To add a checkbox in Word, choose the method that matches how it will be used: use Developer > Check Box Content Control for a box people can click in a digital document, insert a symbol for a fixed checkmark, or create a symbol bullet for a box that will be printed and filled in by hand.

Add a clickable checkbox for a digital checklist
Show the Developer tab in Word for Windows
- Select File > Options > Customize Ribbon.
- In the list of main tabs, select Developer, then confirm.
The exact ribbon path can differ across platforms. Microsoft’s content-control overview explains the controls on the Developer tab: About content controls.
Insert and duplicate the control
- Type your checklist items, placing each item on its own line.
- Put the cursor at the beginning of the first item.
- Choose Developer > Check Box Content Control.
- Copy and paste that control at the beginning of each remaining item.
- Click a box to mark it. The default checked character is an X.
For long checklist lines, Microsoft suggests a hanging indent so wrapped text aligns with the item text rather than the checkbox. Its example uses a 0.25-inch left indent and a 0.5-inch hanging indent. See Microsoft’s checklist formatting instructions.

Change the checked mark from an X to a checkmark
This customization sequence is documented for Word desktop on Windows, not as a universal Mac or Word for the web procedure.

- Select the checkbox control.
- Choose Developer > Properties.
- Next to Checked symbol, choose Change.
- Select the checkmark character and confirm.
If the symbol you want is not available in the current font, try another font such as Wingdings 2 or Segoe UI Symbol. The Properties dialog also provides options for the control’s appearance. Microsoft’s steps are at Change checked boxes from an X to a checkmark.

- Place the cursor where the mark should appear.
- Choose Insert > Symbol > More Symbols.
- Choose a font that contains the character you want, select the symbol, and insert it.
Microsoft lists Wingdings character code 252 for a checkmark and 254 for another checkmark option in its Windows desktop instructions. It also lists Segoe UI Symbol codes 2705, 2713, and 2714 (hex). These choices depend on the font and symbol dialog; they are static marks, not interactive checkboxes. See Insert a check mark symbol and Insert a check mark or tick mark in Word.

For a paper checklist, use a box glyph as a bullet so it appears on the printed page and can be marked by hand.

- Select the checklist text, or place the cursor where the list should begin.
- Open the Home > Bullets dropdown.
- Choose Define New Bullet > Symbol.
- Select a box character and confirm. If a suitable box is not visible, try Wingdings or Segoe UI Symbol.
This creates a bullet symbol, not a clickable control. Microsoft notes that content-control boxes in forms do not print as visible boxes, so use a custom bullet when the printed page needs blank boxes: Make a checklist in Word and Create a form in Word that users can complete or print.

If the checkbox does not behave as expected
- There is no Developer tab: In Word for Windows, enable it through File > Options > Customize Ribbon and select Developer.
- The mark is fixed and will not toggle: You inserted a symbol or bullet. Use Developer > Check Box Content Control for a digital, clickable checklist.
- The checked box shows an X: That is the default in Microsoft’s checklist instructions. Windows desktop users can change it through the control’s Properties.
- The checkbox is missing on paper: Content-control boxes may not print as visible boxes. Use a box symbol as a custom bullet for a print-only list.
