the flow ID ready. The flow must be a manual flow triggered for a selected item or selected file; other trigger types do not work with Quick steps. Also make sure the people who will use the Quick step have permission to run that flow.

When the instructions do not match your screen
The Quick steps workflow is distinct from adding a conventional data column. Microsoft’s general column instructions describe the modern interface’s + Add column control for adding a standard column. They also provide separate guidance for classic experiences and earlier SharePoint Server versions, where controls differ. If you do not see the Quick steps options, first check whether you are using the modern Lists or SharePoint interface or a classic SharePoint experience, and confirm that you have Edit permission.
Action availability and licensing
Some actions may require additional licensing. Microsoft specifically says that Ask Copilot requires Copilot in SharePoint to be enabled. The cited support instructions do not give an action-by-action license list, so check your organization’s Microsoft licensing and configuration for other actions rather than assuming they are included.
